Wrike Review: Is It the Right Project Management Tool for Your Business?

Wrike has been empowering professionals and teams to better manage their work since its launch in 2006. It’s a comprehensive solution for professional service providers, marketing teams, and agencies. But all this versatility comes with a high price tag.

Is it worth it? In this Findstack review, we’re going to find out.

What is Wrike: A Quick Overview

Wrike has introduced Work Intelligence, an AI engine that powers risk prediction, task automation, and smart recommendations.

Wrike is an all-in-one work management platform that helps teams collaborate, plan projects, delegate tasks, and track progress. The platform offers a range of plans designed to meet the needs of almost any kind of business. Whether you’re a solopreneur or a department head at a Fortune 500 company, Wrike has a plan for you.

Wrike Dashboard

Wrike’s power lies in its ability to support both project management and collaborative work, which explains its appeal to a wide range of industries. The tool boasts a user-friendly dashboard that’s pretty simple to set up. It’s also very easy to create tasks, assign them to team members, set due dates, and track their progress.

Getting Started With Wrike

Wrike is one of the more intuitive project management tools for a new user to get started with—especially compared to competitors like ClickUp.

Wrike is available to users via web browser, desktop application, and mobile application for both Android and iOS devices.

To get started with Wrike, new users have the option to register for a free account using their business email. Once the email address is verified, users will be redirected to Wrike’s homepage to complete the initial registration process—which involves a guided walkthrough.

How Wrike Works: Key Features

Dashboards

If you’ve ever used a project management tool, Wrike’s Dashboards will feel very familiar.

Wrike Redesign Page

For every project you create in Wrike, you can create Dashboards to display, manipulate, and analyze the project data that you’ve collected within it. They essentially give you an overview of project KPIs, metrics, due dates, and progress at a glance—saving you the hassle of seeking out each piece of data at the source.

When you create a Dashboard, you can start with a template or build one from scratch. If you go the latter route, you have quite a bit of flexibility thanks to a modular design and a wide selection of interactive widgets, including:

  • Assigned tasks
  • Overdue tasks assigned to you
  • Overdue tasks that you assigned
  • Tasks you’re following
Wrike Project management Page

Wrike is unlike a lot of project management tools because everything you need is right at your fingertips. You don’t need to navigate to another window to see it all.

Automation

Like most modern project management tools, Wrike features an automation engine that works in the background to synch related tasks, assign workloads, and ensure tasks are completed on time with botted @mentions and comments.

Wrike Inbox Page

Wrike’s automation engine may not be the most complex or versatile on the market, but it’s intuitive and practical. There’s no feature bloat here—every feature is sure to get some use.

Integrations

On a related note, Wrike’s automation capabilities are supported by 400+ integrations with third-party tools. Pretty much every tool category is covered, including:

  • CRM
  • Communication
  • BI
  • Calendar
  • CMS
  • Storage
  • Accounting
  • Reporting
Wrike Tools

Integrating Wrike with other tools in your stack is a great way to cut out some busy work from daily workstreams and improve productivity. It’s also a surefire way to minimize human error.

Live Analytics

Wrike automatically updates every report, chart, and dashboard every 15 minutes, so you never miss a thing. Wrike Social Media Performance Page

That’s a huge benefit—it means project managers don’t need to manually collect and input data from multiple sources to draw meaningful insight. Less time on busy work means more time analyzing the data for patterns, trends, and inefficiencies.

This feature is also great for project managers who are juggling multiple projects. They get a real-time overview of project statuses, team workloads, pending approvals, and tasks waiting to be assigned, so they can easily prioritize work and make meaningful progress.

Customizable Forms

Wrike has a custom form builder that you can use to create almost any kind of form—from simple team surveys to content request forms.

Wrike Forms

Wrike’s forms are fully customizable, and you can take advantage of role-based access controls to grant or deny access to certain pages or sections. Plus, when you create a new form, it can automatically assign tasks, set due dates based on the submission date, and populate subtasks.

Enterprise-level project management tools

Wrike offers advanced project management tools that you can access on your Home workspace to help you measure key performance indicators.

These tools include time tracking to assist in managing billable hours, visualizing cost and budget calculations, and business intelligence to assess project risk. While these tools are particularly useful for large enterprises with complex needs and a variety of teams, they can also be beneficial for small businesses that plan to scale.

In addition, the platform allows you to share files and publish assets with enterprise-grade security. The sheer number of features may be overwhelming for teams new to project managers, but Wrike provides great walkthroughs and tutorials. You may even discover features by accident that end up accelerating your workflows.

