Monday.com is a good choice for anyone that wants to bring a bit of structure to their day-to-day operations. From freelancers to big enterprises, Monday has tools and plans for everyone.

That’s not to say it’s a perfect tool. Monday can get expensive for large teams. Plus, people that aren’t tech-savvy might find it hard to get started. But by and large, we recommend it to anyone looking to level-up their productivity with a project management platform.

Monday.com Features

Each task you track with Monday has its own card. These cards store any data you need, like files, a task outline, updates from management, and even an activity log. All Monday cards are grouped in boards, which are themselves grouped into workspaces. 

That’s the basic gist of how Monday works. But you can tweak this simple system quite a lot. Let me show you how.

Boards and Cards

Creating a new board is very easy. You just give it a title, choose a view for the project, and start adding tasks. 

When you create your first board on Monday, you’ll get a dedicated guide to set it up.

Monday offers plenty of ways to visualize tasks. You can arrange them in a table, in Gantt charts, in Kanban, in a calendar, and more.

As you’re adding cards to your first board, the guide will also give you a preview of how they’ll look:

This makes it easy for most people to understand the core functionality of Monday.

You can further bundle cards from the same board in groups. For example, you can group them by what week the tasks are due.

You also get visually-coded statuses for all tasks. The default ones are “Working on it,” “Done,” and “Stuck.” But you can create your own, to further customize your boards:

You can set due dates for all tasks, which helps you keep track of projects. In the Pro plan, you also get advanced time tracking, which lets you visualize how much time you have left before a deadline.

This is useful, but the feature does much more. By tracking time, managers can see the availability of each team member. This makes task allocation much easier.

Of course, you can customize the board view in a ton of ways. For example, you can add different columns to the table view:

And you can analyze each card individually, to add comments, files, task lists and even check its activity log.

Monday’s core functionality is top-noth. Even beginners can use their project management software to create simple tasks and dashboards. But Monday’s true power lies in its advanced customization options.

Customizability

We’ve used Monday.com for years, and we researched all of its quirks for this review. Throughout all of this experience, Monday’s automation stood out the most. You can easily set-up automated processes with the platform, even if you’re a non-techie:

And the possibilities are endless. You get templates for the most commonly-used automations, like notifying someone when a task’s status changes. You also can create your own custom automations, or modify the dozens of templates that are already here.

For example, you can set up an automation that moves a task from one board to another when its status changes and then notifies the person responsible for it. This is useful for tasks that need oversight. 

That’s how my editors know to check my work. I change a card’s status to “Needs Review”, and that automatically moves the card to the Editor’s board, and notifies the person that needs to give it a look.

And this is just one example. Monday.com’s automations can do a lot more. And again, they’re extremely easy to create. You don’t need to know any code or use complicated APIs. It’s all made with natural language:

Besides automations, you can also heavily customize board views. You’ve already seen how to add new columns to the table view. But you might be surprised by how many options there are. You can include text, buttons, timelines, numbers, checkboxes, tags, and much more. There are so many options, Monday actually has a dedicated column center.

Each board can have multiple views, which makes dashboards on Monday.com very flexible. For example, team members can use the table view to see task details, deadlines, and manage their work. Managers can use the chart view for the exact same dashboard to get an overview of task statuses and deadlines.

When analyzing a board, you can also filter results by anything (person assigned, status, deadline, etc):

If a filter’s useful, you can turn it into a new view for that board.

All of these options make Monday.com extremely customizable. If you spend some time playing around with its features, you can most likely create anything your team needs. And if Monday’s suite is lacking, you can always complement it with integrations.

Integration with other tools

Monday.com has a lot of integrations. So many, they actually have an entire app marketplace to make it easier to find the extensions you need

Monday’s integrations let you fine-tune your boards, cards, automations, and more. 

For example, the Google Apps integration makes it extremely easy to embed and collaborate on Google Sheets, Slides, Docs, Forms, and more. If you’re using Monday as a CRM, you can use the Tableau Connector for advanced insights into your processes and results.

Not to mention, you can also integrate Monday.com with popular tools like Zapier, Zoom, Google Calendar, and more. These let you automate processes outside of Monday.com, so your team won’t have to worry about repetitive tasks.

Integrations are one of Monday’s biggest perks. The only downside is that you’ll need at least a Standard plan to use them. They’re not available with the free or Basic subscription.

Ease of Use

Monday.com is surprisingly easy to use, especially for how customizable it is. All plans come with onboarding guides, explanation videos, and loads of support articles to help you get started. Enterprise clients even get a customer success manager. They will help you set up all the advanced features, and provide dedicated support no matter what you need.

