I like that Airbase is user-friendly and that it keeps the company transparent on spending. I think it helps our team budget, and analyse where spend has trended in the past.
I wish there could be multiple owners for one virtual card. I am the sole owner of a virtual account. However, it makes it complicated when I am out of the office, as my co-worker cannot upload receipts when I am gone.
We use the reporting to easily see what and where our budget is trending. It helps to give us insight into where our money is going. We post job ads on outdated sites that offer little invoicing, so it is nice to have all of the spending information in one place.
The best thing about Airbase is the ease of use of the platform. I had an executive member of my team invite me to use the airbase, and it was been such a seamless experience ever since. I have been able to invite other members in my organization easily as well and can submit business expenses without a problem every month.
There really is no downside to using Airbase, for me personally. I do not manage finances for my organization, just submit my own business expenses. I have heard that the capability for larger expenses, and reporting, is very helpful.
I am solving the personal problem of being able to submit, track, and review my current spending that is ultimately to drive more business for myself. I also use Airbase to pay out individual vendors and teams, and it is a seamless process for them as well.
Before Airbase we had multiple corporate cards across our team and, over the years, it became pretty annoying to have to remember which card which expense was on and who was responsible for it. It's been so nice to have all of our expenses flowing through one system. No more chasing down receipts at the end of the month to match expenses from across the team.
There were a few 'new' things to get used to with Airbase but spending a little bit of time clicking around the dashboard allowed me to get myself situated. It would be great to customize the dashboard to my exact needs, but that's really grasping at straws for a 'dislike.'
With a large team and many projects running in parallel, it's easier to stay on top of the spending and allocation of budget across the different projects. It's also been great as an easily accessible source where I can reference past invoices if needed.
Easy to use and help's keep track of your items
The navagation around the site from slack notifications to entering the website
I find it easy to navigate back to previous items if needed
Airbase is a wonderful automated tool for all things related to Accounts Payable. Our team finds it easy to manage all spend activities. There are so many amazing features - auto-scanning the invoice and pre-populating info, receipt reminder auto-generated emails, setting up POs, putting limits on expense reimbursements, syncing automatically with the GL, paying invoices with a simple click of a button; all these tools help save time. And the support team if needed is great. I am happy our company uses Airbase as it is a top-notch SaaS Spend Management Software and makes our jobs easier, and that is key!
A month ago, I would say that it doesn't support multi-subsidiaries, but they are currently working on multi-subsidiary support, and this will be available, so that will be excellent to have.
It is the one tool/software we need to manage all spend - AP, exp reimbursements, PO set-up and approvals, and it all syncs with the GL so this automation is key. Paying AP is also a simple click of a button - love that!
I enjoy being able to navigate easily through the website. Processing invoices and expenses are pretty fast.
I would not say it's a downside, but there are times I want to see a preview of the bill. I would have to click the entire invoice and go back again, and the page refreshes to the beginning of the list.
We are automating the billing process to be able to sync over to other systems.
I love the user interface. I have used other cloud-based systems before but Airbase has a friendly UI akin to how most startups operate. The Purchase Order Bill processing as well as regular Vendor Bill process is quick and easy and I LOVE the OCR character recognition.
Early on in the implementation process, we had to express urgent requests multiple times. Once addressed they would be resolved but I did not like to have to advocate for urgency especially on a platform that is supporting financials and eventually reimbursements.
All the above, so far A/P Automation has been a huge time saver for our team and allowed us to focus our time and energy on other projects to help the team run more effectively and efficiently.
Our relationship with the airbase is going on two years and we are extremely happy with the offering! Airbase allows us to have all of our spend management in one place with approvals for POs, Invoices, Virtual and physical cards, and reimbursements. From an operations perspective, airbase replaced bill.com, brex, and Expensify for us. From an accounting side, we were able to speed up our close by 6 days. Most recent OCR functionality also allows us to reduce time in invoice processing. International wires are excellent!
1 - I wish there was an integration with zenefits for managing employees and their manager relationships 2 - wish there was an "on vacation" setting for managers to delegate their approval queue to a designated individual.