Wrike Revenue Page

Wrike offers pre-built templates based on team roles to simplify task creation. Some of these templates include:

Wrike Tamplates
  • Project performance templates
  • OKR templates
  • Weekly to-do list templates
  • Kanban board project templates
  • Agile and IT templates
  • Content operations templates
  • Quarterly business review templates
  • Ticketing and help desk templates

Collaboration Tools

Wrike—like most project management tools—is designed to make it easier to collaborate with your teams.

All team members have access to a global or project-based live stream of task activity, so nobody is left behind. Team members can easily communicate on specific tasks via comments and notes so that conversations are kept organized. Shared team calendars can be added to the dashboard to help with awareness of progress and submission dates. Wrike Collaboration page

You can also invite third parties such as clients, vendors, or contractors, at no extra cost, to view the status of their projects and provide input that goes towards successful project completion.

Wrike Use Cases

Wrike’s use cases are quite impressive. Over 20,000 companies in over 140 countries have relied on Wrike to streamline their planning processes. These are companies that span a range of industries, including:

  • SaaS
  • Technology
  • Healthcare
  • Education
  • financial services
  • Construction
  • Manufacturing
  • Retail

What makes Wrike stand out from other project management platforms?

Wrike’s easy-to-create (and even easier-to-understand) Gantt chart view sets it apart from many other popular project management platforms. Plus, Wrike offers a range of other views, such as List, Board, Table, File, and Timelog. While this isn’t unique to Wrike, it isn’t super common to have that much flexibility,

Wrike Campaign Page

Overall, Wrike’s differentiating factor is the ease with which you can use it to manipulate project data to gain new perspectives and insights.

Wrike Pricing

Wrike offers a total of five plans, starting from a basic Free option, all the way up to an advanced Pinnacle option for large enterprises with complex needs.

Here’s a breakdown of the plans: Wrike Pricing page

  • Free : Wrike’s free plan is suitable for small teams that are just starting with project management software. However, it has limited feature options, including limited storage space, and excludes Gantt charts, time-tracking, and many customization tools.
  • Team : Tailored for small teams that want to plan and collaborate on projects. This plan includes the Gantt chart view and the option to integrate with a wide range of services.
  • Business : Provides access to advanced project management tools. The Business plan has everything you may need for project management for a large team.
  • Enterprise : The Enterprise plan has custom pricing because Wrike will draw up a plan depending on your business needs. It is a plan to consider for large businesses that require more security controls.
  • Pinnacle : This plan is for large businesses with complex work needs, including billable hours tools, job roles, and tools for planning and tracking effort put into different projects.

See Wrike pricing for current rates and plan details.

Pros and Cons of Wrike

Pros:

  • Wrike offers plans for everyone, from small teams to large corporations.
  • Real-time analytics are updated every 15 minutes.
  • Wrike offers department-specific solutions which help different departments across your business align and communicate projects on one platform.
  • Special customization is available for professional services and marketing and creative teams.
  • Wrike offers training resources to help you get started on the platform.
  • The free plan offers up to 2 GB of storage.
  • It supports eight languages.

Cons:

  • Although the project dashboards are user-friendly, those new to project management software may find Wrike overwhelming due to the wide array of features.
  • Wrike’s costs can be a burden for mid-sized teams – there are cheaper project management tools with roughly equivalent features.
  • Many of Wrike’s useful advanced features are offered as add-ons that can effectively double the price of the tool.
  • The mobile app is not as user-friendly as other project management apps (e.g., Click Up). Managing tasks from the mobile app is not as smooth as using a desktop, and you may find that you’re unable to move and edit tasks.
  • The interactive Gantt chart view is only available in the paid plans.
  • The time-tracking in-app timer is only available on the Business plan and higher, and even small collaborative teams should be able to benefit from this feature.

Is Wrike right for your business?

Wrike is a comprehensive project management platform that also functions as a collaborative work management tool, making it ideal for businesses of all sizes. If you offer professional services or are part of a marketing or creative team, you can certainly benefit from Wrike’s highly customizable features.

It’s important to note that Wrike can be a bit pricey—especially with add-ons. Plus, it may be a bit overpowered for small teams who are looking for simple project management capabilities. That said, it’s a solid tool for managing multiple departments and complex projects.

What do you like best about Wrike?

As mentioned, great for flexibility which is what my team needs. Requesters need to see certain areas of jobs to track progress. Our creative team prefer a more visual view, whilst our artwork team prefer the list/table views

"Multiteam collaboration tool"
What do you like best about Wrike?

Fairly simple to use, while also includes some features that aren't included in some other free project management solutions.

What do you dislike about Wrike?

