Act! sells three cloud tiers at $30, $45, and $60 per user, and what actually separates them is how many marketing emails you can send. Standard allows 2,500 a month, Professional 25,000, and Ultimate 50,000. The CRM underneath is broadly the same product throughout. Understand that and the pricing page stops looking like a capability ladder and starts looking like what it is — an email volume plan with a CRM attached.

  • What it is: A long-established CRM for small and mid-sized businesses, bundling contact management with email marketing and, unusually, still offering an on-premise option.
  • Best for: Small businesses that want CRM and email marketing from one vendor, and organizations with a genuine need to host data themselves.

What Is Act!?

Act! is one of the oldest names in contact management, dating to the late 1980s and passing through several owners since. That history explains both its strengths and its reputation: it is deeply featured and genuinely mature, and it carries an interface lineage that reviewers routinely describe as dated next to newer competitors.

What distinguishes it in 2026 is scope. Most CRMs at this price handle contacts, deals, and activities and expect you to buy email marketing separately. Act! bundles both, and at the higher tiers adds marketing automation, lead scoring, quotes and payments, appointment scheduling, forms and surveys, website chat, event management, project management, and accounting integration. For a small business that would otherwise assemble four subscriptions, that consolidation is the real argument.

It is also one of very few CRMs still selling a genuine on-premise product. Act! Premium Desktop runs on your own infrastructure with networked access, which matters to businesses with data residency requirements or a firm preference for not putting their customer list in someone else’s cloud.

How Act! Works

  • Cloud or desktop. Act! Advantage is the hosted line; Act! Premium Desktop is installed and managed by you.
  • Email sends as the metering dimension. 2,500, 25,000, or 50,000 per month by tier — the clearest differentiator between plans.
  • Contact and pipeline management. The core CRM, full-featured on every tier including the cheapest.
  • Bundled marketing. Campaigns and nurture sequences from Professional, full marketing automation with lead scoring on Ultimate.
  • Quotes, scheduling, forms, and chat. Standard versions from the entry plan, advanced versions from Professional.
  • Cloud storage by tier. 15 GB, 25 GB, and 35 GB respectively.

What this means for your decision:

  • The upgrade trigger is email volume, not CRM capability. Standard is described as a “full-featured CRM,” and it is. If you send 2,000 marketing emails a month, Professional’s extra $15 per user buys you send headroom and some marketing tooling, not a better CRM. Work out your send volume first — it is the number that picks your tier.
  • 2,500 sends is genuinely tight. A list of 1,000 contacts emailed twice a month exhausts it. Any business doing real email marketing lands on Professional, making $45 the practical entry price.
  • Desktop costs more than entry cloud. $39 against $30. On-premise is often assumed to be the cheaper, no-frills option; here it is a deliberate premium for control. Choose it because you need to hold the data, not to save money.
  • Everything is billed annually. There is no monthly option advertised, so the free trial is the only low-commitment evaluation.
  • Per-user pricing compounds normally. Five users on Professional is $225 a month, ten on Ultimate is $600.
  • Consolidation is the value case. At $45 per user you are getting CRM, email marketing, quotes, scheduling, forms, surveys, chat, and project management. Assembled separately from best-in-class tools, that stack costs considerably more.

Who Should Use Act!

  • Small businesses wanting one vendor. The clearest case. CRM plus email marketing plus quoting from a single subscription genuinely simplifies both billing and integration.
  • Organizations needing on-premise. Act! Premium Desktop is a rare option in a category that has almost entirely moved to cloud.
  • Established businesses with existing Act! data. Decades of contact history is a real reason to stay, and migration is genuinely painful.
  • Teams doing moderate email marketing. Professional’s 25,000 sends covers most small-business campaigning without a separate platform.

It fits poorly for teams that prize interface quality, where Pipedrive and monday CRM are markedly more pleasant; for businesses wanting a free tier, which HubSpot CRM and Zoho CRM provide; and for sales-led organizations needing deep pipeline analytics, where dedicated sales CRMs go further.

Honest Pros and Cons

  • Genuine breadth. CRM, email marketing, quotes, scheduling, forms, chat, and project management in one subscription.
  • Full CRM on the entry plan. The cheapest tier is not a crippled version of the product.
  • On-premise option. Rare, and decisive for organizations with data residency requirements.
  • Mature and stable. Decades of development show in feature depth.
  • Bundled marketing automation. Lead scoring and progressive profiling at Ultimate, without a separate platform.
  • Dedicated onboarding specialist included from the entry tier.

