While a relatively new entry into the project management space, Notion has evolved quite quickly to meet the needs of its users. It’s a platform that is notable for its versatility, and it is a well-known option for individuals and teams who want a reliable tool to organize and manage tasks–from note-taking to in-depth project management.
But does it incorporate the best project management techniques to help you or your team get organized?
Let’s find out.
Notion is a cloud-based workspace where individuals and small teams can take notes, create documents, track projects and organize and manage tasks all in one place. It’s often referred to as an “all-in-one” workspace because users can collate all of their projects onto a single platform.
Notion’s popularity among professionals and students is credited to its personalization that caters to any workflow. As a user, you’ll have the freedom to customize the layout of your workspace, while still getting helpful guidance and templates to help you get started.
Founded in 2016, Notion started as a note-taking app but has evolved into a comprehensive project management tool for solopreneurs and small teams. The platform’s mission is to make it possible for people to shape the productivity tool they use every day to match their needs.
Every feature on Notion is designed to help users be as organized as possible.
The platform is segmented into pages that can be nested or interlinked at your convenience. As soon as you sign up, you’ll be redirected to your Welcome screen containing some tips to get started. This includes linked videos that guide you in creating your first page and setting up your to-do lists and projects.
On the left side, you’ll find a list of default pages, such as ‘Quick Note’, ‘Personal Home’, and ‘Task List’ which you can customize and add. Whenever you create a new page it will show up on the left panel. You can add personalized header images, descriptive comments, and add associated icons to your pages.
Simply click anywhere on a page to add blocks for individual pieces of content such as text, lists, media, links, and sub-pages. You can also just type “/” to bring up a menu of blocks you can add to your new page.
Although Notion started as a note-taking app, it has become far more than that. The tool has promising features that go beyond creating to-do lists and make it a competent productivity and project management app.
A commendable feature of Notion is that user guides are already embedded in the platform. For example, if you want to create a new document, you’ll find guides on how to get the most out of the preinstalled page.
Of course, this can be a hit or miss. Some users may be grateful for the step-by-step guides, while others may be frustrated with manually deleting pre-installed guide pages to clean up their workspace.
Notion makes it easy for you to create pages and documents in whatever style you want. Pages are like folders where you can store all information related to a particular topic. You can include a range of blocks or items on your pages such as text, toggle lists, to-do lists, images, video links, tables, boards, and maps.
Every change you make to a page or block is automatically saved in Notion. So you can always go back and view the history of a page if there’s something that you want to restore. This is pretty useful for when you make a mistake or just want to experiment with different versions of a page.
Notion is also very generous when it comes to templates. It provides users with a ton of options, whether they’re creating blog posts, articles, event schedules, or product launch plans. Fortunately, all templates are fully customizable so you can modify them to your taste without having to build from scratch. The platform also encourages users to submit their own templates so the library grows to fit a wider range of needs.
Users can create different workspaces for different projects, which is useful if you need to manage multiple projects at once. Every workspace will have its own pages so all your information will remain separate and organized.
Notion allows you to invite other people to your workspace so you can collaborate in real time. The limit of guests you can have at a time depends on the plan you choose.
As a good workspace should, Notion integrates with a wide range of popular productivity tools so you can easily share information across the platforms you use. These tools include Slack, GitHub, Zoom, Trello, Google Drive, and more.
For instance, you can make use of the Google Drive integration to quickly add and share files from your Google Drive directly to your Notion workspace.
Notion AI is a relatively new feature for workspaces. It’s a connected assistant powered by GPT-3 that’s developed to help boost your creativity and write content faster. Essentially, it eliminates the need to jump between your work and a separate AI-powered tool.
The feature can help you generate ideas for blog posts, social media posts, press releases, job descriptions, meeting agendas, and more. You’ll also be able to summarize pieces of content, correct spelling, and grammar, and translate text (English, Spanish, Chinese, and French).
Individuals who are working freelance will benefit from an organizational tool like Notion. It can help with a variety of processes such as:
Small professional teams can benefit from Notion’s features because it ensures that all team members can collaborate on the same tool for multiple purposes. These purposes include:
Students also make great use of Notion because of its impressive note-taking and organizational capabilities. Students can easily organize their notes by class and keep track of all reading and assignments (by the due date) for each class. The best part is Notion can even allow easier collaboration for group projects since the free plan allows sharing with up to 10 guests.
Notion stands out in two major ways; it’s very customizable to support any workflow, and it brings all work together in one shared location.
Unlike many productivity tools, Notion doesn’t just focus on solving one problem, such as organization. The way Notion is designed gives users the freedom to mold their workspace in a way that works best for them. On one hand, individuals can use it to keep their notes, to-do lists, calendars, and journals in one accessible platform. Additionally, professional teams can use it to build collaborative docs, product roadmaps, and wikis for their company.
Notion has four pricing plans: Free, Plus, Business, and Enterprise.
Unfortunately, none of the plans come with Notion AI because it’s an optional add-on. It costs $8/month per member and is billed annually at $96. If you’d rather pay monthly, it’ll set you back $10/per month per member.