Would like to see workflow and gantt chart fluidity in free versions. For a free version, I cant complain with the separation in paid and free features.

What problems is Wrike solving and how is that benefiting you?

Much easier to keep project tasks separated, and the capability to assign tasks to different people.

"Extremely Convenient"
What do you like best about Wrike?

I love Gsuite and the fact that it is available anywhere. I use it very often on my phone to access and view work documents. It is also great for collaborating. Almost everyone I know has a gmail email, so that helps a lot too. You are able to create excel and word documents on the go.

What do you dislike about Wrike?

I am currently paying for Gsuite, but it would be really cool for it to be free for students. It was a bit difficult for me to sign up using my .edu email address. I ended up having to contact their customer service. I think that this service should be free, if possible.

What problems is Wrike solving and how is that benefiting you?

It is convenient to access all your documents on the go, on your phone or on a computer that doesn't belong to you. I always use public computers so it is great to have everything in one place that syncs with my calendar and gmail. I am also able to access my work emails.

What do you like best about Wrike?

I like that it is not a completely new system when you set up your business account. So being able to add a project management system like Wrike to our established system is very important.

What do you dislike about Wrike?

The cost of Wrike is a hickup. We love having access but it is always a concern when you look at the cost of e support items like this.

What problems is Wrike solving and how is that benefiting you?

With Gsuite & Wrike ...We have the ability to grow our brand via the many innovative solutions we like to bring to the marketplace. We never track a lot of the projects properly in the past now we do not have an excuse.

" It is the most complete tool to monitor and control projects"
What do you like best about Wrike?

It is an excellent software to track and control. It has a quite complete control panel that allows you to review several tasks at once, what I like most about this is the use of Gantt Chart. Immediate notifications by personalized mail and to the team involved in the project

What do you dislike about Wrike?

The free trial has a short time and does not allow the option to develop the report, which would help users to give a better assessment. However for me it is one of the best monitoring systems for individual and group activities within a project

What problems is Wrike solving and how is that benefiting you?

Allowed the assessment of the number of people assigned in each management. Example the administrative areas use the adequate personnel, while the technical or substantive areas require more personnel for the development of projects. The substantive area for being a creative area has several active projects daily.

"Perfect for Organizing/Scheduling Projects "
What do you like best about Wrike?

Wrike offers a convenient and user-friendly solution to project management, constantly adding and testing new features like Wrike Meetings (being removed in September '18). It integrates into Outlook and Chrome, making it easy and ready to add new tasks.

What do you dislike about Wrike?

The professional version does not allow for a single user. I'd love to have access to the more advanced features, however, the price while good for 5 users does not reflect the same for a single user. The rest of my team does not use Wrike enough to validate continuing that level of paid plan.

What problems is Wrike solving and how is that benefiting you?

"Overall, I love this program for our organization!"
What do you like best about Wrike?

- Flexibility in what works for you - Frequent updates and improvements - Custom statuses and workflows with optional automated assignment - Excellent support and very interactive channels for communicating with other customers and eliciting feedback. - Easy to work with external parties (who don't have their own PM system already). - Free to add an unlimited number of collaborators. External users can also be licensed users with more abilities.

What do you dislike about Wrike?

- Unexpected results with incorporating folder/group level permissions with poor visibility for tedious corrections - Only 3 levels of folder permissions - No options to apply custom fields within a folder to child folders - Custom fields do not view/export with time logs -- It's impossible to roll up time or budgets of children folders to a single parent folder for reconciling time for payroll preparation - No way for an admin lock time logs or deletion of a task after a determined time, like once reconciled for payroll or after a project is completed - Recent and much needed filter to hide cancelled and completed projects -- still no ability to filter out on hold projects to clean up folder structure. Instead, we have a variety of "z.Inactive" folders, which undoes organization and time allocated to another folder.

What problems is Wrike solving and how is that benefiting you?

2 way Visibility and accountability We've had vendor sign onto Wrike after working within our system and a former employee who had her new employer onboard with Wrike.

"A powerful project management tool"
What do you like best about Wrike?

We use Wrike as the support tool for our marketing team projects. The easy to create dashboard and the review process - which allows comments to be made direct to a document are incredibly useful.

What do you dislike about Wrike?

Nothing to dislike about Wrike really - you have to consider it is an incredibly complex tool when used in full, so a good induction to team members is a must.

What problems is Wrike solving and how is that benefiting you?

Our team communication and project management was suffering with a huge number of emails between team members causing a lack of general visibility for large projects spanning months.

What do you like best about Wrike?

