Calendar Expert Review

Calendar.com advertises Standard at “Starting at $20 / month”. Its own calculator, sitting a few pixels above the card, reads “$20 × 5 = $100 / month”. The figure is per user, and Standard allows up to ten of them — so the plan’s real ceiling is $200 a month, ten times the headline. Pro works the same way at $30 a user up to 30 users, or $900 a month at capacity.

  • What it is: A scheduling platform — appointment booking, calendar sync, time-zone detection and availability management.
  • Best for: Small teams that will genuinely use the annual discount, which is exactly 20%.
  • Pricing: Standard $20 and Pro $30 per user per month; $192 and $288 per user per year. Verified July 2026.
  • The honest catch: SSO is a paid add-on even on the $30-per-user plan.

What Is Calendar.com?

Calendar.com is a scheduling and availability platform. It unifies multiple calendars into one view, handles appointment booking with time-zone detection, manages availability calendars and sub-calendars, and adds analytics on how time is actually spent. Paid plans include custom branding and payment processing, with Salesforce and HubSpot integrations higher up. All plans come with a 14-day free trial.

Calendar.com’s annual pricing showing Standard at $192 and Pro at $288 per year, with $240 and $360 struck through.

Pricing is per user, with each plan capped at a maximum workspace size.

How Calendar.com Works

  • Three plans, two priced publicly.
  • Per user, not per workspace.
  • Each plan caps workspace size.
  • Annual billing saves exactly 20%.
  • SSO is an add-on on Pro.
  • 14-day free trial on all plans.

Calendar.com Pricing

Captured from Calendar.com’s pricing page in July 2026 in US dollars, reading both billing states and the built-in calculator.

Plan Monthly Annual Was Saving Max users Connected calendars
Standard $20/user $192/user/yr $240 20.0% 10 6
Pro (most popular) $30/user $288/user/yr $360 20.0% 30 10
Enterprise Custom Custom Unlimited
What it costs at each plan’s ceiling Monthly billing Annual billing
Standard, 10 users $200/month $1,920/year
Pro, 30 users $900/month $8,640/year
Feature gates Standard Pro Enterprise
Custom branding, payment processing
Salesforce & HubSpot integrations
Role-based access control
SSO Paid add-on (with SCIM)
Domain control, dedicated account partner

Bar chart of Calendar.com Standard’s monthly cost: $20 for one user, $60 for three, $100 for five and $200 at its ten-user cap.

What actually decides your cost:

  • The headline price is per user, and the page proves it. Both cards read “Starting at $20 / month” and “Starting at $30 / month”, which reads like a plan price. The calculator directly above them resolves it: set Users to 5 and it displays ”$20 × 5 = $100 / month”. So a five-person team pays $100 and a ten-person team $200. The words “Starting at” carry the whole disclosure, and most people scanning three cards will read the large number, not the small one.
  • Each plan caps workspace size, so growth forces a tier change. Standard stops at 10 users, Pro at 30, and Enterprise is described as “For teams of 30+”. An eleventh hire moves you from $20 to $30 a user — a 50% per-seat increase applied to everyone, not just the new person. Going from 10 users on Standard to 11 on Pro takes the bill from $200 to $330 a month.
  • The 20% annual saving is exactly what it claims. $240 becomes $192 and $360 becomes $288 — precisely 20% in both cases, and the annual figures are correctly labelled ”/ year” rather than being passed off as monthly. After the number of overstated discount claims in this review series, a badge that reconciles to the cent on both plans is worth noting.
  • SSO is an add-on on Pro, and its price is not published. The Pro card lists “SSO (add-on available)” in grey among its features. Enterprise includes “SSO & SCIM provisioning” outright. So an organisation with a single-sign-on requirement is either paying an unstated extra on top of $30 a user, or moving to a quoted contract — and cannot compare either against the published prices.
  • Standard is unusually generous for an entry tier. Custom branding, payment processing, advanced workflows, individual and team analytics, all core integrations and email and chat support are all on the $20 plan. Several competitors reserve branding removal and payments for higher tiers. What Pro adds is Salesforce and HubSpot integrations, expanded analytics, role-based access control and expedited support — capabilities aimed at larger sales teams rather than basics withheld from smaller ones.
  • Connected calendars are the quieter limit. 6 on Standard, 10 on Pro. For an individual that is ample; for someone managing several shared team calendars alongside personal ones, six can bind before the user count does. Worth counting your actual calendars, not just your people.
  • Role-based access control requires Pro, which matters more as team size grows. Ironically, Standard permits up to ten users but offers no role-based permissions to manage them — so a nine-person team on Standard has everyone at the same access level.
  • The 14-day trial applies to all plans, which is the sensible way to test whether the per-user model works out. Given the pricing is per seat, trial it with the number of people who will actually use it rather than one.

