While a relatively new entry into the project management space, Notion has evolved quite quickly to meet the needs of its users. It’s a platform that is notable for its versatility, and it is a well-known option for individuals and teams who want a reliable tool to organize and manage tasks–from note-taking to in-depth project management.
But does it incorporate the best project management techniques to help you or your team get organized?
Let’s find out.
Notion is a cloud-based workspace where individuals and small teams can take notes, create documents, track projects and organize and manage tasks all in one place. It’s often referred to as an “all-in-one” workspace because users can collate all of their projects onto a single platform.
Notion’s popularity among professionals and students is credited to its personalization that caters to any workflow. As a user, you’ll have the freedom to customize the layout of your workspace, while still getting helpful guidance and templates to help you get started.
Founded in 2016, Notion started as a note-taking app but has evolved into a comprehensive project management tool for solopreneurs and small teams. The platform’s mission is to make it possible for people to shape the productivity tool they use every day to match their needs.
Every feature on Notion is designed to help users be as organized as possible.
The platform is segmented into pages that can be nested or interlinked at your convenience. As soon as you sign up, you’ll be redirected to your Welcome screen containing some tips to get started. This includes linked videos that guide you in creating your first page and setting up your to-do lists and projects.
On the left side, you’ll find a list of default pages, such as ‘Quick Note’, ‘Personal Home’, and ‘Task List’ which you can customize and add. Whenever you create a new page it will show up on the left panel. You can add personalized header images, descriptive comments, and add associated icons to your pages.
Simply click anywhere on a page to add blocks for individual pieces of content such as text, lists, media, links, and sub-pages. You can also just type “/” to bring up a menu of blocks you can add to your new page.
Although Notion started as a note-taking app, it has become far more than that. The tool has promising features that go beyond creating to-do lists and make it a competent productivity and project management app.
A commendable feature of Notion is that user guides are already embedded in the platform. For example, if you want to create a new document, you’ll find guides on how to get the most out of the preinstalled page.
Of course, this can be a hit or miss. Some users may be grateful for the step-by-step guides, while others may be frustrated with manually deleting pre-installed guide pages to clean up their workspace.
Notion makes it easy for you to create pages and documents in whatever style you want. Pages are like folders where you can store all information related to a particular topic. You can include a range of blocks or items on your pages such as text, toggle lists, to-do lists, images, video links, tables, boards, and maps.
Every change you make to a page or block is automatically saved in Notion. So you can always go back and view the history of a page if there’s something that you want to restore. This is pretty useful for when you make a mistake or just want to experiment with different versions of a page.
Notion is also very generous when it comes to templates. It provides users with a ton of options, whether they’re creating blog posts, articles, event schedules, or product launch plans. Fortunately, all templates are fully customizable so you can modify them to your taste without having to build from scratch. The platform also encourages users to submit their own templates so the library grows to fit a wider range of needs.
Users can create different workspaces for different projects, which is useful if you need to manage multiple projects at once. Every workspace will have its own pages so all your information will remain separate and organized.
Notion allows you to invite other people to your workspace so you can collaborate in real time. The limit of guests you can have at a time depends on the plan you choose.
As a good workspace should, Notion integrates with a wide range of popular productivity tools so you can easily share information across the platforms you use. These tools include Slack, GitHub, Zoom, Trello, Google Drive, and more.
For instance, you can make use of the Google Drive integration to quickly add and share files from your Google Drive directly to your Notion workspace.
Notion AI is a relatively new feature for workspaces. It’s a connected assistant powered by GPT-3 that’s developed to help boost your creativity and write content faster. Essentially, it eliminates the need to jump between your work and a separate AI-powered tool.
The feature can help you generate ideas for blog posts, social media posts, press releases, job descriptions, meeting agendas, and more. You’ll also be able to summarize pieces of content, correct spelling, and grammar, and translate text (English, Spanish, Chinese, and French).
Individuals who are working freelance will benefit from an organizational tool like Notion. It can help with a variety of processes such as:
Small professional teams can benefit from Notion’s features because it ensures that all team members can collaborate on the same tool for multiple purposes. These purposes include:
Students also make great use of Notion because of its impressive note-taking and organizational capabilities. Students can easily organize their notes by class and keep track of all reading and assignments (by the due date) for each class. The best part is Notion can even allow easier collaboration for group projects since the free plan allows sharing with up to 10 guests.
Notion stands out in two major ways; it’s very customizable to support any workflow, and it brings all work together in one shared location.