We met our goals in establishing lightweight but robust controls for spend and improving close timing.
The pricing model was perfect for us along with the fact that during the vendor onboarding they collect the W-9 and other documents for us so that we don't have to. Makes onboarding way smoother.
Its less of a disklike than it would be better if they could get the payment pace from 5 days down to 3 days for ACH. But given it's free, as long as you schedule it properly it's fine.
Onboarding and paying my contractors is simple and efficient. Less for me to do and the workflow when we implement will make it smoother also.
We love that the consolidated tool has the entire procure to pay cycle in one software. It cuts down on the number of places that employees need to go and is a wonderful tool for us to seamlessly complete the PO's, bill payments, virtual card, and expense report process!
The virtual card feature does not match against open PO's. If you are able to match the virtual cards against open PO's it would help track spend better and give a better accrual for us in accounting.
We are solving the need for more visibility for our leadership team, more accountability with receipt collection, and limiting the risk of ghost transactions!
It saves us time with AP, expense reports, credit cards (virtual cards). We are happpy and satisfied.
We have not experienced any issues with Airbase.
We have improved the manual work by using Airbase for Accounts Receivables.
Love the aspect that AIrbase can populate the previous invoice entry data to the current invoice, which lessens the keystroke entry. Being able to see the last invoice processed data is instrumental, no need to open another tab.
Unable to create Prepaid Amort schedule for non-US subsidiary, not sure if it's a cause of currency issue?
I had an earlier issue with transaction data export as it was not gathering all the information I was seeking. Airbase helpdesk was able to help me resolve the problem very quickly.
Easy to keep track of reimbursements, get paid right away, accountability
There is nothing I haven't liked about airbase
No longer have to email receipts, have them get lost, and wait for payment
How easy to use Airbase is, and the number of companies Airbase is working with
That I needed a physical card in the Apple store
Avoid long processes with financial receipts. Easy to use
It is so easy to report expenses. I feel more comfortable when on a trip because I know that when I get home, I won't have to go through the headache of checking through all my receipts and sending photos in or creating spreadsheets.
I haven't had any issues so far. It is a really easy program to use.
With Airbase, I have been able to get preapproval for my expenses, taking the guesswork out of business travel and allievating frustration when I return home.
When reps need something expensed, I'm confident in redirecting them to Airbase to get it done quickly and without any additional questions. Now that we're using virtual cards through Airbase, managing spend throughout the team is even easier. Overall, the platform is intuitive and straightforward.
No dislikes, but I did run into some trouble uploading a receipt once - however, a quick refresh of the page did the trick!
Hassle-free approval and not having to worry about physical receipts when using virtual cards.
It's fast, painless for both ends. You don't need to wait for approvals or the tiring process of reimbursements.
At the moment they don't have a physical card. But the I belive it will change really soon.
Allowing the remote team to buy equipment from their locations, launch allowances, gift cards for special occasions.
Airbase is really easy to use. In my previous role, managing expense reimbursements was quite complex and laborious. I would often have to collect physical receipts and hand them in manually or scan them in. Being able to take screen shots from my receipts and statements has saved me tremendous amounts of time. Now we have implemented virtual cards through airbase, which has made that process even easier. They're saving hours of my life anytime I return from a work trip.
I haven't run into anything I do not like yet—breath of fresh air based on previous experiences.
Getting preapproval for work expenses has made it much easier to travel. No longer have to worry about tracking purchase amounts, receipts or context. Really the biggest benefit I've seen is just not worrying about taking a couple of hours out of my day upon return to submit expenses.
I love the simplicity and functionality of the platform. I have worked in sales for years and used other expense management software at previous companies. Hands down, I have been impressed with the end-user experience Airbase provides in comparison. For companies that need a simple way to manage expenses/payments for their employees, Airbase is a seamless solution.
I haven't found anything yet to dislike.
We are using Airbase's virtual credit card functionality. I love the ease of use and removing the need for a tangible credit card for large purchases.
How i can approve requests from my email
Navigating between my reimbursements vs my teams
Not having to use their own money and giving pre-paid cards
