While a relatively new entry into the project management space, Notion has evolved quite quickly to meet the needs of its users. It’s a platform that is notable for its versatility, and it is a well-known option for individuals and teams who want a reliable tool to organize and manage tasks–from note-taking to in-depth project management.
But does it incorporate the best project management techniques to help you or your team get organized?
Let’s find out.
Notion is a cloud-based workspace where individuals and small teams can take notes, create documents, track projects and organize and manage tasks all in one place. It’s often referred to as an “all-in-one” workspace because users can collate all of their projects onto a single platform.
Notion’s popularity among professionals and students is credited to its personalization that caters to any workflow. As a user, you’ll have the freedom to customize the layout of your workspace, while still getting helpful guidance and templates to help you get started.
Founded in 2016, Notion started as a note-taking app but has evolved into a comprehensive project management tool for solopreneurs and small teams. The platform’s mission is to make it possible for people to shape the productivity tool they use every day to match their needs.
Every feature on Notion is designed to help users be as organized as possible.
The platform is segmented into pages that can be nested or interlinked at your convenience. As soon as you sign up, you’ll be redirected to your Welcome screen containing some tips to get started. This includes linked videos that guide you in creating your first page and setting up your to-do lists and projects.
On the left side, you’ll find a list of default pages, such as ‘Quick Note’, ‘Personal Home’, and ‘Task List’ which you can customize and add. Whenever you create a new page it will show up on the left panel. You can add personalized header images, descriptive comments, and add associated icons to your pages.
Simply click anywhere on a page to add blocks for individual pieces of content such as text, lists, media, links, and sub-pages. You can also just type “/” to bring up a menu of blocks you can add to your new page.
Although Notion started as a note-taking app, it has become far more than that. The tool has promising features that go beyond creating to-do lists and make it a competent productivity and project management app.
A commendable feature of Notion is that user guides are already embedded in the platform. For example, if you want to create a new document, you’ll find guides on how to get the most out of the preinstalled page.
Of course, this can be a hit or miss. Some users may be grateful for the step-by-step guides, while others may be frustrated with manually deleting pre-installed guide pages to clean up their workspace.
Notion makes it easy for you to create pages and documents in whatever style you want. Pages are like folders where you can store all information related to a particular topic. You can include a range of blocks or items on your pages such as text, toggle lists, to-do lists, images, video links, tables, boards, and maps.
Every change you make to a page or block is automatically saved in Notion. So you can always go back and view the history of a page if there’s something that you want to restore. This is pretty useful for when you make a mistake or just want to experiment with different versions of a page.
Notion is also very generous when it comes to templates. It provides users with a ton of options, whether they’re creating blog posts, articles, event schedules, or product launch plans. Fortunately, all templates are fully customizable so you can modify them to your taste without having to build from scratch. The platform also encourages users to submit their own templates so the library grows to fit a wider range of needs.
Users can create different workspaces for different projects, which is useful if you need to manage multiple projects at once. Every workspace will have its own pages so all your information will remain separate and organized.
Notion allows you to invite other people to your workspace so you can collaborate in real time. The limit of guests you can have at a time depends on the plan you choose.
As a good workspace should, Notion integrates with a wide range of popular productivity tools so you can easily share information across the platforms you use. These tools include Slack, GitHub, Zoom, Trello, Google Drive, and more.
For instance, you can make use of the Google Drive integration to quickly add and share files from your Google Drive directly to your Notion workspace.
Notion AI is a relatively new feature for workspaces. It’s a connected assistant powered by GPT-3 that’s developed to help boost your creativity and write content faster. Essentially, it eliminates the need to jump between your work and a separate AI-powered tool.
The feature can help you generate ideas for blog posts, social media posts, press releases, job descriptions, meeting agendas, and more. You’ll also be able to summarize pieces of content, correct spelling, and grammar, and translate text (English, Spanish, Chinese, and French).