Who Should Use Calendar.com

  • Small teams up to ten. The clearest case — Standard at $20 a user with branding and payments included.
  • Sales teams on Salesforce or HubSpot. Those integrations begin at Pro.
  • Individuals wanting unified calendars. Six connected calendars on the entry plan.
  • Anyone committing for a year. The 20% saving is exact on both paid plans.

It fits poorly for teams reading $20 as a plan price; for organisations needing SSO without a quote; and for teams hovering near ten users, where the next hire raises everyone’s rate by 50%.

Honest Pros and Cons

Strengths

  • A 20% annual saving that reconciles exactly on both plans.
  • Custom branding and payment processing on the entry tier.
  • Annual prices correctly labelled “/ year”, not disguised as monthly.
  • A visible calculator that discloses the per-user maths.
  • 14-day free trial on every plan.
  • All core integrations included from Standard.

Limitations

  • “Starting at $20” is per user, so ten users cost $200.
  • SSO is a paid add-on on Pro, price unpublished.
  • Workspace caps force tier changes at 10 and 30 users.
  • Crossing 10 users raises every seat from $20 to $30.
  • Role-based access control needs Pro.
  • Enterprise pricing is quoted only.

Calendar Alternatives and How It Compares

  • Calendly is the category standard for scheduling links.
  • Reclaim.ai automatically defends time for tasks and habits.
  • Motion combines AI scheduling with task management.
  • Doodle focuses on group poll scheduling.
  • Acuity Scheduling targets appointment-based service businesses.

The Verdict

Calendar.com does several things right that this review series regularly finds vendors getting wrong. The 20% annual discount is exactly 20% — $240 to $192 and $360 to $288, reconciling to the cent on both plans — and the annual figures are correctly labelled “/ year” rather than presented as monthly rates. The entry plan is also genuinely well equipped: custom branding, payment processing, advanced workflows, team analytics and all core integrations at $20, where competitors often reserve branding and payments for higher tiers.

The thing to be clear about is that $20 is per user. Both cards say “Starting at”, and the calculator directly above them makes it explicit — set Users to five and it reads ”$20 × 5 = $100 / month” — so the information is present and the page is not hiding it. But the large type says $20, and Standard permits up to ten users, which means the plan’s real ceiling is $200 a month. Pro at $30 a user across 30 users reaches $900. Read the calculator, not the card.

The workspace caps also create a sharp step. Standard stops at 10 users and Pro at 30, so an eleventh team member moves everyone from $20 to $30 a seat — the bill goes from $200 to $330 a month for one extra person, a 65% increase. If you are near that boundary, it is worth modelling before committing to annual billing at the lower tier.

One gap worth raising before you buy: SSO is listed on Pro as “(add-on available)” with no price, and included only on Enterprise alongside SCIM provisioning. So a company with a single-sign-on policy cannot cost Calendar.com from the published page at all — it is either an unstated add-on on top of $30 a user, or a quoted contract. That aside, for a team of under ten that wants unified calendars, branded booking pages and payment collection, Standard at $20 a user with a 14-day trial is a reasonable place to start — just budget for the number of people who will actually use it.