Even without all of that support, Monday.com is intuitive to use. And that’s mostly thanks to its well-made user interface.

Monday.com has one of the best user interfaces out of all project management apps. The design’s smooth, you get color-coded statuses, big buttons, and detailed breakdowns of your tasks.

You can quickly switch between views on a board, all the options are pretty intuitive, and you don’t need a degree to find important features. It’s easy to navigate Monday.com even without an onboarding guide.

What we like most is their comments section. All cards have one, where you can write updates about a task, interact with your coworker’s messages, and make notes of everything related to that task.

And if you need anyone to join the conversation, you can quickly add them as a card subscriber. This will automatically notify them about any messages.

Getting started and customizing Monday boards – is it easy?

When you sign-up for Monday, you’ll fill in some details about your company, like its size, industry, and what you’ll use Monday for. These choices will affect the features and templates recommended to you, but they won’t limit your tool stack..

For example, I said I’ll use Monday for operations management. This made my automation recommendations the most commonly used for ops.

After this initial sign-up, you’ll also get a step-by-step guide on how to create boards and cards on Monday.

Monday.com Project Management Page

This guide is pretty good to understand how Monday’s core functionality works. If you have minimal experience with project management tools, it’s more than enough. However, it’s not the best if you’re a complete beginner. 

You might need more guidance on how each view works, as well as the difference between views, boards, and workspaces. Not to mention, beginners might need a similar startup guide for other features, like automation. All of this support is available in the knowledge center. But it would be better fleshed out in a lengthier onboarding guide.

And we’re not saying this just to pick on Monday. A lot of the complaints you’ll see online about Monday.com mention a steep learning curve. Sometimes, these reviews even complain about the lack of features that are actually there, like more views beyond the default table. A more in-depth start-up guide could solve these issues.

Monday.com Security and Privacy

Monday is pretty serious about its security features. They have a trust center that outlines their stance on security and privacy, as well as a detailed security white paper, which showcases how they protect customer data.

Monday.com uses advanced encryption protocols (especially for Enterprise users) and high-end security methods. They analyze their vulnerabilities weekly and run a bug bounty program to avoid hacks. If you need a secure project management app, this is as safe as it gets.

Lastly, Monday.com collaborates with some sub-processors to collect and process your data. This might worry you, but the third parties are mandated to protect your data under the same terms Monday.com is, so your company is not at a higher risk because of it.

Customer Support

Monday.com has a very well-organized knowledge base, which provides most of the guidance you’ll need to get started with the platform.

They also have a community where you can post or browse specific questions, a University center to learn more about Monday’s advanced features, and detailed API documentation.

If you need any extra guidance, Monday.com also offers 24/7 live chat support.

Overall, Monday’s support system is robust. If you run into any problem, you’ll get the guidance you need to keep your project on track.

monday.com offers Individual (free), Basic, Standard, Pro, and Enterprise plans — see monday.com pricing for current rates.

The tool can get pricey if you have a big team. So if you’re not sure which plan works for your business, let’s break it down.

Individual

Monday.com’s free plan is a great choice for individuals that want some structure in their day-to-day life. But it’s not limited to personal use. The Individual plan works great for freelancers that want to manage their work and even small businesses. You can add up to 2 seats to your projects in the free plan.

Granted, you are limited by an Individual subscription. You can only create up to three boards, 1,000 items, and you only get 500 MB of storage. But it’s more than enough to test Monday.com and see if it’s right for you.

Basic

Monday’s Basic plan offers much more flexibility than the free tier. You can create unlimited items, you get 5GB of storage, unlimited boards, unlimited free viewers, and priority support.

However, you don’t get access to most of Monday’s automations with this plan.

Standard

The Standard plan probably has the best price-to-value ratio. It comes with guest access, more views, integrations, and automations, making it a better choice than a Basic subscription for most teams.

But if you want the full Monday.com experience, you’ll need the Pro plan.

Pro

Monday’s Pro plan offers 100 GB of storage, a full year of activity logs, unlimited guest access, time tracking, dependencies, a formula column, more views, and advanced security.

If you run a medium to big company, the Pro plan is probably the best for you.

Enterprise

Enterprise plans are custom-made for big organizations, so we can’t tell you how much it will cost, or exactly what features it will have. But we do know you’ll get premium integrations, a dedicated customer success manager, advanced security options, and better analytics.

Monday gets praise for its advanced customization and great interface. But there are unhappy customers too. Most people that complained about the tool had problems with the slightly steep learning curve and higher pricing for big teams.

