Sales reps need to be able to juggle a lot of information—especially on high-velocity teams where they’re dealing with 400+ leads per month. How do they manage?
By using a reliable sales CRM to help them manage the work better.
One of the more popular CRM options out there is Pipedrive—but does it live up to the hype? In this Findstack review, we’re taking a deep dive to answer that very question.
Pipedrive describes itself as “the first CRM designed by salespeople, for salespeople”.
While it probably isn’t the first, the rest is true—it’s a CRM specifically designed to fit a sales team’s unique needs and processes. The software is designed to help teams better manage their sales pipelines, making it easier to track leads and opportunities, manage customers, and automate busywork—all in one place.
Getting started with Pipedrive is a super easy process. Before diving into the tool’s actual features, there are only really three things you need to do:
Once you’ve completed these three steps, it’s time to start exploring the platform.
Pipelines and deals are Pipedrive’s (and every other sales CRM’s) bread and butter. They’re visual representations of your sales process, including stages, deal flow, and the status of your current deals.
In Pipedrive, pipelines are completely customizable. You can easily add new stages to the pipeline and adjust the order of stages by dragging and dropping—just click “Edit Pipeline” in the upper right-hand corner.
You can also easily add new deals and view existing ones from the pipeline view. The option to review every deal’s details is especially useful and accessible simply by clicking on it in the pipeline. This includes:
You also have the option to define custom fields for your deals. These can either be marked optional or required—perfect for helping your sales team prioritize key pieces of information in their talks. The “Deals” tab is also where your team will write notes, schedule sales activities, and track availability.
Pipedrive’s communication tracking features are great.
For starters, the underlying organizational system is super intuitive—contacts are organized by dividing them into “people” and “organizations”. You can then link these to the deals they’re associated with and easily check your history of calls, emails, and activities with any of your contacts or deals.
Pipedrive’s email inbox is sales-focused and super intuitive, too. It has a ton of features that speed up the process of managing and sending emails, including:
There’s also Scheduler—a feature that helps you set up meetings without annoying back-and-forths by sharing your availability and letting invitees book time slots that work for them. You can also automatically set up video calls for scheduled time slots on Zoom, Microsoft Teams, and Google Meet.
Last, but (definitely) not least, Pipedrive integrates with a ton of great phone tools, so you can place calls from within the platform. This makes it easy to track your activity, record data, and even automate certain call-related processes—but more on automation in a moment.
One of Pipedrive’s main selling points is its automation features. There are quite a few to unpack here, but there are two main types:
Sales automations are features designed to help you optimize your business’ sales process. Take Sales Assistant, for example—this automation tool creates custom behavior-based cards with performance tips, notifications, and progress updates for each team member on your roster. It also notifies everyone affected by changes to settings and deals, so no one’s left wondering where their recent deals went.
Smart Contact Data is another sales automation tool that pulls in data from sources like LinkedIn, Google, and Twitter to help you get a better understanding of your contacts.
On the workflow side, Pipedrive’s Automations let you create custom actions and processes that are triggered automatically when a certain action is taken (e.g., when a deal changes pipeline stage). These are great for cutting down on admin work and freeing up your team to focus on bigger and better things (like actually closing deals).
Finally, it’s time to talk about Pipedrive’s reporting features.
Starting with the basics, Pipedrive’s sales reports are totally customizable. You can track whatever data points you need, and cut out the ones you’re not s interested in. Plus, there are a few pre-built reports you can use, including:
Pipedrive’s Insights dashboard is great, too—you can turn all your data and metrics into beautiful, interactive charts and graphs that are easy to read (and share).
If you want to set goals for your team, Pipedrive has you covered there, too. You can create goals based on deals or activities, and specify them by adding key details like assignees, types, pipelines, durations, and intervals.
Oh, and if you’re looking for even more customization, Pipedrive has an open API. That means you’re free to build custom integrations that meet even the most specific of reporting requirements.
Pipedrive is one of a select-few CRMs that genuinely feels like it’s saving you time. Its automation features and intuitive interface make it easier to manage contacts, deals, emails, calls, and activities—all without having to manually enter every single piece of data.
It always helps to see information presented visually—and that just so happens to be an area where Pipedrive excels. From the visual pipeline to the Insights dashboard and interactive reports, Pipedrive is packed with features that make it easier to interpret your data.
Pipedrive’s Marketplace is massive. At the time of writing, there are more than 300 integrations available. Plus, the listed tools range from video calling platforms to lead generation tools, so you’re sure to find something that fits your needs.
Pipedrive has four paid plans that you can choose from.
Still on the fence? Don’t worry—all four plans come with a 14-day free trial. No credit card required.
It’s not all good news, though. In addition to the plans, you’ll also need to think about which add-ons you need. Quite a few great features (e.g., Scheduler) are pay-walled behind pricey add-ons that don’t come packaged with the base plans.
Pros | Cons |
---|---|
Highly customizable pipelines and fields Highly visual dashboards Massive selection of integrations Easy-to-use automation builder Extensive reporting capabilities Affordable paid plans 14-day free trial (no credit card required) |
No free plan for light users Automations not available on the Essentials plan The add-on system increases the cost dramatically No ticketing system and spotty customer support |
Pipedrive is one of the top sales CRMs for a reason—a few reasons, actually. It packs in a lot of features designed with sales teams in mind, and most features are executed well.
The only real downsides are the result of the company behind the product, not the product itself. If you can overlook them, you’re in for a great experience.
Overall, Pipedrive’s well worth considering if you’re shopping for a CRM—but it isn’t even close to the only option.

Every little bit of the program can be altered to fit every project and work flow, very easily.
