Paylocity completed the $325 million acquisition on 1 October 2024, and the product has been absorbed into its HCM platform. That single fact matters more than any feature comparison, because virtually every review you will find describes a standalone company that no longer sells to you on its own terms.

  • What it is: A spend management platform covering corporate cards, bill pay, expense management, and procurement, now part of Paylocity.
  • Best for: Mid-market companies that also want Paylocity’s payroll and HR, so spend and payroll sit on one platform.
  • Pricing: No longer published separately. Airbase’s pricing page now serves Paylocity’s, which is quote-only via a demo request form.
  • The honest catch: Older reviews, comparisons, and pricing guides describe pre-acquisition Airbase and should not be relied on.

What Happened to Airbase

Paylocity announced its agreement to acquire Airbase on 4 September 2024 and completed the deal on 1 October 2024 for approximately $325 million, funded through its revolving credit facility. Both companies confirmed the completion publicly.

The strategic logic was explicit: Paylocity sells HR and payroll, Airbase sold spend management, and the combination lets a company manage payroll and non-payroll spend on one platform. Paylocity described the goal as a single pane of glass across all company spending, with real-time visibility and a faster financial close.

Airbase’s pricing page today, which redirects to Paylocity’s site and offers a “Request Pricing with a Free Demo” form rather than any published rates.

The practical consequences for a buyer in 2026 are concrete. The airbase.com homepage now identifies the product as “Airbase by Paylocity”. The pricing page redirects to paylocity.com. And Paylocity does not publish prices — its pricing page is a demo request form asking for your employee count, job title, and business zip code.

The product has not been discontinued. But it is no longer a standalone purchase in the way it was, and the evaluation you run should be an evaluation of Paylocity.

What Airbase Does

The underlying capability is well regarded and was the reason for the acquisition price:

  • Corporate cards with policy controls applied at the point of purchase.
  • Bill pay and AP automation, which was Airbase’s strongest area and a genuine differentiator against card-first competitors.
  • Expense management with receipt capture, coding, and reimbursement.
  • Procurement and intake, covering purchase requests and approvals before spend happens.
  • Approval workflows across all of the above, which is what distinguished it from simpler card products.
  • Accounting integration for close automation.

That combination — cards plus AP plus procurement in one approval framework — is what mid-market finance teams valued, and it remains the substance of what Paylocity now sells under the Airbase name.

Airbase Pricing

There is no published Airbase pricing to report. Its pricing URL serves Paylocity’s page, which offers “Request Pricing with a Free Demo” and collects your details rather than displaying rates.

This is a meaningful downgrade in transparency for evaluation purposes. Pre-acquisition, Airbase published tiered plans. Now:

  • Every price is quoted. You cannot compare Airbase against Ramp or Brex without a sales conversation, and both of those publish or offer free entry tiers.
  • Pricing is likely bundled with Paylocity. The commercial logic of the acquisition is cross-selling into HCM customers, so quotes may be structured around the wider platform rather than spend management alone.
  • Your negotiating position is weaker. With no list price and no comparable public figures, you have no anchor.
  • Ask directly whether Airbase can be bought standalone, and on what terms, before investing time in a demo. That is the question the website no longer answers.

Who Should Use Airbase Now

  • Existing Paylocity customers. The clearest case by a distance. If your payroll and HR already run on Paylocity, adding spend management on the same platform is exactly the integration the acquisition was built to deliver.
  • Companies evaluating Paylocity anyway. Bundling spend management into that decision may produce a better commercial outcome than buying separately.
  • Mid-market finance teams needing AP depth. Airbase’s bill pay and procurement capability genuinely exceeds what card-first competitors offer.

It fits poorly for companies that want spend management alone, where Ramp and Brex are simpler to buy and publish more; for startups, where both of those have free entry tiers; and for anyone unwilling to enter a sales process to learn a price.

Honest Pros and Cons

Strengths

  • Genuinely strong AP and procurement. The deepest part of the product and the reason it commanded $325 million.
  • Unified approval workflows. Cards, bills, and purchase requests under one policy framework.
  • Now integrated with payroll. A real advantage if you run Paylocity, and the whole point of the deal.
  • Backed by a larger company. Paylocity brings scale and stability a standalone spend startup could not.
  • Mid-market fit. Built for companies with real finance processes rather than a founder with a card.