Unlike many productivity tools, Notion doesn’t just focus on solving one problem, such as organization. The way Notion is designed gives users the freedom to mold their workspace in a way that works best for them. On one hand, individuals can use it to keep their notes, to-do lists, calendars, and journals in one accessible platform. Additionally, professional teams can use it to build collaborative docs, product roadmaps, and wikis for their company.
Notion has four pricing plans: Free, Plus, Business, and Enterprise.
Unfortunately, none of the plans come with Notion AI because it’s an optional add-on. It costs $8/month per member and is billed annually at $96. If you’d rather pay monthly, it’ll set you back $10/per month per member.
Notion should be commended for its simplicity, familiarity, and affordability. If you need a straightforward entry-level solution for creating content and planning and managing projects then Notion is a great choice.
With that being said, large businesses that have complex needs may not see the platform as comprehensive enough to streamline their project management. However, Notion is a tool that keeps evolving and works hard to improve its capabilities to fit businesses of all sizes.

Organising everyday tasks - it's like having an extra member in your team! Especially with databases
UI is too unexciting, and there are a few limitations when it comes to using AI in databases.
Everyday tasks and managing multiple things at once
How easy it is to use and keep track of projects. It can be super visual too and I love the toggle lists.
Probably the Web App - it can be quite hard to navigate and difficult to keep up with notifications.
Keeping content streamlined within the company - Notion makes it much easier to do this.
I like how clean the interface is and how easy it is for me to job down ideas quickly. I also appreciate how powerful and versatile Notion is. As for Notion AI, I love that it's baked into Notion natively and how quickly I can bring up their AI tool with just a single keystroke, no matter where I am in the app.
I have not really found anything I dislike about Notion, surprisingly. It's a very splendid product. The one glitch I've found is that my Mac appearance settings are usually set to Auto, meaning my apps go from light to dark depending on which hour of the day it is. When I have a doc open in the Notion app and it's in dark mode, the transition from dark to light doesn't automatically happen in Notion until I open a new tab. But that's about it, lol.
I'm largely using it as a note-taker for ideation and marketing copy. Before I found Notion, I used to have to do all of this across several apps instead of just one. The benefit now is that I found Notion to be a very comprehensive, robust, but light solution for my creative needs. The Notion AI just makes it all smoother and I save a lot of time too. I can take ideas I have and expand upon them by leaning on AI, or get 10 social posts out of a long-form article I've written.
I love how I am able to keep track and organize my work, however I do believe it can be better with making everything more seeable.
I think that it can be more color coded in terms of tasks and project status. Templates can be more readily available.
Organizational and note taking.
What I like best about Notion is its versatility and flexibility. Notion seamlessly combines note-taking, project management, and collaboration in a single platform, allowing me to centralize my work and personal tasks. The ability to create databases, customize views, and effortlessly switch between a simple note and a detailed project board makes it an incredibly adaptable tool. The collaborative features, such as real-time editing and commenting, enhance team communication and project coordination. Overall, Notion's intuitive design and powerful features have significantly improved my organizational and productivity workflows.
I've experienced occasional performance issues, such as slow loading times for larger databases or documents. Improving the platform's speed and responsiveness would enhance the overall user experience.
Notion solves the challenge of scattered information and fragmented tools by offering a unified platform for note-taking, task management, and collaboration. Its flexibility allows me to tailor the workspace to my specific needs, improving organization and efficiency. Real-time collaboration features have streamlined communication and project coordination, making Notion an integral part of my workflow.
Notion's AI has been extremely helpful in summarizing my readings and helping me find important points. So I don't have to keep re-reading long passedes that are difficult to comprehend if not read multiple times over. I love Notion as a product to keep all of my school schedules and deadlines in one place! I also love how customizeable it is. I love decorating webpages or making certain themes for the school year. I also enjoy learning how to use Notion. Lastly, i greatly appreciate notion being made available for students for free. I have a lot of files to upload so it's helpful to have the storage and features available with pro. I used it almost every day for taking notes uploading files etc... It was easy to get started using since they're so many tutorials around to teach you online and from Notion themselves. All you really need to even start is just a basic understanding how to use a computer. Customer support has also been really helpful and quick to respond when needed!
There's not much I dislike about Notion. The AI sometimes has difficulty understanding prompts which gets irritating having to reword to make it understand. I also wish there were some more formatting features when it comes to bullet points.
Definitely time management and project/homework management. I love that everything is in one space and easily accessible so I do the have to go looking around for things in my office or computer.