FAQ

How much does Calendar.com cost?

In US dollars, captured July 2026: Standard is $20 per user per month or $192 per user per year, and Pro is $30 per user per month or $288 per user per year — both a 20% annual saving. Enterprise is quoted. Standard allows up to 10 users and Pro up to 30, so at capacity they cost $200 and $900 a month respectively.

Is Calendar.com’s $20 price per user or per team?

Per user. The plan cards say “Starting at $20 / month”, and the calculator above them confirms the maths — setting Users to 5 displays ”$20 × 5 = $100 / month”. So a five-person team pays $100 a month and a ten-person team, Standard’s maximum, pays $200.

What happens when my team outgrows Calendar.com’s Standard plan?

Standard caps at 10 users, so an eleventh person requires Pro at $30 per user — and the higher rate applies to everyone, not just the new hire. A team moving from 10 users to 11 goes from $200 to $330 a month. Pro in turn caps at 30 users, above which Enterprise applies.

Does Calendar.com include SSO?

Not on the published plans. The Pro card lists “SSO (add-on available)” without a price, and Enterprise includes “SSO & SCIM provisioning” as standard. So single sign-on is either a paid extra on top of $30 per user, or requires a quoted Enterprise contract — neither of which can be costed from the pricing page.

How much does annual billing save on Calendar.com?

Exactly 20% on both paid plans. Standard falls from $240 to $192 per user per year, and Pro from $360 to $288. Both figures reconcile precisely to the advertised “Save 20%”, and the annual prices are clearly labelled “/ year” on the cards rather than being shown as monthly equivalents.

What do you like best about Calendar?

Calendar syncs perfectly in different platforms. It can be used integrated to Notion and other organization software. It syncs easily with the Apple echosystem.

What do you dislike about Calendar?

Aesthetics could be better and it could be more intuitive. I would love to see and option for block scheduling and planning. Also, I would like to see more calendar accounts options to have it as a one destination option. However, I think it's a great software.

What problems is Calendar solving and how is that benefiting you?

"First thing I check every morning - Calendar"
What do you like best about Calendar?

Calendar is very easy to use, intuitive, and integrates with nearly every add-on I need to keep me on schedule. It is the first thing I check every morning and I use it across personal and professional.

What do you dislike about Calendar?

Overall, there is not much to dislike about Calendar. Frankly, the only issue I have is with recurring meetings. For whatever reason, recurring meetings tend to not be recurring. This is probably user error.

What problems is Calendar solving and how is that benefiting you?

Calendar keeps me on schedule, helps me schedule meetings and calls that do not interfere with personal life (ie soccer practice, matches, concerts, family gatherings). I put everything in the calendar and keeps conflicts though.

"Calendar is a great way to Manage your time"
What do you like best about Calendar?

I like that I can manage all of my scheduled meetings and events and know exactly who is involved, when the events are, where they will be etc. i also love that I can synch all my calendars from different accounts I manage all in one place and have them display on my personal cellphone as well. I have my calendar set up to send me a reminder an hour before events as well as 10 and 2 minutes beforehand just in case I'm busy and forget. Such a great tool for self managing.

What do you dislike about Calendar?

One thing I dislike about the calendar app is that training new people to use the app is not something that the app walks them through. Especially if they've had an account for a while they may have elected to skip over the tutorial so I end up having to give them a tutorial myself.

What problems is Calendar solving and how is that benefiting you?

Calendar solves my problem of managing my own personal time. It feels really good to wake up in the morning and know exactly what meetings I already have planned. You can block your time as large or as small as you'd like. And if an event is private to you, you can hide the details from your coworkers!!

What do you like best about Calendar?

