Ease of use! No lengthy training is needed for users -- everything is fairly self explaintory in how to use Airbase. Our company has defined practice policies that we need to be aware of, but outside of that its easy for me to go into the platform to request payment for my programs.
Only feature that is missing, from my view, is a history of approved purchase order requests. I have to dig around for what I'm looking for vs the virtual cards shows a summary of pending, approved, denied, and archived.
Making it easier for users to request, receive approval and make payment for program funds.
Airbase was the benchmark when we were scouting for options for US. Automatic syncs with QuickBooks and Netsuite, automation of vendor bill accounting, approvals and payment processing, reporting solutions, virtual card offering, ease of use and navigation - all of these offerings on a single platform; there is nothing more one could ask for!
Initially, it was a little confusing to understand, but you eventually get the hang of it.
Literally, everything that I've mentioned under 'what I like best.'
The user friendly platform. It is very easy to navigate Airbase. I also love that there are so many suggestion sand prefilled boxes.
Nothing, I love the application. This is the best expense platform I've used.
Time saving and it keeps me organized.
Airbase is easy to use, whether it be on the app or on an internet browser. Easy to navigate, easy to track the status of the reimburement. Easy for everyone all around honestly! Thank you for making getting reimbursed by my company so simple!
Really no negatives that I have seen using Airbase and I have been using it for about a year and a half.
Being able to book travel through work and easily being able to submit for reimbursement!
The most helpful aspect of Airbase is the app. We use airbase every month, to submit for reimbursements. Having a friendly interface makes submitting these requests quick and easy.
Virtual cards are not accessible in the App.
Quick and easy reimbursement from the employer.
I love the mobile app (so easy to use and submit receipts while I'm on the road) and how easy it is to email my receipts to Airbase, which can then be auto-populated and submitted for reimbursement in less than a minute. I don't need to create Expense Reports as a "container" for my receipts, which has always been a pain in other systems I've used, like Expensify, SAP / Concur, and even Brix. The receipts are then reviewed and approved by my manager and AP one at a time, so I get my reimbursements way faster than I have with other systems. This makes for less interest payments on my personal credit cards!! I also like the Virtual Card feature. Previously, it has always been a hassle sharing a credit card across a team or asking a manager or executive for their credit card details for recurring or one-off purchases, not to mention not very secure (often, people are emailing credit card numbers and CVC codes or attaching pictures of cards to texts, etc.). The Virtual Card feature makes it much easier, FASTER, and safer to set purchasing limits and make approved purchases without a lot of steps and red tape. Finally, I LOVE seeing the total amount to be reimbursed, highlighted in orange in big numbers at the top right of the screen, so I know where I stand at any given time. Other systems I've used, it was difficult to tell what reimbursements were still pending and how much overall, especially since they were grouped by expense reports.
The "Request a Reimbursement For" pop-up screen when you first open / log in to Airbase on your desktop browser is annoying. I log in for different reasons, sometimes just to upload a receipt or to check the status of approvals and reimbursements, and the first few times, it took me a minute to figure out I just needed to close that window. I just want to login and do what I need to do. A small nit and very right-hand centric critique: When in the Approved tab on the home page, I would prefer the "Search by Vendor" field to be on the right vs. the left. For some reason it throws me off and I feel lost when what I really want is the Unpaid / In Progress / Paid buttons.
As a frequent business traveler in sales, Airbase is a gem. Expense reports used to be so painful for me and I would let them languish for weeks, accruing interest charges on my personal credit cards because I hated logging in to previous systems and having to split hairs to create expense reports, map receipts to reports, itemize hotel charges, etc. Airbase is so simple and FAST and actually pleasant to use (good UI). I haven't had an interest charge or a late payment fee on my personal credit cards in the 7 months it has been rolled out at our company. I also don't spend as much of my nights and weekends trying to enter a bunch of receipts--I can quickly scan them in the mobile app as I travel, or email them to Airbase using the designated Airbase email address. While other systems do these things too, I always had issues with the emails getting lost or not being routed correctly, or the UI to scan a receipt on the fly required too much manual entry.
I've been using Airbase for quite some time now and let me just say, it's a game-changer! Here's why: 1. Streamlined Expenses as it offers an easy to use interface that allows quick approvals and real-time tracking. 2. Integrations are a breeze to implement. With multiple payment options, from ACH transfers to international wire, Airbase has truly made it simpler to settle invoices and manage my vendors. 3. Kudos to Phenomenal Support. Any questions or issues are resolved in a jiffy, thanks to their responsive and knowledgeable customer service. 4. Reporting Feature helps me dive into history, budgets and analytics. 5. Email notifications for complete visibility into the approval workflow. Love it !
While the capabilities are extensive, smaller businesses might find the pricing a bit on the higher side for their budgets.
Before Airbase, managing expenses was tedious, involving multiple steps like approval workflows, receipt collection, and reimbursements. Now, Airbase streamlines this entire process, enabling quicker approvals and real-time tracking. It has certainly reduced administrative burden, freeing up our finance team to focus on strategic tasks.
Airbase is easy to use and the support team is helpful on answering any questions coming up in reimbursement
It would be great if Airbase could support multiple currency for reimbursement for our Canada hub employees.