Notion is great ot organize many different aspects of life. You can tailor it to your needs and is incredibly flexible in layout, design, and functionality. It's also really easy to keep organized due to everything being in blocks, and those blocks have so much power
I wish it had more options for charts/spreadsheets. I wish it could generate graphs, but I understand this isn't an excel document nor a google sheet. However the functionality of being able to integrate those functions natively to Notion databases would be superb. Another thing that might be offputting to some but I didn't really mind is that Notion has a steep learning curve. Sure it's easy to get the basics down, but to really get good at notion you need to really invest a lot of tiem into either experimenting with it or with watching tutorials/videos online.
Notion AI is able to quickly teach me brief overviews of topics before class. It can also rewrite my notes and allows me to ask myself practice questions afterward as well. I use it to organize all my notes for medical school
As of now, I like the Notion AI the most but before that also Notion was my single place for all my notes. I like the way it is designed as it caters the need variety of user.
It would have been great if it also supports backlinking feature.
It helps me capture all kind of notes be it personal or professional. It also helps me write articles for medium. Specially its newly launched AI feature.
Notion has absolutely everything I need to be to be equipped and ready for whatever the day throws at me. I'm human and organizing is not my forte, but notion provides the support I need in this area and has altered my lifestyle. How? By helping me throughout the busy days I need to access something quickly and by helping me understand things when I lack clarity.
Nothing at all. But perhaps new fonts could be cool to use.
Notion is leading the front of streamlining the access of information. Being a student that takes notes, notion AI has serves as a legitimate assistant that helps me grasp a multitude of things on a deeper level.
It is practical, as long as i have Internet. I just like how I can move stuff around when writing, create relations between pages, share pages with other people.
Sometimes the copy and paste is a bit rough. moreso on my Mac. Also that it doesn't have an offline option. We had a nationwide outage the other day and all my files were in the cloud.
It is just easy to have all my scribbles under one platform and easy access on all my devices.
Some of the upsides are it's swift, efficient, and easy to use.
Nothing at all. This product is great for student use.
It's helping me expand my vocabulary and assisting me with ideas in writing.
I love how versatile Notion is. It doesn't limit you to one functionality like many other programs do. You can use it to manage your current project, create a landing page for others, create a task management system, and so much more.
For a less tech-savvy person, Notion can be intimidating at first. It has a bit of a learning curve.
Notion is helping me to bring all of my small, task management needs and organize them in a way that fits my neurodivergent brain. I can customize it to work exactly how I need it to from large projects with multiple, complicated steps down to simple reminder tasks that I need to handle in my day-to-day. It helps me to keep track of all of my personal and professional tasks.
I love using Notion to organize my business and personal life. The recent addition of the Notion AI writing feature has been an absolute gamechanger for ideation, editing and reviewing written work to save me a tonne of time.
Nothing so far, in terms of project management I prefer using other tools like Clickup.
Notion is helping me to brainstorm ideas quicker for creating content, writing proposals, performing research tasks and creating documents
I like the way in which Notion IA has improved the generative language model to complete tasks as improve the writing of something or abstract in simple words concepts in the notion page.
That does not go further with the generation of new ideas or expand concepts as ChatGPT
Helps me to keep my notes and ideas organized. Then I can abstract some concepts from the general idea of the document.
One of Notion's standout features is its unparalleled flexibility. Whether you're managing personal projects, collaborative work, or even tracking your fitness goals, Notion adapts to your needs effortlessly. The ability to create custom databases, pages, and templates empowers users to tailor their workspace to match their unique workflows.
While Notion stands out as a powerful productivity tool, there are a few areas that might be considered drawbacks. One notable aspect is the potential for information overload, especially as the workspace becomes more intricate.
Information Centralization: Notion solves the problem of scattered information by providing a centralized platform. Before using Notion, I often found myself jumping between different apps for note-taking, task management, and collaborative work. Notion consolidates all these aspects into one cohesive workspace, reducing the need for multiple tools and streamlining my workflow. Flexible Workspaces: The ability to create custom databases, pages, and templates in Notion addresses the challenge of rigid tools. Whether I'm managing personal projects, team tasks, or tracking goals, Notion's flexibility allows me to tailor workspaces to my specific needs. This adaptability has significantly improved my organization and project management.
I am a Master's student and I have to write at least 3 papers a month. I found myself not stressing out about the writing part and focus more on comprehension and gaining actual insights to write about from my coursework experience. I feel that the effort for trivial parts of the assignment like sentence structure steals away time from and even slows down my learning process, and Notion AI is a huge help. I can convert my original shorthand notes to a write up that adheres to specified word limits. I've tried other AI writers out there- and Notion is one of the best for professional writing.