Limitations

  • The interface shows its age. The most consistent criticism, particularly against newer competitors.
  • Tight email allowance at entry. 2,500 sends pushes most marketing-active businesses to $45.
  • Desktop costs more than entry cloud. $39 versus $30, which surprises buyers expecting on-premise to be cheaper.
  • Annual billing only. No monthly option for a low-commitment start.
  • No free tier. Where several major competitors offer one.
  • Bundled tools are adequate, not best-in-class. The forms, chat, and project management are convenient rather than excellent.

Act! Alternatives and How It Compares

  • Zoho CRM is substantially cheaper with a free tier, and far stronger if you use other Zoho applications.
  • HubSpot CRM has a genuinely free CRM tier and a more modern interface, with costs rising sharply as you add marketing.
  • Pipedrive is the better sales-focused pipeline tool, with a cleaner interface and less bundled marketing.
  • Keap is the closest philosophical competitor — CRM plus marketing automation for small business — at a higher price.
  • Insightly combines CRM with project delivery, which suits services businesses.
  • Freshsales and monday CRM are the modern-interface options at comparable cost.

The Verdict

Act! is a consolidation play, and judged on those terms it holds up. For $45 per user a small business gets a full CRM, 25,000 monthly marketing emails, quotes and payments, appointment scheduling, forms and surveys, website chat, event management, project management, and accounting integration. Buying those capabilities separately from category leaders would cost noticeably more and require the integrations to be your problem. If you want one vendor, one invoice, and one support number, that is a legitimate and underrated reason to choose it.

The way to price it correctly is to start from email volume rather than user count. Standard at $30 includes the full CRM, so the $15 step to Professional is buying send headroom — from 2,500 to 25,000 a month — plus marketing tooling. A business emailing a list of a thousand contacts twice a month has already exhausted Standard, which makes $45 the realistic entry point for anyone doing marketing at all. Conversely, if you genuinely only need contact and pipeline management, Standard is a complete CRM and there is no reason to move up.

Two honest caveats. The interface is the most consistent criticism in reviews, and if your team has used Pipedrive or monday, Act! will feel dated — that is a real cost in daily use, even if the functionality is there. And note that Premium Desktop at $39 costs more than entry cloud at $30; on-premise here is a deliberate premium for holding your own data, not a budget option. Choose it for control, and if control is not your requirement, the cloud plans are both cheaper and less work.

I've been using ACT! since the DOS days and have been very pleased with it from day one! I like that it easily interacts with my iPhone and is easy to track contacts and orders. In addition, the scheduling is essential tool.

What do you like best about Act!?

I have been using Act! for almost 20 years. for my needs there is not a better contact manager. I often need to look up contacts on data other than Name or phone # . ACT! allows me e to search under any contact field and partial data. This is rather useful for me. Also the ability to easily export data to MS Word & Excel and easily change column header information is very useful for me

ACT! has a large learning curve. its complicated and SQL server is a resource hog on my computer

I like the power of keeping my contacts organized and in a single location. I also like the way ACT! integrates directly with Office 365 to manage my contacts.

I have everything I need on a company at my finger tips. Everything is in one spot with easy access. Also like the fact it can sync to Outlook which is a big plus.

Easy to enter fields and update client information. Reports available to run were useful and helped our practice stay up to date.

What do you dislike about Act!?

To truly customize our template/layout for fields, it was expensive to hire a consultant to create what we needed. But once created it was great to use.

Easy to use with a nice productive interface. Easily add/update contacts on the fly. Automatically attach emails, notes, documents with a click of a button.

This is a very unstable application. In all my years, I've never seen an application with so many varying errors.

Customer & technical Services are great. Spoke to technical Support few times over past few months.I believe it was Chennai Center. Very courteous and professional services.

What do you like best about Act!?

It has darn near every type of field available, action built-in and follow-up type of alert you could possibly think of. You can custom create more fields, run reports on all fields even those you created, you can customize the view and layout that every user in your organization will see, or create one for different departments that displays the fields they use the most. My accounting team loves me for this, as I created custom views for them that shows the customer information pertaining to their department. The backup routine is super useful and it works! You can setup what days, time and destinations to backup to, including network shares that are attached via iSCSI, local drive, external drive, or setup a routine to backup and copy it offsite. De-duplication tools are really useful and it integrates with email clients to record emails automatically that it matches to profiles inside your ACT! As it uses SQL databases, you can offload this to another server to speed up the processes and to grow the database to whatever size you require.

What do you dislike about Act!?

It is huge. It is a mega-huge program and takes a long time to load. In today's world, we want speed and only load up the useful things pertinent to my job. I do not need it loading 10 thousand other things that I'll never use. Making it more customizable to remove all the excess items that are great, but I'll never use in my company, would make it less 'heavy' and much quicker to load. Only compatible with Windows. It locks up a lot when running huge reports.