Individuals who are working freelance will benefit from an organizational tool like Notion. It can help with a variety of processes such as:
Small professional teams can benefit from Notion’s features because it ensures that all team members can collaborate on the same tool for multiple purposes. These purposes include:
Students also make great use of Notion because of its impressive note-taking and organizational capabilities. Students can easily organize their notes by class and keep track of all reading and assignments (by the due date) for each class. The best part is Notion can even allow easier collaboration for group projects since the free plan allows sharing with up to 10 guests.
Notion stands out in two major ways; it’s very customizable to support any workflow, and it brings all work together in one shared location.
Unlike many productivity tools, Notion doesn’t just focus on solving one problem, such as organization. The way Notion is designed gives users the freedom to mold their workspace in a way that works best for them. On one hand, individuals can use it to keep their notes, to-do lists, calendars, and journals in one accessible platform. Additionally, professional teams can use it to build collaborative docs, product roadmaps, and wikis for their company.
Notion has four pricing plans: Free, Plus, Business, and Enterprise.
Unfortunately, none of the plans come with Notion AI because it’s an optional add-on. It costs $8/month per member and is billed annually at $96. If you’d rather pay monthly, it’ll set you back $10/per month per member.
Notion should be commended for its simplicity, familiarity, and affordability. If you need a straightforward entry-level solution for creating content and planning and managing projects then Notion is a great choice.
With that being said, large businesses that have complex needs may not see the platform as comprehensive enough to streamline their project management. However, Notion is a tool that keeps evolving and works hard to improve its capabilities to fit businesses of all sizes.
If you want to keep checking other project management software that may suit you better, Findstack has more helpful reviews and insights that you can take a look at. Our goal is to help you find the right tool for your needs.
Arrange to do list and all in one ......
Little Complicated, need to learn but not problem for me
Note and present my idea with a overview
Notion allows for complete freedom with how we need to generate documentation or even task management. It's a wonder tool close to being able to do it all.
Sometimes too much freedom can hamper progress. A completely blank slate is what Notion offers but that also opens up other issues around uniform document structures and the need for process.
Notion allows us to document processes fully and enable multiple team members and workspaces to collaborate on them. Notion has allowed us to become more efficient with our time because documenting repeatable processes has become much easier.
The templates makes my work more effective together with the AI function.
It is costly to add members, and not easy to see how to add guest members.
Structuring my business plan and ideas
It's really easy to organize all the information from different parts of my life in one place in an intuitive way. I like the fact that you are always updating and improving the platform to meet user demand. I am also delighted that there is no storage limit to my files. I am a loyal customer and will be for a long time haha.
The AI really needs to improve a lot, a recommendation would be to have your database connected to the internet to access all kinds of information in real time, as if it were GPT Chat. At the moment, I stopped paying the AI due to its limitations, but I would certainly access the service when the use improves
I use Notion to organize literally every area of my life, from my academic life to my personal life (like habits). It is very practical and intuitive, especially when we start to better manage all functions and filters.
Notion is clean and focussed and has a great user interface which helps you concentrate on the job. Copy pasting text in markdown is very practical to interact with other tools. Sharing is working great as well. A game changing feature for me is the direct implementation of AI assistance into my work process.
I would like to have a bit stronger control of the AI implementation. It would be nice if I could work on segments of the test while still having the whole page as context. Better even if I could include other pages and files or databases as well.
Writing articles, working on them with AI support, sharing early work with colleagues organising my thoughts. Also to keep track and summarise meetings and other large bodies of text.
Notion is a collaborative workspace that combines powerful tools such as databases, spreadsheets, wikis, calendars, notes, and more in a single platform. It allows users to create and customize their own workflows, and it is highly flexible and adaptable to different needs. Some of the features that users appreciate the most about Notion are its versatility, ease of use, and beautiful design. Notion also provides a wide range of templates and integrations that help users to streamline their work and increase their productivity. Overall, Notion is a great tool for organizing and managing information, team projects, and personal tasks. It is a versatile and powerful workspace that can adapt to different use cases and preferences.