Fast reimbursement approval process
The seamless ability to submit reciepts and expenses are the best!
There are a few times where my reciept will duplicate multiple times
Purchasing items for the business- using airbase, I immediately get reimbursed.
I really like the Airbase application. The best part of this user friendly app is the ability and ease of taking pictures of my receipts and sumitting them for reimbursement from my phone. It is simple to navigate around the app, it is quick, and very efficient to track all expenses. The app saves me precious time on my daily routine and with a few clicks your expenses are tracked. Another feature I have just started using more is the Virtual Card. I did not know anything about getting a virtual card, but it has saved me from having to pay upfront for expenses and then having to wait for reimbursement. It is simple to request the card and is a seemless process to pay with this card. Expensing with the app is easy, but the virtual card is even easier!
Sometimes, the 'Receipt Inbox' feature does not read the information within the attachment correctly, but I feel like it has been improving a lot.
Airbase is helping solve the problem of having to pay for large expenses upfront with my own wallet. When I book hotels, pay for certifications, etc, I am able to use the vitual card to pay for these large purchases vs having to pay myself and wait for the reimbursement. This has been a huge time saving benefit, as well as saving myself from having to worry about high reimbursement cost. There isn't a need for me to have to hold onto a corporate card, as it is not often I need one, but has saved my own credit card from having to be used for the large dollar purchases.
Overall, it's incredibly easy and simple to use
Some things can be a bit cumbersome, ie recurring expenses
Airbase is making it easy for employees like myself to manage our company expenses through an advanced AP utility
Easy to establish policies, coding, and approval flow. Cashback is a good way to offset the cost of the system.
Reimbursment is a bit clunky. Hard to filter/see transaction date. Does not refresh correctly.
Remove email approvals, provides detail of payment and more visibility.
Simplicity - the step by step process for entering information is very user friendly and easy to use.
I would like to see the ability for a payout, other than entering my bank account information into the system.
Reimbursements for business travel. This puts money back into my pocket from necessary business travel.
I like that Airbase has helped with alot of our AP processes. It has made the job so much easier and effective.
A downside would be just the manual work of some of the invoices when syncing to our ERP system.
Airbase is helping us solve the AP side of business and it is benefiting us in that we have everything in one place and able to use the Invoice module, payments (virtual, physical cards) as well as T&E.
I love that Airbase sends you alerts immediately and you are able to export reports easily. The Flags are always helpful. It reminds me to attach my receipts to avoid back and forth for approvals. It also breakdown costs by vendors, months, departments, etc. Love it!
I have not ran into no real issues so nothing at the moment. I guess sometimes it does not give me the option to deny expenses but after a hard refresh it does.
When my company partnered with Airbase it allowed us to manage our funds a lot better. It gives us visibility into our team expenses and how much we have left in our budget to manage.
Spend management solutions help small businesses like ours gain better control over our expenses. We can set spending limits, create approval workflows, and enforce spending policies.
Some people may find certain features of spend management too complex or needing a learning curve. However, usage becomes easy with growing experience and familiarity.
Airbase provides real-time visibility into company spending, helping us identify trends, areas of overspending, and opportunities for cost reduction. This transparency is crucial for making informed financial decisions.
There integrations as they offer integrations with popular accounting and financial systems like QuickBooks etc.
Airbase primarily supports electronic payments, which may not be suitable for organizations that rely heavily on paper checks or have unique payment needs.
Airbase maintains a detailed audit trail of all financial activities, ensuring transparency and compliance. This is useful for us as per the regulatory requirements.
The best thing about Airbase is how easy it is to use (both from a user perspective and an admin perspective). It does most of the work for you. When compared to other platforms I've used, this one has been the best one hands down.
At times there may be some issues that come up but their support team is quick to resolve them. The team is also impressively quick at adding new functionalities that you suggest.
In the past, our AP management, credit card and out of pocket expense management all took place in three separate systems. Airbase has resolved this by being the one stop for all AP, corporate credit card and out of pocket expense reimbursement. This makes it incredibly easy to track, review and approve all expenses.
All of spend management in one place, allowing me to quickly go from Invoicing to Vendor management, from Expenses to individual Virtual Cards.
There are a few minor bugs when it comes to UI, but the data is intact.
I can seemlessly perform invoice intake, vendor management, and expense review.
I LOVE that Airbase allows you to create virtual cards for approval so you can avoid using your personal card and then working with your team to expense/get reimbursed.
I wouldn't say there is anything that I dislike. There are things that take a bit to get used to, but they're not deal-breakers. For example, you can't see your latest virtual card approval on the dashboard (unless I'm missing something). However, if you go to "Virtual Cards" on the side panel you'll be led to your list of virtual cards. Again, not a deal-breaker just a piece that would add convenience.
Airbase allows for me to have a seamless "submission" or process for reimbursement with my company. I can create virtual cards that will be charged instead of my personal card. This goes for recurring things like gym memberships or one-time purchases like conference tickets. I think it allows me to move faster when I'm purchasing something for work because there is no worry about "how long will this process take?," "when will I be reimbursed?," etc. It allows me to submit a request that is sent directly to my approver and upon approval I am notified and can start using my card. It's easy to upload receipts to complete the process and it's very easy to navigate the platform.
