Each task you track with Monday has its own card. These cards store any data you need, like files, a task outline, updates from management, and even an activity log. All Monday cards are grouped in boards, which are themselves grouped into workspaces.
That’s the basic gist of how Monday works. But you can tweak this simple system quite a lot. Let me show you how.
Creating a new board is very easy. You just give it a title, choose a view for the project, and start adding tasks.
When you create your first board on Monday, you’ll get a dedicated guide to set it up.
Monday offers plenty of ways to visualize tasks. You can arrange them in a table, in Gantt charts, in Kanban, in a calendar, and more.

You can further bundle cards from the same board in groups. For example, you can group them by what week the tasks are due.

This is useful, but the feature does much more. By tracking time, managers can see the availability of each team member. This makes task allocation much easier.

Monday’s core functionality is top-noth. Even beginners can use their project management software to create simple tasks and dashboards. But Monday’s true power lies in its advanced customization options.
We’ve used Monday.com for years, and we researched all of its quirks for this review. Throughout all of this experience, Monday’s automation stood out the most. You can easily set-up automated processes with the platform, even if you’re a non-techie:
And the possibilities are endless. You get templates for the most commonly-used automations, like notifying someone when a task’s status changes. You also can create your own custom automations, or modify the dozens of templates that are already here.
For example, you can set up an automation that moves a task from one board to another when its status changes and then notifies the person responsible for it. This is useful for tasks that need oversight.
That’s how my editors know to check my work. I change a card’s status to “Needs Review”, and that automatically moves the card to the Editor’s board, and notifies the person that needs to give it a look.
And this is just one example. Monday.com’s automations can do a lot more. And again, they’re extremely easy to create. You don’t need to know any code or use complicated APIs. It’s all made with natural language:
Besides automations, you can also heavily customize board views. You’ve already seen how to add new columns to the table view. But you might be surprised by how many options there are. You can include text, buttons, timelines, numbers, checkboxes, tags, and much more. There are so many options, Monday actually has a dedicated column center.
Each board can have multiple views, which makes dashboards on Monday.com very flexible. For example, team members can use the table view to see task details, deadlines, and manage their work. Managers can use the chart view for the exact same dashboard to get an overview of task statuses and deadlines.

Monday’s integrations let you fine-tune your boards, cards, automations, and more.
For example, the Google Apps integration makes it extremely easy to embed and collaborate on Google Sheets, Slides, Docs, Forms, and more. If you’re using Monday as a CRM, you can use the Tableau Connector for advanced insights into your processes and results.
Not to mention, you can also integrate Monday.com with popular tools like Zapier, Zoom, Google Calendar, and more. These let you automate processes outside of Monday.com, so your team won’t have to worry about repetitive tasks.
Integrations are one of Monday’s biggest perks. The only downside is that you’ll need at least a Standard plan to use them. They’re not available with the free or Basic subscription.
Monday.com is surprisingly easy to use, especially for how customizable it is. All plans come with onboarding guides, explanation videos, and loads of support articles to help you get started. Enterprise clients even get a customer success manager. They will help you set up all the advanced features, and provide dedicated support no matter what you need.
Even without all of that support, Monday.com is intuitive to use. And that’s mostly thanks to its well-made user interface.
Monday.com has one of the best user interfaces out of all project management apps. The design’s smooth, you get color-coded statuses, big buttons, and detailed breakdowns of your tasks.
You can quickly switch between views on a board, all the options are pretty intuitive, and you don’t need a degree to find important features. It’s easy to navigate Monday.com even without an onboarding guide.
What we like most is their comments section. All cards have one, where you can write updates about a task, interact with your coworker’s messages, and make notes of everything related to that task.
And if you need anyone to join the conversation, you can quickly add them as a card subscriber. This will automatically notify them about any messages.
When you sign-up for Monday, you’ll fill in some details about your company, like its size, industry, and what you’ll use Monday for. These choices will affect the features and templates recommended to you, but they won’t limit your tool stack..
For example, I said I’ll use Monday for operations management. This made my automation recommendations the most commonly used for ops.
After this initial sign-up, you’ll also get a step-by-step guide on how to create boards and cards on Monday.
This guide is pretty good to understand how Monday’s core functionality works. If you have minimal experience with project management tools, it’s more than enough. However, it’s not the best if you’re a complete beginner.
You might need more guidance on how each view works, as well as the difference between views, boards, and workspaces. Not to mention, beginners might need a similar startup guide for other features, like automation. All of this support is available in the knowledge center. But it would be better fleshed out in a lengthier onboarding guide.
And we’re not saying this just to pick on Monday. A lot of the complaints you’ll see online about Monday.com mention a steep learning curve. Sometimes, these reviews even complain about the lack of features that are actually there, like more views beyond the default table. A more in-depth start-up guide could solve these issues.
Monday is pretty serious about its security features. They have a trust center that outlines their stance on security and privacy, as well as a detailed security white paper, which showcases how they protect customer data.
Monday.com uses advanced encryption protocols (especially for Enterprise users) and high-end security methods. They analyze their vulnerabilities weekly and run a bug bounty program to avoid hacks. If you need a secure project management app, this is as safe as it gets.