Our biggest gripe with Monday.com was that you’re limited when creating task dependencies. You can only set them up via automations. Meanwhile, competitors like Asana let you take care of the same thing in 1-2 clicks. But it’s a minor issue and something that will probably be fixed in the future.

monday.com has expanded beyond project management into a full work platform, offering monday CRM, monday Dev, and monday Service as dedicated products. The platform also includes AI-powered features for task automation, content generation, and project insights.

Monday.com does almost everything right. It has a strong project management suite, advanced customization, and some of the best integrations we’ve seen in project management software.

It is a bit hard to learn for non-techies. And it can be expensive for large teams. But in our opinion, these are minor inconveniences. Monday’s so good, they’re small hurdles to overcome.

What do you like best about monday.com?

I've used many project management tools, but I particularly like dapulse for its simplicity and ease of use. I work with a team of consultants, and we love how it looks sort of like Excel, and can be exported into Excel.

What do you dislike about monday.com?

I wish that there was a better calendar view, and that it would connect to calendars other than Google.

What problems is monday.com solving and how is that benefiting you?

View into project pipeline for a whole team. It has been incredibly useful to be able to filter and see who is in charge of what project, and what load balancing looks like.

I like that everyone one the team has a view into what's going on at any time. No one is out of loop (unless they choose not to login...). Interface is clean and easy to use.

The pricing is pretty ridiculous. I don't write the checks but our management team was not please with the price.

The ability to easily monitor our workload and share it externally with a view-only table link.

The price. I want a lighter pricing option for someone only using the barest features.

Monday allows me to keep a cloud-based project list and share it with out government clients, live. It also allows me to export a CSV copy of our project list for in-person meetings fairly easily.

What do you like best about monday.com?

I like the color coding of statuses and the detailed field options. I like that projects group tasks together so you can see all the deliverables in one place, their owners, and statuses. I appreciate that there's an ability to alert reviewers when a status changes.

What do you dislike about monday.com?

I want to use the My Work page to gauge what is on my plate (ideally in a calendar view), but not all the information I need gets included on sub-tasks so I have to return to the main project board and search for the project in order to see other subtasks associated with it. Because there are separate subtasks for each individual contributor, the handoff process from one team to another isn't easy. When I finish the copy for an asset, I comment on the task and tag the designer that it's ready for them. But because we share ownership of the task, I have to keep it open and it ends up in my "Overdue" list making it feel like I'm behind on something. I don't always even know when it gets done, so my My Work page is clogged with outstanding/old projects. Also when I complete a task, it disappears from My Work, so when stakeholders have additional feedback down the line, they end up using another communication channel because the task has been closed. I find the UI a bit overwhelming and hard to navigate with the right scrolling to find more details about a project or a task

Project management, keeping track of deliverables and their statuses, holding necessary documents, and making it clear who is responsible for what.

Only 2 levels of tasks - This is frustratingly limited. I do believe that there are ways to make this work, but it isn't very clear as to how to go about that in a straightforward manner. Not very intuitive - Help section is based on Monday.com feature lingo, rather than business use cases. Makes it feel like there is a lot of help content and yet I'm unable to find how to go about it.

I like that is fully customizable . It is quite intuitive.

Products such as DEV ot Sales CRM has a quite a few issues..For example in sales CRM you can't match accounts with contacts when you import your won file into Monday.com. My client was furious about it , casue i was sure that is possible..i know there is some automations that should cover it , but i doesn't. Not full at least..

I think it is very clunky and hard to find boards at times. It just seems like there are a lot of steps to get to a board, dashboard, etc. I'm a marketer and I like things straightforward and simple and I just don't feel Monday.com does that.

It's keeping everyone accountable which is great. Helps everyone stay on task and know which tasks they are assigned to and what the expected due date should be.

Monday lives of the tables that are formulated as task lists (enriched with details). It is very simple to set them up, view them as Kanbans etc. What really adds value on top are the automations and the good integrations with other platforms such as slack, Gmail, SFDC etc.

What do you dislike about monday.com?

I am not happy on how I can actually work on monday. I am using other tools such as Google Docs or Notions to really keep my notes etc. This leads to me not using monday for all projects as it is quite cumbersome to work in multiple tools.

What problems is monday.com solving and how is that benefiting you?

Monday helps me to collect my tasks and is also the database for one of my long-term projects (even though that is probably a misuse). Generally I am able not only to track my progress but it also helps to collaborate with others.

What do you like best about monday.com?

The templates that are provided are great. They provide a good place to start and insights on how the tools can be utilized.

What do you dislike about monday.com?