I'm as notion user have reported disliking the software's steep learning curve, limited formatting options, occasional glitches, lack of customization options and integrations, and expensive pricing model. It's important to evaluate personal needs and preferences before committing to using Notion.
Notion AI addresses several problems for its users, including information overload, lack of personalization, inefficient communication, and data overload. It helps users organize and prioritize information, provides personalized recommendations, improves communication efficiency, and analyzes data to provide valuable insights for business decisions.
What I like most is that Notion has an extensive library of elements like tables, toggle, images... and others. And all of that are customizable.
It is not so very intuitive. I can do things because a colleague explained it to me.
management and documentation in real time
Spontaneity of use is Notions best hallmark. It is a space where i can do whatever i want. Write scientific paper, make notes, write philosophical essay or make database of my artworks. But since i started to use Notion AI, it all went to higher ground. There is no fear of "white paper" and there is no losing time on routine things, like checking figure of speech for everyday mail letters. I am free of cognitive bureaucracy and time consuming reports are done in seconds. I am free of cognitive bureaucracy and i can concentrate only on creative work. Isn't that what AI is supposed to be? For me it definitely it is!
There is just one uncomfortable thing about Notion and paradoxically, it stems from its biggest upside. When you select and copy one (or few) particular word in block, and you paste it in another place, you often paste the entire block. Some precision "word snapping" would help.
Notion helped me to get rid of routine stuff. And since i have everyday correspondence in several languages, it saves me from uncomfortable grammatical mistakes with people i deeply respect.
The way it helps me to get organised with my work
Sometimes it takes a lot of time to get used to it
It helps me to get organised with my tasks at work
The simplicity, yet wide options available to use the AI
The necessity for Internet connectivity, sometimes it isn't available
It helps me with definitions, which I found to be accurate +90% of the time
I find that Notion provides me with a great deal of freedom when it comes to organizing my thoughts and ideas. Whether I am jotting down a quick note or planning out a more extensive project, Notion makes it easy for me to get everything set up quickly and efficiently. Overall, I have found Notion to be an incredibly useful tool that has greatly improved my productivity and organization.
I would like the system to provide more continuous improvements to avoid repetitive tasks. I am seeking suggestions for ways to improve things. Additionally, I would like there to be more affordable options available for IA and personal Notion subscriptions. Finally, I would like it to be easier to connect Notion with all the other tools I use in my daily work.
Notion enables me to have a centralized toolbox containing all the necessary tools for my daily work. I can access all my professional notes and action plans, which helps me to organize myself and increase my productivity.
The / is my friend. I can use it to learn new stuff. And also now the AI, helps me summarise and organise thoughts I otherwise would've had to spend time synthesising.
It's not the most elegant to navigate visually. I think Obsidian does it better. That visual navigation inclusion would be great.
Getting work done.
the upgrade to notion AI, database formatting, editable templates, accesss to other apps like github. i have stopped using microsoft spreadsheets and docs for 3 years, notion have made it possible to keep everything in one place.and as a developer, i have found it is very reliable i saving code and include explanations.
lacks some functions that could improve user experience for instance,it could use a hide page feature on the left pannel and more image editing commands.or an online IDE interpeter to run code for developers.
As a student, I have found that Notion has been incredibly helpful for my learning. One of the ways in which it has helped me is through the use of its AI writing assistant. While taking notes, I have found that the AI writing assistant has helped me to be more efficient. as i could ask is to elaborate on any concept i am working on. it have helped me through online assessments and code writing.
As a product manager in a small team, I find Notion to be an incredibly useful tool. It makes managing a project easier by providing a single platform for all of the team's tasks, notes, documents, and databases. The ability to create custom workspaces for specific projects helps keep everything organized and makes it easy to keep track of progress. The easy-to-use interface and intuitive design make it simple to get started, and the collaboration features enable us to quickly share ideas, documents, and tasks. Notion also provides a wide range of customization options to tailor the platform to our specific needs. It helps us stay organized, stay on top of our tasks, and collaborate more efficiently. Highly recommended!