Limitations

  • No published pricing at all. Quote-only through Paylocity’s demo form.
  • No longer straightforward to buy standalone. The commercial model now points toward the HCM platform.
  • Existing reviews are out of date. Almost everything written about Airbase predates the acquisition.
  • Competitors are free at entry. Ramp and Brex both offer $0 tiers; Airbase does not.
  • Integration is still settling. Product direction under new ownership takes time to become clear.

Airbase Alternatives and How It Compares

  • Ramp is the leading independent alternative, free at entry, with strong AP capability and a savings-oriented positioning.
  • Brex is free at entry too, though it was itself acquired by Capital One in April 2026 — worth knowing that both major alternatives now sit inside larger financial institutions.
  • Bill.com focuses specifically on accounts payable, which was Airbase’s strongest area, and is often the closest functional match.
  • SAP Concur is the enterprise incumbent for expense and travel, heavier and more expensive.
  • Zoho Expense is dramatically cheaper for expense reporting alone, with published pricing.
  • Rippling offers a comparable payroll-plus-spend combination if the unified platform is what appeals.

The Verdict

Airbase was a good product and remains one, but in 2026 the question is not whether Airbase is worth buying — it is whether Paylocity is. The acquisition completed on 1 October 2024, the pricing page now belongs to Paylocity, and the commercial model has shifted from a standalone spend management purchase to a module within an HCM platform. Evaluate it on that basis and you will not be surprised later.

For existing Paylocity customers this is straightforwardly good news. Spend management on the same platform as payroll is a genuine operational advantage, the AP and procurement capability is stronger than most card-first competitors offer, and the integration is precisely what the $325 million was spent to achieve. If Paylocity already runs your payroll, this should be on your shortlist and may well win.

For everyone else, be deliberate. Ramp and Brex are both free at entry and considerably easier to evaluate, and Bill.com covers the AP strength that was Airbase’s best feature. The absence of any published pricing means you cannot compare without a sales process, which is a real cost in itself. Before booking a demo, ask directly whether Airbase can still be purchased standalone and on what terms — that is the question the website no longer answers, and the answer determines whether this is a shortlist candidate or a Paylocity upsell.

One practical caution that applies to research rather than the product: treat any Airbase review, comparison, or pricing guide that does not mention Paylocity as out of date. A great deal of what is published still describes the independent company and its former published plans, and none of that is what you would be buying.

What do you like best about Airbase?

When submitting an expense through Airbase, its ability to read receipts and auto-fill in the information makes the process very easy. Additionally, as a manager, having clear visibility into what has been approved and where it is at in the process makes sure my team is confident they are reimbursed on time. Typically submitting expense reports is something the team dreads submitting due to the amount of time it takes to submit everything, but Airbase's user experience is top-notch. Finally, it is very helpful to be able to see the total amount you have been expensed to manage your own bills that are being charged on a personal card for business expenses.

What do you dislike about Airbase?

I wish it was easier in Airbase to create a full "expense report" of all expenses for a single trip at the same time rather than needing to submit each expense one by one. This would help understand the cost of each trip for both the employee and their manager.

What problems is Airbase solving and how is that benefiting you?

The biggest problem Airbase is solving for my team is reducing the time it takes to submit expense reports, which frees up their time to be productive in their work. It also provides an easy format for me as a manager to view all expenses in one place and understand what each fee entails.

What do you like best about Airbase?

Airbase is incredibly easy to use when submitting requests for payment or reimbursement. I love how I can follow the approval process and get updated. I also love how our finance team can adjust the line of approvers based on my selected category. For example, if it's something for my team, it goes to my manager, but if it's part of a company initiative, it moves to the correct department to be approved.

What do you dislike about Airbase?

My only dislike would be the inability to submit recurring payments. We can sign up for an annual audiobook subscription as part of our benefits. However, we have to remember to resubmit every year for a new card or submit the receipt for reimbursement. This isn't a huge issue, but would be a bonus if Airbase could accommodate subscriptions.

