Workflow management is a critical part of any job. It’s what keeps a project moving, and a team motivated to see it through. But, how do you support effective workflow management?
You start with understanding better what tools, platforms, and software are out there that can support your team’s ability to effectively manage workflow and collaborate within their teams and beyond.
To that end, we’ve identified Airtable as a strong market leader in workflow management software. So, let’s dive into Airtable’s features, capabilities, and price points to help you better understand your options.
What Is Airtable?
Airtable is a workflow management application with highly customizable database management tools used predominantly for collaborative project management.
The focus on having accessible, easy-to-use software to help with project management is increasing, and Airtable is a top choice. It features a familiar spreadsheet interface, but unlike traditional spreadsheet software that only records data, Airtable can also help you organize, sync, and manage your data and customize exactly how you need it.
For example, let’s say you’re using Airtable to manage vendor management workflow for an event. This would entail designing the database to include fields for:
- Vendors’ contact details
- Links to their websites
- Inputting key information, such as lead times, product availabilities, and prices
- Uploading order confirmations
- Uploading invoices
- Important notes and comments about the vendor
The option to invite collaborators to this database is also critical so individual users can easily update data in real-time. Having all these features in a single platform means users can clearly follow the progression of a particular project and keep everyone in the team up-to-date on their tasks and next steps.
How Much is Airtable
Airtable’s interface is very flexible and is ideal for numerous industries. While it has been marketed to larger corporations, most users who have had hands-on experience with the platform say that it is just as useful for smaller businesses.
This is reflected in Airtable’s pricing, which follows a monthly subscription model. This subscription cost increases depending on the number of features and ‘seats’ you choose to purchase, making it highly scalable depending on your organization’s needs.
Airtable’s features are grouped into four levels, and the price per seat rises accordingly. A breakdown of each level can be found below:

How Airtable Works
Airtable was built to be as customizable as possible, giving users the ability to display their data in a way that meets their specific needs—whether that means a simple presentation or a more complex one.
Getting started is simple.
You start with an empty Airtable, which is essentially your ‘base.’ From here, you just fill it with your data. You can either use a template and bring in data from another source or construct a database from scratch. Whatever the case, you can leverage Airtable’s features to tailor the platform to meet your needs. For example, you can use the Interface Design feature to visually present data in a way that makes the most sense to you and your team.
Familiarizing and understanding all of Airtable’s features and capabilities may require some effort, but the payoff is worth it. Taking the time to learn the platform will ensure users have full control over their data and workflow management.
Features
Access to Airtable’s numerous features will depend on your subscription and, subsequently, the scalability of your projects. However, all subscription options should include:
- Unlimited bases
- Sync integrations
- The ability to add attachments
- Revision and snapshot history reporting
- Field and editing permissions
- Extension add-ons (e.g., data visualization or reporting extensions)
Airtable also provides:
Customizable Views
With a click of a button, this feature gives users the flexibility to switch between different data views. Users can view project timelines via the Timeline View, and easily switch to managing team tasks on the collaborative Kanban View. Other viewing options are also available ensuring that you can customize your viewing experience so you can maximize the platform.

Airtable’s integrations mean multiple applications can be streamlined to automatically sync data, share information between different platforms, and automate tasks so workflows can be further improved.

A Final Findstack Opinion
Overall, Airtable is a highly comprehensive and customizable workflow management application.
Airtable’s app offers flexibility by allowing you to switch views and integrate reporting extensions, ensuring your data is suitable for various applications. Additionally, its extensive list of integrations enables you to consolidate all your preferred tools and their data in one convenient location.
It’s important to keep in mind, however, that these features are only useful for those willing to take the time to learn them. Airtable’s interface can be quite overwhelming for new users so our advice is to scale to higher subscription packages only after you’ve taken the time to learn the app’s features and familiarize yourself with them.
Compare Airtable with other popular tools in the same category.
It's easy to customize and jump right in. There can be a steep learning curve to do complex tasks, but otherwise, it's easy to start and build out your bases and tables. It's also great there is a free option, and very easy to use with external teams and manage visibility of content. I like that it's not rigid, if you want something to happen, there is usually a way to do it.