Being a teacher and having several meetings a day it keeps me informed at all times. I like that it warns me ahead of time that I have something coming up that is important.

What do you dislike about Calendar?

Not much that I don't like. I use so much that I don't feel there are any negative about it

What problems is Calendar solving and how is that benefiting you?

Getting to appointments, meetings, lessons in time. With distance learning it really was a huge benefit with time management.

"Love the tool!"
What do you like best about Calendar?

I like how it aggregates all my Calendars. I have my personal and work calendars all in one place. I like how it doesn't share the personal info with my team and just blocks off the time instead. The team's feature I'm getting used to, but thus far I like how you can easily book with your team.

What do you dislike about Calendar?

Analytics could be built out a lot more. I imagine they will do this in the future though.

What problems is Calendar solving and how is that benefiting you?

Saves me time while keeping my team organized. I think this tool allows me to not have to use multiple productivity tools since it's somewhat of an all in one option.

"Productivity Solution For Individuals and Teams"
What do you like best about Calendar?

My favorite feature of Calendar is the ability to sync all my different calendars and have a dashboard view.

What do you dislike about Calendar?

The app came after the desktop version so the navigation is a little bit different, but it's catching up.

What problems is Calendar solving and how is that benefiting you?

I spend less time scheduling meetings with my team mates. Plus, the meeting transcription feature saves even more time.

"Cohesive"
What do you like best about Calendar?

My favorite thing about google calendar is the fact that it is accessible across an endless number of apps. It makes the witch from my Android, to my iPhone, to my work computer, to my laptop so easy. I can always see what’s next on my agenda.

What do you dislike about Calendar?

I don’t like the fact that I can’t switch off certain events that are automatic to the calendar such as particular holidays. I also wish it was easier to prevent duplicate events that spawn when you sync multiple calendars. I also wish there was an easier way to add events to the calendar from texts and emails.

What problems is Calendar solving and how is that benefiting you?

In general calendar helps me to avoid overlapping in my scheduling for my personal life and my work life. The color coding mechanism and also the set up is very useful. I’ve also realize the benefit of having some events automatically sync from my interactions via email and texting and other apps that sync with google.

"The Analytics Are Key"
What do you like best about Calendar?

The Calendar app has a great user interface and is very smooth and intuitive. The best part is the analytics. The way it is able to show me who I spend the most time with is something I haven't seen in a calendar app before. It seems they are very focused on time management and efficiency and not just day planning!

What do you dislike about Calendar?

I haven't dove in deep enough to find things I dislike but I do like how the developers seem to be on top of adding new features. Would love it to integrate with salesforce.

What problems is Calendar solving and how is that benefiting you?

Managing my time with certain people based on how much I work with them and the analytics that Calendar provides. The benefits of knowing who I'm wasting my time with and who is a great use of my time makes me more efficient in my sales and management.

"programmare gli impegni"
What do you like best about Calendar?

la possibilità di invitare i colleghi per quanto riguarda le riunioni o dei semplici remind. La possibilità di creare notifiche programmate.

What do you dislike about Calendar?

spesso una volta cancellate le prenotazioni che si associano in automatico sul software continuano ad arrivare notifiche di remind.

What problems is Calendar solving and how is that benefiting you?

riesco benissimo a programmare i miei impegni e soprattutto a ricordarlo grazie alle notifiche... riesco anche a programmare riunioni avendo il numero esatto di partecipanti.

"Fresh, Modern Calendar"
What do you like best about Calendar?

Its a simple, beautiful calendar app. The analytics functionality is new way of thinking about my time - opened my eyes as to my time / effort and where it was going. Good to look back and see what I was up to.

What do you dislike about Calendar?

It's in beta still but I havent run into any issues so far.

What problems is Calendar solving and how is that benefiting you?

Group scheduling & rescheduling is pretty awesome. It takes the back and forth out of it and just provides a time that works for everyone. Cut down my texting / emailing to get a time that works for all of us.