Airbase makes submitting and reviewing payment requests quick and easy. We get what we need approved in a short amount of time without having to reach out to each person individually to see why something isn't moving.

What do you like best about Airbase?

I like the Airbase Home sidebar that helps me stay organized, toggling between my Dashboard to track my missing expenses, plus having visibility to see my team's missing expenses which is especially helpful to get my boss' receipts turned in. This is an excellent perk for an Executive Assistant!

What do you dislike about Airbase?

Airbase works best by having many different cards, one for each vendor vs. using budget grouping, for example, all of your shipping into one area; for Airbase, you'll need a UPS card, a USPS card, and a FedEx card for best tracking purposes. This has taken some time to get used to, and I'm still not sure where I stand on it.

What problems is Airbase solving and how is that benefiting you?

Airbase has solved a lot of online vendors denying payment at checkout, which often happened with our last vendor, Gusto. I can also have insight and approval for my contractor's invoices, being apart of that process with the Finance Team.

I like being able to track spend on virtual cards with recurring amounts, and it's easy to create requests and get them approved. Honestly best expense platform I've used recently!

What do you dislike about Airbase?

It took me a second to figure out how to upload receipts when they're needed, and the settings for recurring payments and single ones were a little unclear the first time I used it.

Airbase helps keep business expenses simple and on track for our team. It's easy to request funds with links for the services our org already uses, and I know if something is in a dropdown I'll probably get approved for it.

What do you like best about Airbase?

I work at Weights & Biases, and we recently transitioned from Expensify to Airbase. I've had plenty of experience w/ Expensify in the past but never used Airbase, and within just a few weeks of usage there's no going back. The interface is incredibly easy to navigate and the ability to just forward email receipts to an inbox and have Airbase automatically recognize the merchant, date, and charge, and with literally two clicks create a reimbursement request -- so much faster than anything I've used in the past. Love Airbase and can't recommend it enough.

I enjoy the simplicity of using Airbase, and submitting my payments and receipts in just a few minutes. The platform is sleek, modern, and so intuitive that I was able to figure out how to use it right away, without any training necessary! It is as straightforward and intuitive as it gets :)

I have been using Airbase to submit all of my receipts for our tools and accounts and must say, there is nothing that comes to mind that I dislike about the platform.

- Great expense creation flow, including automated receipt info extraction - Great expense approval and tracking flow! Very easy to find the status of expenses - Have used 1-2 other expense tracking platforms, but they're all old and clunky; not Airbase! The UI is slick and responsive, with features easy to find.

- Not much -- it's pretty solid! - Sometimes, the automated receipt extraction takes a bit longer than it would take to input the data directly. But, I still like the feature - Was a bit tricky to find one or two features, but after playing around in the UI a bit I found them without much hassle

- We submit expenses through Airbase. The automated receipt info extraction helps a lot, and the UI is pretty straightforward + minimal, unlike competitors, which can be very complicated - As part of expense management, we need to approve expenses; that whole process is very easy + intuitive (including getting notified when expenses are submitted and need a review) - Tracking current and historical expenses is functionality we need (which Airbase provides!)

What do you like best about Airbase?

The ease of Airbase's UI compared to previous old, clunky expense management tools we've used makes submitting, reviewing, approving, and tracking an expense feel easy and not something employees dread. Also, Airbase's Slack integration is extremely useful for managers approving expenses, resulting in employees receiving reimbursements very quickly and efficiently.

What do you dislike about Airbase?

Being able to submit multiple reimbursement requests from a single UI will be helpful as an optimization, but the current experience is great as is and we don't have major dislikes.

What problems is Airbase solving and how is that benefiting you?

Airbase is helping companies run efficient expense management, approval, and budget tracking process. As a manager, it makes it easy for me to review and approve expenses quickly, and as an employee, I have a peace of mind that I'll be receiving reimbursement quickly. Airbase's UI is modern and feels like using a consumer application, which is a breath of fresh air.

Airbase makes it super simple to automate internal spend requests to simplify operations across our team. It truly does make it easy for teams to request, approve and execute spending needs and is key to allowing us to streamline our field management efforts. The automation of creating virtual cards and PO's is great and makes life easier for us.