They are short on their support. There is little to no live help and it can take days to get a report response. I also wish that it had the functionality to see a "my assignments section". Airtable has the ability to tag collaborators, but although the software is collaborative, it's hard to a) see an aggregated view of where your name is assigned in user fields and b) the ability to communicate as a team without connecting it to a record. It would be great to have messaging per table or per base to keep the team apprised.
Creating one place to track data and build workflows. Getting rid of spreadsheets, duplicative information, and building team transparency. It is also being tested for client transparency and communication.
Airtable is what would result if Excel and Trello had a baby. It has all the powers of a spreadsheet/database tool, with all the beauty of a visual content management system.
I've tried out the email automation function and it is quite clunky. I wanted to receive reminder emails based on specific parameters but couldn't specify them using the basic options available. (I think if I could write scripts, I might be able to get it to work precisely the way I'm hoping for, but I lack that skill.)
I am a comms professional who not only oversees every piece of content published on our website, but also manages the distribution/promotion of that content on many different channels. Using Airtable, I am able to create one record per content piece, and by simply selecting various filters and/or checkboxes (that I set up and can continually customize), I'm able to specify which channels I want to push it out to, and have that appear in different views, for team members assisting me with day-to-day tasks. Without Airtable, I would absolutely not be able to manage the development and creation of our digital content along specifying its distribution as easily.
It streamlines workflows so efficiently. We use Airtable to keep track of our financial requests. We have had fewer errors than ever before.
Can do a better job at calculations, it would be nice to have excel-type capabilities.
Streamlining and keeping track of tasks in the office.
Versatility and flexibility, so it makes easy to organize and manage the team's information in a customizable way. Spreadsheets and databases of any type of data. Also used for individuals project because it's a very powerful tool!
Sometimes there is a limitation in the way the tool sorts and filters some options. Also, with large amounts of data, along with a lack of detailed control access on some scenarios for Team collaboration.
It helps in the better form of organization and data manage, also, it's easy to track Team projects and tasks, define who will perform specific workflows and also develop a collaborative way of work with other team members!
Airtable is an exceptional tool for small and medium-sized enterprises looking to store and manage their databases. With its intuitive user interface and powerful features, Airtable makes it easy to organize your data and gain valuable insights into your business operations. One of the standout features of Airtable is its flexibility. Users can customize their databases to fit their specific needs, whether they're tracking sales data, managing inventory, or organizing client information. Airtable's templates also provide a great starting point for businesses that may not know where to begin with their data management. Airtable's collaboration tools are also top-notch. Multiple users can work on the same database simultaneously, making it easy to share information and collaborate on projects. Plus, Airtable's commenting and notification system keeps everyone in the loop and ensures that nothing falls through the cracks. Another great feature of Airtable is its ability to integrate with other apps and tools. From project management software to marketing automation tools, Airtable can be connected to just about anything, making it an even more powerful tool for businesses. Overall, Airtable is a game-changer for SMEs looking to streamline their database management processes. With its flexibility, collaboration tools, and integrations, it's no wonder why so many businesses are turning to Airtable for their data management needs. Highly recommended!
Nothing much. I was able to fulfill all my need.
I need a better version of Excel with cloud access, easy filtering and mapping.
La facilidad de poder integrarse con otras plataformas y la función de tener su propio formulario
de momento no tengo nada negativo que comentar
la automatización de procesos como creación de una base de dato rellenado directamnete desde un formulario
The many ways you can customize views and sort the data is extremely helpful, I use this for a variety of work-related spreadsheets, my personal budget and regular expenses, my mortgage and home ownership info, and travel info!
Having to sign up to see a view can be frustrating for users, especially if they don't use the tool for anything other than the spreadsheet someone shared with them.
Organzing large sets of data or links out to shared documents, I use this to organize all of the user-testing reports, findings, dates launched and project owners in Airtable. Adding custom scripts is also super helpful for budget and finance related spreadsheets
Airtable makes it easy for my team to know what projects they're assigned, when they're due, and the details of the project that they need to know. Airtable allows you to get specific too in terms of SEO, with their dropdowns for SEO Status, Target Keywords, and MSV.
There isn't anything I currently dislike about Airtable. I think it has all of the features I need to manage my content for my team effortlessly. I don't think there's much to complain about.
Airtable allows my team and I to know what projects we're assigned, when they're due, and the details of the project effortlessly. It makes it easy to manage tasks and projects.