Monday.com is pretty affordable. $8 per seat is not bad, especially considering you get unlimited free viewers and items, 5GB of file storage, and priority support for the cheapest plan.
But the tool can get pricey if you have a big team. So if you’re not sure which plan works for your business, let’s break it down.
Monday.com’s free plan is a great choice for individuals that want some structure in their day-to-day life. But it’s not limited to personal use. The Individual plan works great for freelancers that want to manage their work and even small businesses. You can add up to 2 seats to your projects in the free plan.
Granted, you are limited by an Individual subscription. You can only create up to three boards, 1,000 items, and you only get 500 MB of storage. But it’s more than enough to test Monday.com and see if it’s right for you.
Monday’s Basic plan is pretty good. It will cost you $8/seat each month, and it offers much more flexibility. You can create unlimited items, you get 5GB of storage, unlimited boards, unlimited free viewers, and priority support.
However, you don’t get access to most of Monday’s automations with this plan.
The Standard plan probably has the best price-to-value ratio. It’s $10/month, and it comes with guest access, more views, integrations, and automations. For just $2 extra each month, it’s definitely a better choice than a Basic subscription.
But if you want the full Monday.com experience, you’ll need the Pro plan.
Monday’s Pro plan offers 100 GB of storage, a full year of activity logs, unlimited guest access, time tracking, dependencies, a formula column, more views, and advanced security.
If you run a medium to big company, the Pro plan is probably the best for you. And at $16/month per seat, with unlimited guests, you can use Monday without paying a fortune.
Enterprise plans are custom-made for big organizations, so we can’t tell you how much it will cost, or exactly what features it will have. But we do know you’ll get premium integrations, a dedicated customer success manager, advanced security options, and better analytics.

Our biggest gripe with Monday.com was that you’re limited when creating task dependencies. You can only set them up via automations. Meanwhile, competitors like Asana let you take care of the same thing in 1-2 clicks. But it’s a minor issue and something that will probably be fixed in the future.
Monday.com does almost everything right. It has a strong project management suite, advanced customization, and some of the best integrations we’ve seen in project management software.
It is a bit hard to learn for non-techies. And it can be expensive for large teams. But in our opinion, these are minor inconveniences. Monday’s so good, they’re small hurdles to overcome.