Notion should be commended for its simplicity, familiarity, and affordability. If you need a straightforward entry-level solution for creating content and planning and managing projects then Notion is a great choice.
With that being said, large businesses that have complex needs may not see the platform as comprehensive enough to streamline their project management. However, Notion is a tool that keeps evolving and works hard to improve its capabilities to fit businesses of all sizes.

The creative space and the whole plugins and templates make it the best to-do list/ Product manager tracker
Sometimes it just becomes too complicated and you dont know how to create your own templates
Its a good product management tool for personal as well as organizational use. It has made me productive and also helped me build my portfolio for Product Management.
paper analysis, proper sentence and making table automation.
sometimes disconnected to ai, 500 error and i tried to analysis table, he had rewrite table and show the result
like auto gpt. Notion ai would rather to use goal and make result method.
Quick and efficient help in formulating your idea
I don't see any obvious flaws in the system
Helps to articulate ideas clearly
It helps me organize ideas coherently!!!
Steep learning curve due to a peculiar UI
As a professional, it helps me increase my productivity by being my AI writing assistant
That you can use their AI for consultations and that you can create a page (document) in seconds, which is helpful for collaborative work. I think it does not have any real competition at the moment.
Well I would say that I had trouble with the notification system. I think it could improve and have a better delivery when you're working with dates and datelines.
Is giving me the possibility to collaborate with others in simple and visually pleasent way. Also, the AI is doing wonders, helping me save time when investigating.
The AI writing assistant ! It help me writing and make note faster. And I can share with it instantly as a communication tool.
The AI writing assailant would be wonderful it can be upgrade to gpt4.
I use this note as official analysis report for my client. It help me details the step easier now
Its integrated shortcuts help me stay very productive and make beautiful notes that takes no time. I love the direct integration of Notion AI which I mostly use for correcting my grammer, given that English is not my native language. By pressing Ctrl+J and then Enter, in less than one second, I have corrected my work. I have not started using it to make relevant questions for myself (in a toggle format) based on my own notes. This is simply genius.
That everything needs a page. Pages are smart, but only in certain cases. In many cases I prefer having the data gathered in the same place, but when using tables, every cell needs its own page. Also, using a Danish keyboard, and when writing a lot of code in Notion, the shortcuts for { } [] often cause the side panel to occur. It would be nice to turn these shortcuts off.
Notion AI: It helps my correct my grammatical errors and restructure my sentence given that I am non-native in English. Knowledge Base: It helps my write notes for all of my courses at my university, to help my stay structured and plan for exams. Note-taking mangagement: It helps me write down ideas about everything.
Customisation: What I like most about Notion is its ability to be fully customisable. I can organise pages and content according to my preferences, create tables, lists, databases and much more. This flexibility allows me to adapt Notion to my unique working style and to organise information intuitively. Collaboration: Another aspect I love about Notion is its collaboration functionality. I can easily share my pages with my work colleagues or team members, allowing them to view, edit or comment on the content. This ability to collaborate in real time makes teamwork smoother and more efficient. Centralisation of information: Notion allows me to have all my information and projects in one place. I can create pages for different projects, keep track of my activities, keep notes, manage to-do lists and even create customised databases. This centralisation of information helps me stay organised and keep everything I need at my fingertips, eliminating the need to switch from one app or tool to another.
Learning curve: One of the things I might not like about Notion is its initial learning curve. Because of its flexibility and the many features it offers, it may take some time to become fully familiar with all its capabilities. However, once you get past this learning phase, the benefits of using Notion far outweigh any initial obstacles. Limited mobility: Although Notion offers applications for mobile devices, some users may find that the mobile version is not as comprehensive as the desktop version. Some advanced features may not be available or may be less intuitive to use on mobile devices. However, the Notion development team continues to constantly improve the mobile experience, so these limitations are likely to be addressed over time. Internet connection dependency: Notion is a cloud-based application, which means that an Internet connection is required to access data and work on its pages. This could be an inconvenience for those working in environments with an unstable or limited Internet connection. However, Notion offers the possibility of working offline on mobile devices, allowing changes to be synchronised later when connected again.
Notion is solving several problems and providing me with numerous benefits. Here's how: Centralisation of information: One of the common problems that Notion solves is the dispersion of information across different platforms or tools. With Notion, I can centralise all my information in one place, eliminating the need to switch between apps. This saves me time and gives me a complete view of all my resources and projects. Customisation and flexibility: Notion offers me a high degree of customisation and flexibility. I can adapt pages and content according to my needs and preferences. I can create templates, organise data as I wish and customise page layouts. This flexibility allows me to create a customised work experience, improving my productivity and overall efficiency. Collaboration and sharing: Notion makes it easy to collaborate and share information with my team. I can create shared pages, allowing all team members to view, edit and comment on content in real time. This promotes greater transparency, better communication and more effective teamwork. Task and project management: Notion helps me manage my tasks and projects efficiently. I can create to-do lists, set deadlines, use labels and filters to organise and monitor tasks. The integrated planning and clear visualisation of deadlines help me to stay focused, avoid clutter and manage projects more effectively. Overall, Notion solves the problems of information dispersion, lack of customisation and flexibility, and ineffective collaboration. It benefits me by providing a centralised, customisable and collaborative experience, improving my productivity and helping me manage tasks and projects more efficiently.