Making my work easier and handle my portfolio and it was qualified to make example for work
All good but need more tutorial and short reels about new functions
Making tasks management and it was good for handle work
Flexibility is the main reason why we use Airtable. Their interface is simple yet strikingly powerful. We are able to store information and run complex automation in the same platform. It's a huge time saver and a real lifesaver.
Prices are aligned with competitors, but they should consider further discounts for small teams. Overrall, I wouldn't say I dislike anything about Airtable.
Storing, automation, invoices.
Airtable is easy to use and it's a user-friendly I like that it has great customer support and many features inside
I have no dislike about it since it works best for me
Tasks Management
The idea of the single source of truth is baked directly in
It can be a little bit overwhelming to learn.
It's keeping all of my data organized and clean, and giving me insights I didn't know I wanted. There are so many excellent ways to visualize your data. There is also a very helpful and active community for any questions you have along the way.
I love the flexibility of Airtable. It's easy to customize a spreadsheet/database to hold almost any kind of information. It's become my most successful and long-lasting task manager. It provides many ways to view your information. I use IFTT to create new tasks from Google Tasks and it integrates natively with Google Calendar so I can effortlessly keep track of my time. I created other bases to keep track of recipes, genealogy notes, and a habit tracker.
I would like more control over formatting lists for printing. There is a printing extension but it was overly complex and even then didn't do what I needed.
Easy to add tasks to a to do list and create multiple ways to sort, filter and view it. Easy to track time by connecting to a Google Calendar account and creating a Google Calendar to enter time spent on specific projects or just Time in/out for the day.
Airtable is so visually appealing. I find that I'm more likely to check my Airtables and stay on top of my projects and deadlines simply because it's enjoyable to look at and use. It's fantastic for us at our small nonprofit, especially because the free version has a lot of functionality. We are able to do a lot just with the free version. The templates are also really helpful for getting started and finding new ways to use it. In my last role, we occasionally used it to set up forms, too, which was very helpful. It's one of those platforms that have so much functionality that I'm sure I'm not even using some of the best parts of it!
I wish there were an easier way to integrate Airtable with my other work platforms. It seems like there is a way to do it, but it requires a level of knowledge and skill that I simply don't have. I am okay with technology but pretty much stick with the user-friendly features, of which there are plenty. I do wish they had a non-profit discount because it's really hard to spend money on software like this at a non-profit where every penny is pinched. Honestly, though, I just don't have a lot of complaints!
Airtable has helped me stay organized with bigger, longer term projects. I can map out all of the components of a campaign with deadlines for each task, and I can assign tasks to teammates. I've been able to stay on track much more easily. It's also been super helpful as a collaboration tool. I can tag my teammates on tasks and use the "share view" to share with board members and others who only need viewing privileges. And this is all with the free version. I'm sure the premium version is even better!
Easy to use, flexible Filters and groups features Automation Good learning curves
I have no dislike about it since it works best for me
All database can be solved with airtable
I love how easy it is to create linked records. I organize so many thoughts and ideas with Airtable. I've used it for business, YouTube channel planning, and product ideas for online retail.
So far, so good. I haven't really found anything that doesn't work as it should, both on desktop and mobile. They just announced new features coming in 2022 so I'm expecting even more versatility.
As a multipreneur I'm often gathering ideas for different future projects. You can compartmentalize your ideas as much or as little as you want. It's easy to switch bases and add an idea quickly from my phone. Perfect when you are on the go.
Easy to use, has a lot of features and data types being supported. You can do almost anythinh you want. Automation.
For more than 2yrs i haven't experienced any dislikes about it since it offers our services.
Tracking orders and keeping me updated to the status of the business.
easy to use, many options available. replace spreadsheet and complexe filtering. nicely design
usage of formula can be complexe, and some of them are missing for my usage.
Managing events is quite complexe. With airtable I could list all attendees, follow their participation, discuss with the supplier the number of attendees for each activity. Using customized view is much more better than using combinaison of filters in spreadsheet. Airtable provides different designs to view you data. Just what I need
Compared to other database systems I've used, Airtable is (for the most part) quite forgiving when working with data. The intricacy of supports while remaining logical and extremely fast impresses me.