What do you dislike about Airbase?

I don't have anything that I dislike about Airbase. The only comment I would make here is that like any tool, there's a bit of a learning curve. However - after you do 1 or 2 requests it's super simple to use.

Streamlining operations related to spend. We use it for marketing, sales and other operational expenses and it makes my life way simpler.

What do you like best about Airbase?

How straightforward and user friendly the platform is. I don't have too many receipts here at Scoop but it took me all of 5 seconds to figure out how to submit expenses and leverage the virtual card feature. What's nice is there's not this weird extra step of having to create a report and then add the receipts to that — you literally just drag and drop, select a few fields, and then poof! Off to reimbursementland.

What do you dislike about Airbase?

I haven't run into anything I dislike as of yet. I'm also not a mobile user but interested in trying out the iOS app and seeing how that experience compares to desktop.

What problems is Airbase solving and how is that benefiting you?

I always put reciepts at the very bottom of my to-do list (even though it's my money!). Having a solution like Airbase that makes it stupid simple to get reimbursed goes a looooong way in encouraging me to actually do the reimbursement in the first place.

What do you like best about Airbase?

As a manager, Airbase is the only tool you'll need to stay on top of your team's expenses and spending. The two best features for me are the Airbase dashboard and virtual cards. The dashboard highlights key metrics like a summary of the expenditure, pending approvals for my whole team, and all transactions I've approved and denied within the last 45 days, which are very useful when tracking spending. The virtual cards come in handy when running different campaigns, allowing us to stay organized and not overspend.

What do you dislike about Airbase?

Currently, there is nothing that I dislike about the product. My team finds everything straightforward and user-friendly when submitting reimbursements, and I can say the same about managing them! Overall great product!

What problems is Airbase solving and how is that benefiting you?

The simplest way to put it, Airbase helps me execute my budgetary goals. The dashboard offers a form of accountability that allows me to stay on track and the virtual cards help insure I don't overspend!

What do you like best about Airbase?

Setup is quick, straightforward and everything goes through relatively quickly. We use Airbase internally for our reimbursements, and our previous process was with another vendor that had a convoluted interface and too many clicks. The longer the process is (compared to what I want to get done), the less likely I am to do it, and I'm happy to say that Airbase has made it much easier to submit my receipts for reimbursement, and get everything approved by our AR team.

What do you dislike about Airbase?

I'm not aware of any downsides, as I don't use things like the Invoice feature for sending externally. The only complaint I may have is that sometimes I'll have a reimbursement request flagged as duplicate (our budgets for phone and internet are the same and must be uploaded separately), even if the category selected is different and there's a different receipt attached. It's easy enough to click "Review" and then approve submission of both, though, and the interface makes it pretty clear that's a thing you can do.

What problems is Airbase solving and how is that benefiting you?

As we're all working from home now, we have certain stipends (supplies, monthly bills, etc) that can be reimbursed. With our previous vendor, it was a tedious process to submit the details of the transactions (it would often try to override my input with auto-scanned input that wasn't always correct), and I haven't yet seen Airbase try to take the wheel from me, so to speak. It's also very transparent as to where in the process everything sits as far as requests go.

"Keeps my life easier as a rep"
What do you like best about Airbase?

Favorite feature as an end user of Airbase is being able to email my receipts in. Let's be honest, taking photos of your receipts is annoying. Nowadays everyone has "email me a receipt" or digital receipt as an option and I can just forward that into airbase like its my personal expense secretary. Also I travel a lot and deal with different currencies but Airbase handles the conversion into USD so I don't have to worry.

What do you dislike about Airbase?

The scanning sometimes can be wonky and it won't pull the correct merchant name but its a pretty small inconvenience.

What problems is Airbase solving and how is that benefiting you?

Handling reimbursements. We have a large team around the world and just cover expenses then send in reimbursements. Its easy for us to get paid quickly for things we expense on the company which gives me no hesitation using my personal card for work expenses.

What do you like best about Airbase?