The "make longer" AI command could be a little more intuitive with more varied sentence structure. Also the "simplify" command does not really change the tone of a sentence how you would want to. Other than that, it's a pretty powerful tool.
The way I take notes is very cluttered. I read a lot of materials and integrating the core concept of everything I read into a single and effective write up is a challenge. But Notion does a great job of conceptual blending.
I recently had the opportunity to experience the integration of AI with Notion, and I must say, it has been a game-changer. The ability to leverage AI to organize content, check writing, and integrate seamlessly with websites and Google tools has greatly enhanced my productivity and efficiency. One of the standout features is the AI-powered content organization. It's incredible to see how AI algorithms can analyze and categorize large volumes of information, making it easier to find and access relevant content quickly. This has saved me countless hours of searching and scrolling, allowing me to focus more on the tasks at hand. The writing assistance provided by AI is another standout feature. Not only does it offer helpful grammar and spelling checks, but it also suggests improvements to sentence structure and overall clarity. This has significantly improved the quality of my writing and saved me from embarrassing mistakes. The seamless integration with websites and Google tools is also worth mentioning. Being able to have Notion seamlessly interact with other platforms and tools I use daily has streamlined my workflow and eliminated the need for manual data entry or switching between multiple applications. Everything is now in one place, making it much easier to stay organized and efficient. Lastly, the AI's creative capabilities have been a pleasant surprise. The ability to generate unique and inspiring content has sparked my creativity and allowed me to think outside the box. Whether it's coming up with new ideas or creating visually appealing designs, the AI integration in Notion has truly expanded my creative horizons. Overall, the integration of AI with Notion has transformed the way I work and has become an invaluable tool in my daily routine. Its ability to organize content, enhance my writing, seamlessly integrate with other tools, and unlock my creativity is simply remarkable. I highly recommend exploring the AI features in Notion to experience the benefits firsthand.
While copying and pasting text can be a convenient way to transfer information, it can sometimes be cumbersome and time-consuming. It may require formatting adjustments and can result in errors or inconsistencies. Additionally, if the text being copied contains links or images, they may not be preserved in the paste. However, there are alternative methods to extract or share content from Notion documents, such as exporting to different file formats or using integrations with other tools.
Notion has proven to be a valuable asset in tackling organizational challenges in my business. This powerful tool, in conjunction with Google tools, has greatly enhanced my ability to take notes and create a comprehensive wiki knowledge base for both personal and business tasks. Moreover, Notion excels as a collaborative platform, particularly when it comes to brainstorming with others.
Holy smokes...I've used Notion in the past on and off and am skeptical about apps that charge subscription fees for AI when I already subscribe to GPT Plus. The integration makes a huge difference in Notion.ai and the beta feature for Q&A is outstanding, a chatbot trained on your data? This is a gamechanger, not because it's the only app that can do it, but it's ease of use and seamless integration are amazing. I've been a longtime Roam Research believer, but they've fallen far behind and AI is an afterthought, whereas it's fully integrated with Notion.
Notion does have some complexity compared to other note-taking apps and it's not the only one with AI. Mem and others are also good, but I think in terms of sheer versatility, Notion.ai is a gamechanger for me.
It's hard to give Notion a single job. Many people refer to it as the operating system for their life. It's certainly capable of that (with some configuration) and what Notion can be is largely limited by your imagination. I'm using it to track projects, act as a knowledge base and manage projects.
Notion is amazing. The central databases and the way everything can be connected and/or broken off into separate pages for each entry is insanely powerful!
There's nothing to dislike about Notion.
The main problem Notion solves that nothing ever has been able to before is give me an "everything" platform. I literally host all of my information and can manage that information within Notion without integrations (although they're available when needed too!)
Before Notion my business & personal admin were in chaos and although I tried several similar apps previously, nothing ever worked for me until I started using Notion. Being able to customize pages & layouts in so many ways has meant that I can finally create a system that works for me - I love it so much that I tell everyone to go & try it & use it as a platform to work with my clients too!
There are very few things I don't like about Notion! However, I would like to be able to change the background colours of different pages/ sections in order to make the content easier to read & section off.
I didn't think I could rate Notion any higher but the new AI feature has undoubtedly changed this! Using AI as part of my Notion workflow has meant that I can save time, work more effectively, get support with my writing style & tone, & best of all Notion AI can do research for me and break down information into bullet points & summaries. As someone who struggles with these types of tasks but needs to complete them regularly as part of my workflow, Notion AI is super valuable to me & now I've got it I don't think I could go without!