All of the seats in the company have to pay for the same level of privileges and add ons. Even if many of the seats don’t use the full functionality.
Organization, big time. We can keep track of all our leads and clients.
I have used Sugar and SalesForce in the past. What I like about Pipedrive is that it can be set up for sales, who work closely with developers, and where the client is in the integration process. I found other CRMs lacked this or were not as easy to set (or more expensive). Pipedrive is well organized and intuitive. It allows each sales person and management ability to view the data to understand best practices and make improvements to the sales process. In addition, the set up of Pipedrive allows the big deals to stand out.
Where it lacks for me is in the filters. When every deal is added in, it is difficult to remove deals and set them with the correct status or remove them as closed without spending quite a bit of time making updates. I understand this can be done through Excel but ultimately, they should have a better way to handle this. Pipedrive is by far my favorite CRM that I have used for a small company.
The first steps of the sales process through to client integration is tracked, which can be a lengthy amount of time, so Pipedrive tracks the client from the initial discussion to complete integration and first transactions.
That it allows you to set up sales by product and client and track the progress, including capturing all communications and any attachments/documents shared.
some complexity to overcome, the email link has not been a good tool for us as it pulled in ALL emails from our work email addresses and shared them with others across the company! not good
Tracking sales potential and identifying practices and patterns of engagement that result sales
Love how simple the process of entering new leads is.
Frustrating how the leads populate into the main page. Would really benefit from the newest entry populating on the top of the list.
CRM, lead tracking
Pipedrive is perfect for managing your sales from lead to closed sale
no issues, love the reporting visualizations
better forecasting of leads from our sales staff
Keeping track of leads and your day to day schedule as never been easier! You can drag and drop into each column to know exactly who you need to call, who's been closed, who is a special one for the future, and who's in negotiation.
I feel over time it will get even better and looking forward to the next update.
I am contacting my clients within travel.
love how visual our pipeline is, and the fact that nothing can get missed
the reports can get a little confused. But probably more from the user needing to be more defined so that the system can better translate the activity
we utilise the gmail, calendar and mailchimp integrations.
That is easy to use. I also like the ability to see all may deals in one dashboard.
Actually I don't have bad things to say about Pipedrive. It is easy, useful. Of course, it can improve and be better!
It is allowing me to manage my deals. Also I can share it with my collagues.
I like how Pipedrive keeps you on track with a linear step-by-step progression of each deal, and provides reminders so that nothing can get list in the shuffle. Also, its integration with PandaDoc is a great thing for us. Perhaps best of all, you can use it on a mobile device, as well.
Thusfar, there aren't any particular features I am dissatisfied with.
Streamlimed organization of a business with a lot of deals running concurrently, this really helps our forward progress.
It's very easy to setup and intuitive, great value for the price, and an overall good CRM for those who are new to CRMs.
Lack of integrations at times, and also lacks some relevant reports that I'd like to see.
Pipedrive is an excellent out-of-the-box CRM for small, but growing companies. I work with many early-stage companies, and it's always one of my goto CRM that I suggest to them. It's easy to use as well for "CRM beginners"
Easy to use, keeps everything in one place when it comes to keeping track of where my prospects are from the time I meet them until the time I close their business. It also helps me keep track of how much business I’ve closed in any given month.
Nothing. Everything works well for what I need. I am not a fan of the app, however, as it is not as user friendly for me as the desktop version.
Keeping more control of getting business pushed through to close. It helps with knowing where each client is in the process and what I need to follow up on.
Pipedrive is easy to use and easily integrated with other tools.
When business becomes to big and complex Pipedrive won't be the best option.
We streamlined and automated the sales procds of a customer.
Very user friendly and organized. The learning curve is very short.
Lacking some features other CRM’s have.
After losing a few members of our team, I was left to create a new CRM from scratch. I did this on Pipedrive and it was great for a “one man band”. Great reporting and usecases for the solo sales guy trying to keep track of everything.
Great for pulling quick ad-hoc reports. When tracking membership levels and viewing a simple timeline of activities related to each client, Pipedrive works incredibly well.
It is not very robust. No tools as far as I can tell to track major trends or view activity at an aggregated level, at least in the basic version that we use.
For one of our firm’s alliances, we use Pipedrive to track membership status and level for our clients, as well as client specific activities (invoices sent, payment received, required meetings completed, etc.) because Pipedrive is a simple tool, it does exactly what we need here without adding too much complexity.
Easy to see where each sales lead is at in the cycle.
Not as intuitive as it could be. Needs easier ways to categorize and custom filter clients.
It solves the problem of each sales team member knowing what is going. It allows the sales manager to see the progress of each sales team member's leads.
Adding new deals is super easy and the overall layout and organization is intuitive.
Honestly, I haven't come across anything I really dislike.
Major organization problems solved! Keeping track of deals/leads all in one place.
This software had a great deal tracker and allowed me to track my sales
There was no way to send emails or do marketing campaigns and I didn’t like that
Selling more
I appreciate the simplicity of this solution. It's clean interface and uncluttered design is effective.
Not a true CRM, but a sales solution 101.
Organizing a small sales group's leads and progress through the process.
I like how easy pipe drive is to use and view deals. Signup is quick and pricing is very reasonable for multiple users.
I don't like how its tough to manage deals after they've closed, its more of a view for moving deals along the pipeline.
We are able to convert more leads and make sure nothing falls through the cracks as they go. Its easy to manage and follow up leads from the pipe drive view.
I like the fact that it is easy to understand, use, and customise to maximum needs of an organization
Their is too much data entry in the tool, I wish it would have a little more automation, like a HubSpot maybe
We use it to track sales, deals, deal value and most importantly our working opportunity. It helps us plan our sales and forecast the achievements better.