So many tools that it's hard to know where to start/begin. There are also a TON of integrations, which can be confusing. I also don't like how we have to add seats/licenses in blocks vs per person. For instance, I only wanted to add one more seat (we had three) but I had to buy 5 and one is now being unused. We are debating on how to bring this to all of our employees (+/- 10) but don't want to pay for a full year for everyone until we know for certain.

What problems is monday.com solving and how is that benefiting you?

Similar to what I said earlier, it's so robust it's hard to know where to start. Then, when you do get moving and gain momentum it almost always leads us to a path to spend more money via an upgrade, plugin, app, etc.

It had a clean UI and provided a good UX. It was easy to distinguish between projects, and the reports, in particular, were impressive. The automatically generated fields and values were convenient.

What do you dislike about monday.com?

the limited filter and sorting options posed a challenge, and I felt that the level of freedom was significantly restricted. It was difficult and uncomfortable to configure various settings.

It effectively aligned with my workflow and facilitated collaboration.

It was easy to login and use, data keeping and record maintenance was easy with it. All the work related data was easily mainted at it. Also no issues faced as such.

Nothing as such. I didn't faced any such issues during the time I used it. Also it had many benefits like comparing of data with other employees to know where you stand.

It's just full of bugs. I tried to use the connect boards functionality to build a central board with data, and it just collapsed. Didn't even add correctly.

It's easy to use and intuitive to set up. The UI is easy on the eyes and the gamification adds a lot to the experience.

What do you dislike about monday.com?

It's a very large system and the customization is there, but I wouldn't recommend this program for any organization that requires a lot of "workarounds".

What problems is monday.com solving and how is that benefiting you?

Workflows for our customer experience process. It worked great and was relatively automatic for the users, however the set up was constantly having to be reviewed by my team as we were relying on email's to populate the information as there was no native integration to our CRM.

- ability to use automations to eliminate manual updates. - concepts of boards to easily categorize different data with clarity. - access control and viewing control features.

- difficulty linking data in two workspaces. Limitations in the mirror and vlookup functions. - Inability to use advanced Excel functions like Sumifs, countifs etc. there are no alternatives for these. - difficulty in editing already created automations.

Overall View of the task in a glance which helps to identify the bottlenecks. it also helps in assigning the tasks among different departments with clear overall visibility using workflows and automation.

What do you like best about monday.com?

The Twilio integration is so important for our business! Also integrates with Slack and Gmail, keeping everyone looped in on projects even when they're not on Monday.com.

What do you dislike about monday.com?

I'm not a huge fan of the price point. For larger businesses, it may work well. But I still prefer Asana to Monday.com. I would like to see Monday.com improve in offering various visual ways to view projects. Right now, it's only lists. But we all work differently - some like charts, timelines, or calendars better.

What problems is monday.com solving and how is that benefiting you?

It's like an evergreen to-do list. No need to throw away a paper or try and find your list. You and your team know right where it's at and can pick up where you left off anytime!

"Great visuals but lacks depth"
What do you like best about monday.com?

Monday is great visually and tends to be well received by marketing teams. It's great to be able to see blockers at a glance and also tier dependencies/sub tasks. You can comment directly on tasks and add information. it's great that you can create views with filters which makes it easier to view things that are relevant to you.

What do you dislike about monday.com?

I work in a more technical space and therefore require a platform that has more depth and can record dependencies more meaningfully. I also need to be able to link directly to a task and this is not possible unless you use endless filters or create new boards. to unlock certain features you have to pay for a more premium subscription - it's honestly a very expensive tool, you are paying for the aesthetics and the brand.

What problems is monday.com solving and how is that benefiting you?

Being able to assign tasks and track progress is important across distributed teams. The ability to duplicate items allows us to create task templates that can be reused as needed - it helps ensure that things are done consistently and the usual required steps are not forgotten. for these reasons Monday is great - it really does benefit teams that have to manage communications and events/campaigns.

What do you like best about monday.com?

It's a beautifully designed interface that helped us prioritize our work. There were helpful automations, it was a great visual to show other teams, managers, and leaders what we were working on and our progress.

What do you dislike about monday.com?

The worst thing was that, at our account level, it made it almost impossible to collaborate beyond my direct team with individual stakeholders. When I was an independent consultant, I could collaborate with those who had external emails. But as an internal consultant, I cannot collaborate with internal emails beyond a small number.

What problems is monday.com solving and how is that benefiting you?

The biggest problem it solved for my team was workflow management. We are a small team with no admin support, but with processes we want to follow closely. Monday.com allowed us to have repeatable, successful projects, without the need for as many email or in-person updates. It made our meetings more impactful and less talk about details that can be immediately shared in monday.com