What problems is Act! solving and how is that benefiting you?

Securely storing client data. It servers as our CRM and as it is a secure database residing on SQL, it can be expanded to meet your needs. It also helps to track email responses to customers by automatically recording the emails inside the database.

"ACT! is still great 25 years after I started using it as my main CRM tool."
What do you like best about Act!?

ACT gives you the ability to keep up with an unlimited number of people and still treat everyone as a special customer/supplier/person, etc. Once you learn how to use it, which does not take very long, you can use as much or as little as you need to get your particular job done and done right! It has very strong search tools, and it is much better than Outlook in keeping up with meetings, calls, and to-do's. As you become more familiar with ACT, you will be able to use more robust features, and you can start customizing ACT to better fit your needs. But you don;t have to; that's the great thing about ACT. Start with the basics and learn as you go. You will love it, even after 25 years of using it like me.

What do you dislike about Act!?

Although ACT is easy to learn, there is so much stuff in it, that it sometimes slows you down in getting through menus, actions, etc.

What problems is Act! solving and how is that benefiting you?

Keeping up with lots of people at the same time. It makes me more productive and allows me through customization to have the information on each person to make them feel special.

I have used ACT! since version 1. I like the flexibility to search by nearly any aspect the the database. The tracking of sales contacts and incorporated tools. Customer service is good and the user groups plus knowledge base is also very helpful

The interface with other applications is sometime delayed in development. (4 to 6 months sometimes) My personnel inability to utilize many sales related facets of the robust application

Act currently holds 14,000 contacts accumulated over 25 years. We are in a unique services area where the once every 5 years requirement of special services requires the ability to search for the service provider of 5 to 10 years ago. ACT helps me accomplish this search.

What do you like best about Act!?

I like the program because its easy to look up contacts, schedule future calls, appointments, daily reports and deals in the works.

What do you dislike about Act!?

I have had difficulty sync desktop and laptop. If you call Tech support they want to charge you too much to help

What problems is Act! solving and how is that benefiting you?

I keep track of all potential customers and can quickly run reports even if I haven't talk to prospect in years by coding some of the user fields.

What do you like best about Act!?

Act database is easy to use and templates can be customized to your liking.

What do you dislike about Act!?

In my version of ACT the search function can't be used for quires with 3 or more search commands.

What problems is Act! solving and how is that benefiting you?

I use ACT for keeping track of my progress with each client. We've been using this software for many years and have an extensive database. It's a key to our businesses success.

What do you like best about Act!?

I use ACT primary to keep track of the different companies that the business I work for does business with. It enables the billing to go smoothly, and for all the different people using the program to call different businesses to leave little notes, so the next person is aware of any changes that may have occurred within that particular business.

What do you dislike about Act!?

I feel that it has a slight archaic feel to it, there isn't a modern sleek feel. It doesnt work as fast as one may like, although it is difineitly reliable! I think the company could do with an update, or about 10.

What problems is Act! solving and how is that benefiting you?

We are able to solve the issue that all the diferent employees are not necessarly aware of the changes that different companies undergo, and quite frequently. We are able to use ACT as the starting point for all company look ups, and therefore before I would make a call I would note what is updated on the company's account. This tells me what who I am looking for or who may have left the company recently, whatever changes the company may have had.

I don't like how it automatically says it can't find something due to the keywords searched.

Easy to understand and use GUI interface. It's been around for YEARS and is the original CRM software IMO and is priced well.

What do you dislike about Act!?

There are no Cons to speak of that I can see.

The sales team is able to effectively communicate where customer interaction is at during a sales process that requires multiple people to interact.

What do you like best about Act!?

Having Act! in our arsenal has really helped improve sales and keep all of our customers happy. The fact that you set calls and can upload all the documents right into ACT! helps keep every thing organised. Easy to implement and does not require a rocket scientist to use. The google integration along with Outlook helps us every day with reminders that pop up and make noise. This stops everything your doing in ACT! and makes you read what the reminder is. This gives you a clear picture of what your next objective is.

What do you dislike about Act!?

The only problem we have is random crashing with never versions of windows or Microsoft Outlook. Tech support is amazing and will fix any issue you have with a simple call. The look of ACT! is a bit aged as well. Has a 1985 look that need to have a better GUI. I think with time ACT! will just keep getting better and better. I am always looking forward to the next update and mobile use.

What problems is Act! solving and how is that benefiting you?

The most beneficial part of having ACT! is being able to track all of my sales guys from anywhere I need. the software does not require the internet which makes everything easier for all of us. Staying on top of my potential clients is a major necessity and this software really fills that issue for us. Being able to stay Mobile is great!