Hot keys, templates, interface. The tutorials that help you to start working with notien.
Most of the templates are ussles or repetitive. The templates are difficult to adjust.
Notes. In my interniship I have to take notes consistanly. Notion help me to keep everything organized, and give a good format to my text.
I love how easy it is to jot down ideas and then restructure them into something useful. Notion has been life-changing for me since I find it difficult to put my thoughts into words. Notion has helped me take a simple app idea and turn it into a lasting system design documentation. It's very easy to search for ideas, write new ones, and then combine them to create the documentation you need. I highly recommend using Notion to supercharge your work and personal life.
I don't have much to dislike about Notion. The blank canvas and flexibility can be intimidating. But one thing I want to note is when moving a document from one database to another, it brings new properties for the main database.
Notion helps me with project and knowledge management, as well as many other aspects of my digital life. It's easy to streamline your creative process, from viewing tasks in a calendar format to making collaborative work more efficient.
- To brainstorm it with my clients marketing plans - To enchance my grammar in different languages - To sum up long interviews/meetings - Have a wonderfull overview at each client.
Notion (not AI) seems slow at some times, but nothing terrible.
To quickly and effectively transform my creative ideas into video scripts, ad texts and get as much value out of ideas. I spare so much time on using the AI to sum things up after brainstorming with a client, could not be without.
The capability of an AI to generate the text for you allowing you to have more time to focus on solving an issue in a board. Its great because the generated description fulfill everything.
Maybe Notion could have a way that the AI could tag the tickets based on previous experience or type of tickets, allowing you to calculate better the sla of the assignation of a ticket.
We are using it as a scheduler and as a CMR to manage the issues and requirements of the company, to give a solution to our clients in a fluently way, allowing us to have more time to code new features and work bugs.
Notion AI is incredibly helpful when explaining/generating terms regarding my university work - I have used it for my dissertation and it has been an absolute godsend when trying to gather further research articles, analysing data from questionnaires etc. Honestly, it is just an amazing all rounder AI software
The only thing I would say isn't fab about Notion, would be that sometimes it doesn't quite understand the question that you are asking - however, having the option to ask it to expand on the answer given to you previously or reiterate what you were asking in order to give you a more formulated and correct answer is fab.
It is simply amazing for rewriting my assessments, or writing paragraphs as inspiration for my assessments - as it gives me a further and more comprehensive outlook on subjects/and overall ideas for both university assessments and for my job as a content writer - it gives me further insights into subject matters.
The best things I like are all the different templates and especially the AI
Nothing! I love everything about Notion!
Explains what a snippet of code means and how to code it. It's pretty accurate!
The thing like the most is the intuitive user experience, that I can have my notes everywhere I want.
I would love that notion implement an option to help me organize my notes in a more structured way. The notion is not customizable enough, I would prefer more graphic options to make my pages more inspiring.
Notion is helping me to keep all my notes in one place. It became a place where I share my work with my clients.
I like that you can customize Notion however you want and from there. you know exactly where is your things is, you can store anything you want to write anything you want. Also Notion have alot of features that you can use like block equation, and embed,....
I only have 1 complain that is I need a way to create a flowchart or draw some kind of chart on notion. Why aren't there anyhting like this? there is no easy way to do this
being able to customize where is where and what is what, also the AI stay on the exact page so it is nice to have all your context in a page and use AI to advance your note taking, research, studying and more
To organize all your notes taken from your university class using their templates plan your school tasks on a calendar create a to-do list for your daily tasks
difficult to correct your spelling mistake
writing texts more efficiently by using AI organizing my notes specifically for school in one place attributing a topic or a label to my document on notion organizing my internship applications
I use notion daily to make notes, structure my to-do lists, and write texts. Love its' cross-platform, fast, and very intuitive, simple yet very powerfull. And the recent Ai update is very useful!
Sometimes I'm lack shortcuts for key functions, including text formatting. And need to be able to export full text from document with a couple of documents with text inside, not just headers.
I like how it helps me to structure long texts with links and nested documents, i'm able to write more and taking notes is easy across all my devices. And I like all is stored in the cloud and I'm able to find my notes quickly.
Ability to customize the look and feel as per my requirement Store huge amount of information as per need Organize my knowledge and share pages with others
It's addictive! You feel like you are playing a video game!
Following up with clients Creating relational databases.
Most of the time, I have to make quick notes because of my college course and also to manage the hustle i got going; without this software, I may have notes placed in books that I could lose. Now I have all my notes organized and can have more information with the AI tool or teamwork spaces in the software.
It may be the language barrier. I am not a native English speaker, but thanks to my knowledge of the language can manage to use the software. Nonetheless, that is not the same for my peers; at first sight, it may look difficult to use, but it could help with some tutorial videos showing how to understand Notion quickly.
As I said before, I can now organize and secure all my information on my computer. Also, the use of AI makes taking notes an effortless task. I also have to track the spendings and earnings of my job so it can stay afloat.