Everything. Wrike adds a new level to project management. With the ability to assign tasks, assign visibility only to people you with a need to know and all kinds of tracking metrics, Wrike makes staying on top of projects a snap.

What do you dislike about Wrike?

The learning curve for Wrike is steep. Luckily, the training material and help portal are great. There are plenty of webinars but it is very very easy to get overwhelmed with all the things Wrike can do.

What problems is Wrike solving and how is that benefiting you?

Wrike has helped us stay aligned with some of our most important clients. Also, since we can give a certain amount of visibility to clients, it has aided in transparency and building trust with our clients.

"Make your team more efficient "
What do you like best about Wrike?

Our marketing team uses Wrike on a daily basis. It makes our team more efficient and able to keep track of all projects and requests.

What do you dislike about Wrike?

I am not a big fan of the wrike task robot.

What problems is Wrike solving and how is that benefiting you?

Our manager also is able to run reports on how many tasks we completed in a month vs last month vs last year same month. It really shows how valuable our team is for our company.

"The Best Project Management Tool on the Market"
What do you like best about Wrike?

I have tried a lot of project management tools--none stack up to Wrike. This tool is the perfect combination of structure and flexibility. The folder/project tree is an easy way to organize our work. Our Wrike folders mimic our shared drive folders. I love that everyone on our team can organize their work exactly the way they like. The dynamic views (list, board, table, timeline, stream, etc.) in conjunction with detailed filters is extremely powerful. We are able to slice and dice projects and tasks any way we'd like. I also like that Wrike has stepped up their feature improvement and implementation. When I first used Wrike years ago, not many new features were being rolled out. I'm pleasantly surprised to see additions like emojis and time-tracking categories, and improvements to integrated search, recurring tasks, custom workflows and the inbox.

What do you dislike about Wrike?

To me, the reporting feature is lacking. I've tried to use it a few times and usually find it unnecessary.

What problems is Wrike solving and how is that benefiting you?

Before Wrike, our team was really disconnected. Our Marketing team has grown so much and with so many team members and projects, email was becoming too much to handle. Our email inboxes are much cleaner! We're all on the same page and able to maintain a high-level view of everything going on in the department!

"Maximize Organization and Project Flow Ease"
What do you like best about Wrike?

Having worked with multiple project management software over the last couple of years, I can honestly say that Wrike seems to be one of the best on the market. Its customizable project flows (that allow for multiple projects with different workflows) and its personalized dashboards (that give a user the opportunity to organize their own tasks in a manner that suits them best) make Wrike an excellent tool for everyday project management use. Wrike has a fairly shallow learning curve, which is a bonus compared to other similar software, and its ease of use (including the ability to @mention team members) allows for easy and effective communication with maximum efficiency.

What do you dislike about Wrike?

If you're working on various clients, personalizing a dashboard by client name can sometimes take some elbow grease and a little Wrike expertise and know-how to accomplish. In addition, sometimes Wrike has a tendency to glitch, which makes both its effectiveness and ease of use suffer dramatically. When this happens, updates are unable to be published and team members are unable to view task details.

What problems is Wrike solving and how is that benefiting you?

All the projects our company completes are currently managed through Wrike, showing the importance of this software to our daily business. Wrike allows us to work with people throughout the company, and even externally (clients) and serves as a place for project meetings, updates and direction. It also serves as a record for project progression and brainstorming of ideas.

"Wonderful tools"
What do you like best about Wrike?

Wrike is used in absolutely all of our department as the main tool for managing programs. This is completely web-based software, so you do not need to download anything. The timeline tool is perfect for setting priorities and tracking your budget and your events. You can easily organize your own plans and actions in unlimited folders.

What do you dislike about Wrike?

We do not get any complex problems, which can cause bad results in our workflow. As a rule, the platform is used for the purpose of our entire team, and we are happy to work with it.

What problems is Wrike solving and how is that benefiting you?

The notification function is also excellent, as it can talk about certain projects within the framework of this project or the subtitle of the project, so that anyone can see what was said about the specific task. There are excellent tools for almost all tasks and projects.

"Project manager that benefits visual artists"
What do you like best about Wrike?

Task manager like any other but includes the added benefit of screenshooting design work for review and mark time stamps for video review.

What do you dislike about Wrike?

Not as specialized for film such as Shotgun (which can scrub in higher definition and real-time image/video playback comparisons).

What problems is Wrike solving and how is that benefiting you?

For a team of various specializations and languages, Wrike can be amazing. I can work with other videographers, illustrators, UX designers, and marketers seamlessly. I can store large media files for review. I can see my own work timeline for my entire time in the company. And it’s affordable in comparison to other multimedia managment platforms.