I like the app's interface, and how easy and intuitive it is to use. Also, the option to use virtual cards when the physical card is not available is amazing. Submitting receipts and requesting reimbursements is very very simple.

What do you dislike about Airbase?

I did not encounter anything that I have disliked so far, neither on the website nor the app.

What problems is Airbase solving and how is that benefiting you?

Individually I can say that mostly for reimbursements and budgets. Our company has a monthly balance, which can be used for company lunches, etc., and we use it for home office supplies reimbursement requests as well. It has made it easy to both request and receive reimbursements and funds.

What do you like best about Airbase?

Whether it's dealing with my own expenses/reimbursements/bills or keeping an eye on all the cards and virtual cards my team has, the tools give me a clear view.

What do you dislike about Airbase?

I've had a bit of trouble with the round trip mileage expense entry screen being buggy and miscalculating and/or never submitting.

What problems is Airbase solving and how is that benefiting you?

Compared to Divvy, Airbase reduces the administrative load without losing any of the clarity or accountability. It's also flexible enough to handle the exceptions and oddities that come up in real life.

What do you like best about Airbase?

The receipt auto-scanning is the best! It takes care of all the required info for you and all you have to do is upload the receipt, click submit. Two steps and you're done!

What do you dislike about Airbase?

Was a little tricky to link my bank account on mobile, I would recommend using the desktop browser to add that info and from there you can continue using the app or mobile to do everything.

What problems is Airbase solving and how is that benefiting you?

Have a company expense to submit? Airbase allows you to submit your expense with no effort.

Airbase platform is perfect for a fresh startup that needs that financial infrastructure. It brings together all important tasks (Invoicing, Purchase Orders, Virtual Cards and Bill Payments all in one.

What do you dislike about Airbase?

Enhancements and software modifications take a long time to be implemented (filtering, reporting, configurations). Need to speed up turnaround time for those items that are minor in nature.

Purchasing (POs) and Invoicing with the 2 way match.

What do you like best about Airbase?

I've used a couple different reimbursement platforms in the past and I like how easy to navigate Airbase is. I often have to approve reimbursements our remote employees and Airbase makes it easy to set up "max amount" rules and track users as they take advantage of various stipend policies. I also LOVE the virtual card option!! I have a platform that I subscribe to for an annual purchase, and I don't have to worry about remembering when that needs to be updated or track down someone remotely that has a card. This is so easy to use and saves me so much time!

What do you dislike about Airbase?

Sometimes I can get lost tracking things if I'm not paying attention to the pre-set filters on some pages (pending, approved by me, approved by all, etc). Otherwise it's really easy to navigate.

What problems is Airbase solving and how is that benefiting you?

Airbase is our reimbursement tool for our US-based employees. One place for us to track all outgoing expenses and reimbursements. The finance team compares their reporting to overall spend and it's so easy!

"Easiest spend management solution I have ever used"
What do you like best about Airbase?

Airbase is super user-friendly. I was able to download the app, and with no training I submitted my first expense in about 2-3 minutes. Long gone are the days of compiling receipts and filling in excessive details.

What do you dislike about Airbase?

Sometimes I have trouble with submitting things for approval with the app. When I try to submit the expense it just won't submit. It doesn't give me any errors or anything, it just won't submit. I can usually accomplish this on the website, which I never have any problems with.

What problems is Airbase solving and how is that benefiting you?

I am tracking my work-related spending whether I'm traveling for work or buying office supplies. Airbase allows me to view all my charges to my corporate card and it automatically categorizes the expenses or reimbursement requests. The biggest benefit I see is that it saves me a ton of time when creating expense reports.

What do you like best about Airbase?

Once My invoice is submitted, Airbase seamlessly exports the expenses along with invoices. I can easily track the approvals and the most impressive feature is that I will get notified once My Bill payment is approved! I can also easily integrate it with Slack.

What do you dislike about Airbase?

Nothing so far. The existing features seem sufficient to me. Everything works perfectly fine.

What problems is Airbase solving and how is that benefiting you?

I am able to manage My expenses easily with Airbase and am able to reimburse the spending through My organization. I am productive in a way that I need not worry about My expenses once I submit them in Airbase.