Certain decisions made by API are odd. The main drawback is that you have to use the actual column name when referencing a column instead of using an internal ID, which is particularly error-prone for large teams. The ability to quickly search for a record using a field value is also lacking.
As an alternative to SalesForce as our CRM, we adopted AirTable. It was simpler to adapt fields for our particular applications and the interface was friendlier overall.
Ease of use Having everything in one place
Nothing, I really like and and the fact that they have a mobile app too
Tracking orders and keeping me updated to the status of the business
Airtable is a great way to organize your tasks and projects and keep track of what has been completed and what still needs to be done.
If you sort the table it affects everyone so you have to set up a unique view and switch back and forth between them. Also the boxes are small so if there is a lot of text in one you have to double click it to expand the field.
Airtable helps me communicate with my managers to show how much of a project has been completed so far. I can also leave notes if I have any issues completing something.
Airtable is easy to use and great to customise however you would like to.
It was a little bit tricky to use in the beginning but after a little learning curve it became much easier.
It helped me to create a list of different types of content that our team can refer to.
Airtable is useful when you need more than a simple spreadsheet. It acts as a database with entries, values, and relationships. Built in sort/filter tools help find the information I need.
The mobile app is not very useful. The design on desktop and mobile is too rigid. I would love to see Airtable act as a real website backend with an API generation tool.
I need to organize information like a list of places with details like address/phone, categories, and connected people (from another table). Works great as a CRM or task manager too.
There's so much you can do with Airtable. At the most basic level, it's a database, but has such a variety of ways you can organize and view data.
I don't think Airtable is great about explaining itself. I had to figure out much of its functionality just by playing with it and experimenting.
With Airtable, we were able to move off of a clunky, hard-to-organize or update Google Sheet. Using Airtable instead has allowed us to not only track our files, but actually work with data to understand how we are functioning and where we could improve.
Being an "Excel" on steroids! The capability of tracking different things, not just text, on a single database is very useful!
Some of the calculations are not easy to make.
It has changed our hiring format. Before, we had multiple sheets and attachments on drives. AirTable makes it easier to have it all in the same place.
I love that Airtable integrates with so many different apps. It has been a game changer for our business organization and website creation with Softr. Automations are super helpful and shave so much time off tasks that we were doing by hand.
I dislike that the Airtable branding can't be removed from interfaces and emails sent by Airtable. The interface design is not very good either, with not many customization options. We could be utilizing Airtable for more if it wasn't for that.
Airtable keeps all of our data in one place to be used with other integrations. Having so much control over how our data is viewed and what fields are utilized makes Airtable limitless for what we need. We are able to send automated emails to our customers throughout each critical step of their service. Without Airtable, we would not have been able to build a dynamic website that our customers and employees can use. It has dramatically impacted our ability to create a much better experience for everyone involved.
Great interface. So much flexibility, yet still clean and structured. It is a database with all the flexibility of a spreadsheet.
You can't send an individual record for someone to edit. People can't save and continue a survey response. The apps are great, but with out being able to limit the data that is seen they have little use with outside folks.
I use it for some complex project management. I use for various data collection projects. I use to create libraries of documents. Whenever I come across a problem I think about how I might be able to adapt airtable to solve it.
I love how flexible and powerful Airtable is with the unlimited ways it can be used for both personal and business. I use it for everything in my business and recommend it to everyone.
For beginners or first-timers, the learning curve can be a bit steep, but once you get it - there's absolutely no going back and you'll want to use it for everything!
I have eliminated the need for accounting software and have automated 95% of my accounting. I use it for clients to track their entire business including a fully automated KPI dashboard that automatically pulls and sends a report every Monday on key metrics. I set up one of my clients who is using it as an inventory tracker for their art gallery. It's a brilliant CRM as well.
I love how easy it is to set up a base to build and organize your records. The app makes it easy to capture info on the go. It's like having a custom app built for your exact needs.
Airtable does a great job of taking a robust feature set and presenting it via a simple interface. Still, some parts of the UI can be a little tricky (like navigating views).
I use Airtable as a CRM and to organize my hobbies (wine collection, nature sites, reading list, etc).
Easy to use Good learning curve You can do almost anythinh you want
Community support should be revised Formula syntax should be improved
Almost any database problem could be solved with Airtable