I can tailor a board exactly to how I want to use it, the automations and integrations are fabulous and save me a bunch of time, and the functionality is growing all the time. I use this everyday and find the templates and FAQs really helpful too. I've taught a couple people in my team how to use it and now we can't do without...
I do wish there were more templates, like a user created library, they can be a bit limited depending on the area. Sometimes the automation can feel a little limited/hard to set up too, but I'm generally pretty happy with that and the 'create your own' functionality. I'd love more AI tools like prioritisation that seems to be coming up as a helpful aspect.
I'm managing our pipeline of campaigns, contracts with due date reminders so we don't have to think about it, pushing notifications to our team on slack so everyone stays up to date on tasks/due dates.
I would say automations is the best of monday.com, since you can make your work with just some clicks and it saves lots of time. Integrations are also a pro for them, since I can connect my business facebook account and retrieve all of my campaigns data with a clean view of what i want to know (eg. clicks and started conversations). Definetly is the most visual app i have used, it is so simple to use and understand that your team wont have problem with this at all.
I wish monday.com has something like projects based on dates because i have to create a new project each period of time so everything is separated. I believe this is important since my workflow is kinda the same and i have to use the same board with each column i need but when i need the same workflow in other project, i have to either duplicate everything on the current board (with tasks and then delete all the data) or create a new and create each column manually. Yes, you can make this board to be a template but when it comes to add a new column because you need to add some info on other projects or your needs have slightly changed, all of your projects with that template suffers the changes and everything gets scrambled up. App for desktop lacks of some features that can be used on webpage, like uploading from drive.
Definetly saving time scheduling your work. Im a marketing manager and have to schedule post for social media, track work for my co-workers, assign tasks, approve work, send updates and receive new requests from other departments, Monday.com helps me have everything in the same place and even retrieve information from my social media campaigns so i can take action faster. This improves my time at work and my efficiency so i can deliver everything on time for my superiors and if something is not going to be ready on time, i can easily know why and send an update to my superiors letting them know something's going to change so they know im aware of everything.
Monday.com is perfect to work and manage tasks and other employees. I have utilized Monday.com to maintain my own to do list up to date and delegate tasks to my teams. Monday.com has helped programmed tasks for the entire year and make sure all of my employees also know what is coming ahead. Since we started using Monday.com no task has "fallen through the cracks."
Everything has been great, the one minor is not being able to customize the colors in the textboxs.
One of the biggest problems that used to have in our company is not knowing what work was assigned to who, with Monday.com we have been able to assigned employees, departments to each task and getting status updates on task while we work. Task Management has been streamlined with Monday.com. Also, work management, since we have different groups constantly evolving we have been able to see their progress and needs as to why some task have taken more time to complete, including for us to provide resources or answer questions for the teams to complete tasks.
At our business, we frequently use Monday.com every day. We use it for projects, meetings, CRM, sales, and personal task management. What is most helpful about monday.com is the automation and integrations. Being able to streamline processes with automations makes every team members job easier and more effecient. We can also ensure that no project is lost and is easy to see everyone's responsibilities. The Updates is also another favorite feature as we can communicate easier with remote members. Implementing Monday.com was very easy for our team, the tutorial videos and walkthroughs made training so much easier, and in general the platform is easy to navigate and learn. The customer support is great and easy to contact. We had problems when merging from Hub Spot and they responded fast and were very helpful. In general, we create and ensure our procedures work with Monday.com first before choosing to outsource, an example is forms. We use forms for registrations and more and choose Monday.com over a secondary form platform.
A downside of Monday.com is that the CRM does not handle duplicates automatically. We have to manually check and merge duplicates so it creates an extra step in our automation to check for duplicates.
Our biggest problem is having to update and communicate the status of our clients with the whole team. With Monday.com we are able to have one board that is updated constantly and a dashboard for the rest of the team to easily view throughout the day. Automations also streamline our process when handling client onboarding and departing through notifying other team members and having the automation list the client in a separate offboarding board.

I love how versitile the board, automation and general functions are - and easy to build. The rest of the team is only able to see what matters to them, making it highly functional, but also clean an efficient for the everyday user. I also love how easy it is to get support when you do get stuck on something. I've had a few things that have worked they're way up to be fixed in future updates and the monday.com team is always really attentive and takes the time to go over every detail until we figure out the problem.
I was really looking forward to integrating several boards with Outlook and Outlook Calendar, but the integrations are seemingly too broad for what we needed. Most of the automations we have are pretty great though, and the integrations of that platform have not been overly hindering on out work.
Monday.com allows leadership to have a significantly better overview of each team member's schedule and workflow. It ensures that ALL steps of a process ave been completed, while keeping larger, "big-picture items" on our radar so nothing ever falls through the cracks and the business operations continue to grow.
I found navigating Monday.com very easy, as it's very user-friendly, As well as how much it makes my workflow feel that much smoother and more fulfilling. Doesn't seem like there have been a lot of improvements in the last 9 or so months. The search everything function is terrible and takes way too long. If we could search all of our updates and get reliable answers in 3-5 seconds, this would be a game changer for adoption. Also, email subjects being customizable would be huge. People who get notifications to email need to immediately and easily be able to tell what the message is about and how the messages start, like a normal email does. Lastly, it could have been easier to know how to get more skilled at using Monday.com for non-Enterprise users. I don't think the how to guides and resources/community are that great for people at a small company with not a ton of budget to learn how to get really good at Monday by themselves and fast. Took a lot of trial and error.

Started to use Monday.com as a classic to do list, now using it to handle complex projects with multiple stakeholders. The integration with all comms channels (email, slack etc) has also turned it into the main way I communicate with all peers.

This is a difficult question to answer! There isn't one thing I have used in Monday.com that isn't greatly useful and helpful to my team!

I really appreciate the categorization of tasks. I'm able to break down each project into tickets and keep track of my progress. Monday.com also gives me a birdseye view into all my acheivements for each quarter so I'm always able to keep track of my performance.
Sometimes I get overwhelmed by all the notifications but I completely understand that its necessary and I can always edit the settings to get less of them.

I dislike that when you export boards or docs that it doesn't look as good on the PDF as it does in monday.com so it's hard if you need to present whatever it is you're exporting out of monday.com. I redo the design after the content is exported from monday.com.

Luckily management has supported this platform as well and found the value in it. What's not to like? I guess the best thing about it is the EASE of using the boards. The tool is SO user friendly that after just a quick tutorial you can start using it.
I know this sounds weird but it's addicting! You can't ever go back once you've been introduced to this tool. Throw away the "to do" list and pen and paper because Monday will spoil you!