Sometimes it's glitchy. The notification can be a bit annoying sometimes. Some team members need guidance to use Notion. So sometimes the process is slightly slowed down until they get enough knowledge.
I started using Notion in my team as a product manager and CTO, and I'm already seeing the benefits it brings to our team. Notion is a great tool for centralizing all of our information and documents. It helps us stay organized and keep track of our progress on projects. With Notion, everyone on the team is able to easily access the information they need, and collaborate efficiently. We can also easily track our progress on tasks, and make sure everyone is on the same page. Notion also makes it easier for us to share documents with each other, and store and access important information quickly. All in all, Notion helps us stay organized and efficient, which is invaluable for us as a remote team.
I like the shape of his appearance, not so square, very formal, you know? It is visually much more beautiful than any other organization program or application, not to mention that we can even use it as a portfolio.
I believe that having a slightly simpler interface to take care of, in terms of creating spreadsheets, grids and those more "complicated" parts is one of the main points.
Basically it is my organization base, where I put absolutely all my projects, ideas, routines... it even serves me as a diary, for morning writings and etc...
you can build anything. You can create a custom app that can address really specific needs. The design is simple and each updates is really well though and always answer something interesting. We feel the team behind it is passionate.
Sometimes it's a bit difficult to explain it to others. It can be hard to understand how it works and the full portential.
It helps me writing and correcting content. I sometimes paste my email into notion to help me write them better. it help us organizing the whole company, from the wiki to the projects and tasks. We also use it to create external webpages.
Notion is extremely helpful in organizing my business, notes, projects and has even been so helpful with managing social media. I tried other programs, but this one is so much easier to use and has so many amazing capabilities.
It did take a little to figure out how everything works and it was overwhelming to start but once I figured it out, everything is so easy!
An online system to take notes on clients in my group, social media managing and helping me keep track of what I need to do when i am launching new projects. I also love that it is multilingual and can help me improve writing.
As a researcher, I like Notion for storing my thought and progresses, I can easily add figures, Latex and many other things.
I feel like the smartphone version is not that well optimized for taking notes.
With notion AI I could easily translate, change the tone, or summarize my work for sharing with other collaborators or just for organising.
Blocks are what I like best because it organizes my information effectively. Being able to make my pages into websites with little or no coding is liberating. No code note taking is a Notion game changer where other similar apps fail. The ease of adding unlimited links and images makes Notion an indispensable tool. The addition of the AI Writing Assistant just makes Notion even more powerful as it accelerates my productivity to superhuman levels. Notion as a content manager to my blog and website empowers me to be better at content creation.
The minimalist aesthetic can be just as restraining as command line coding is to a visual Graphics designer. I would love to see Figma styling functionality in addition to Notion's plain notes. The ability to do basic image editing would also be stellar. The AI Writing Assistant could be even more useful with an image and video generating component. Search functionality should have the option to extend its search to the web. Including Google and Bing web search engine integration inside Notion will save time spent juggling between app and browser. Adding an auto citation function would be awesome. The downside to using Notion is in the time it takes to designing data architecture and organizing the data. Built-in templates aren't as robust as those sold by aftermarket hawkers.
Notion makes organizing data more intuitive and less technical for non techies. It works hard in augmenting my abilities. Perfoming in business increases with assistance from the AI feature. Including an AI feature for image generation and image editing would also be beneficial. AI generated templates and page functionalities would beef up Notion as a problem solver.
Customizability is key here. I can literally use Notion in any way that I believe fits my needs. I currently use notion to track my personal life, finances and work related updates.
Nothing really. But I wish we can get more functionality like google sheets or Excel.
Notion helps me to organize my life as well as my finances. I also keep track of and share information through Nootion with my clients.
