monday.com Expert Review

Project management tools can help you structure your team, improve your workflow, and automate the tedious parts of everyone’s job. They’re indispensable to any team that wants to be productive. So which one should you invest in?

If you’ve ever looked into project management (PM) platforms, you’ve already heard of Monday.com. It’s hailed as one of the best apps in its niche, and it has stellar reviews.

But just how good is it? Is Monday.com the right choice for your business? Let’s find out in this Monday.com review.

Monday.com Quick Overview

Monday.com is a good choice for anyone that wants to bring a bit of structure to their day-to-day operations. From freelancers to big enterprises, Monday has tools and plans for everyone.

Monday.com Dashboard

That’s not to say it’s a perfect tool. Monday can get expensive for large teams. Plus, people that aren’t tech-savvy might find it hard to get started. But by and large, we recommend it to anyone looking to level-up their productivity with a project management platform.

If you want the full scoop, keep reading this Monday.com review.

Monday.com Features

Each task you track with Monday has its own card. These cards store any data you need, like files, a task outline, updates from management, and even an activity log. All Monday cards are grouped in boards, which are themselves grouped into workspaces.

That’s the basic gist of how Monday works. But you can tweak this simple system quite a lot. Let me show you how.

Boards and Cards

Creating a new board is very easy. You just give it a title, choose a view for the project, and start adding tasks.

When you create your first board on Monday, you’ll get a dedicated guide to set it up.

Monday.com Layout page

Monday offers plenty of ways to visualize tasks. You can arrange them in a table, in Gantt charts, in Kanban, in a calendar, and more.

As you’re adding cards to your first board, the guide will also give you a preview of how they’ll look:

Monday.com task page

This makes it easy for most people to understand the core functionality of Monday.

You can further bundle cards from the same board in groups. For example, you can group them by what week the tasks are due.

Monday.com Task page

You also get visually-coded statuses for all tasks. The default ones are “Working on it,” “Done,” and “Stuck.” But you can create your own, to further customize your boards:

Monday.com Task Page

You can set due dates for all tasks, which helps you keep track of projects. In the Pro plan, you also get advanced time tracking, which lets you visualize how much time you have left before a deadline.

Manday.com Task Page

This is useful, but the feature does much more. By tracking time, managers can see the availability of each team member. This makes task allocation much easier.

Of course, you can customize the board view in a ton of ways. For example, you can add different columns to the table view:

Monday.com Task Page

And you can analyze each card individually, to add comments, files, task lists and even check its activity log.

Monday.com Pipeline Page

Monday’s core functionality is top-noth. Even beginners can use their project management software to create simple tasks and dashboards. But Monday’s true power lies in its advanced customization options.

Customizability

We’ve used Monday.com for years, and we researched all of its quirks for this review. Throughout all of this experience, Monday’s automation stood out the most. You can easily set-up automated processes with the platform, even if you’re a non-techie:

Monday.com Pipeline Page

And the possibilities are endless. You get templates for the most commonly-used automations, like notifying someone when a task’s status changes. You also can create your own custom automations, or modify the dozens of templates that are already here.

For example, you can set up an automation that moves a task from one board to another when its status changes and then notifies the person responsible for it. This is useful for tasks that need oversight.

That’s how my editors know to check my work. I change a card’s status to “Needs Review”, and that automatically moves the card to the Editor’s board, and notifies the person that needs to give it a look.

And this is just one example. Monday.com’s automations can do a lot more. And again, they’re extremely easy to create. You don’t need to know any code or use complicated APIs. It’s all made with natural language:

Monday.com Automation Page

Besides automations, you can also heavily customize board views. You’ve already seen how to add new columns to the table view. But you might be surprised by how many options there are. You can include text, buttons, timelines, numbers, checkboxes, tags, and much more. There are so many options, Monday actually has a dedicated column center.

Monday.com Automation Page

Each board can have multiple views, which makes dashboards on Monday.com very flexible. For example, team members can use the table view to see task details, deadlines, and manage their work. Managers can use the chart view for the exact same dashboard to get an overview of task statuses and deadlines.

Monday.com Pipeline Page

When analyzing a board, you can also filter results by anything (person assigned, status, deadline, etc):

Monday.com Dashboard Page

If a filter’s useful, you can turn it into a new view for that board.

All of these options make Monday.com extremely customizable. If you spend some time playing around with its features, you can most likely create anything your team needs. And if Monday’s suite is lacking, you can always complement it with integrations.

Integration with other tools

Monday.com has a lot of integrations. So many, they actually have an entire app marketplace to make it easier to find the extensions you need

Monday.com Dashboard Page

Monday’s integrations let you fine-tune your boards, cards, automations, and more.

For example, the Google Apps integration makes it extremely easy to embed and collaborate on Google Sheets, Slides, Docs, Forms, and more. If you’re using Monday as a CRM, you can use the Tableau Connector for advanced insights into your processes and results.

Not to mention, you can also integrate Monday.com with popular tools like Zapier, Zoom, Google Calendar, and more. These let you automate processes outside of Monday.com, so your team won’t have to worry about repetitive tasks.

Integrations are one of Monday’s biggest perks. The only downside is that you’ll need at least a Standard plan to use them. They’re not available with the free or Basic subscription.

Ease of Use

Monday.com is surprisingly easy to use, especially for how customizable it is. All plans come with onboarding guides, explanation videos, and loads of support articles to help you get started. Enterprise clients even get a customer success manager. They will help you set up all the advanced features, and provide dedicated support no matter what you need.

Even without all of that support, Monday.com is intuitive to use. And that’s mostly thanks to its well-made user interface.

User Interface

Monday.com has one of the best user interfaces out of all project management apps. The design’s smooth, you get color-coded statuses, big buttons, and detailed breakdowns of your tasks.

Monday.com User Interface Page

You can quickly switch between views on a board, all the options are pretty intuitive, and you don’t need a degree to find important features. It’s easy to navigate Monday.com even without an onboarding guide.

What we like most is their comments section. All cards have one, where you can write updates about a task, interact with your coworker’s messages, and make notes of everything related to that task.

Monday.com Review Page

And if you need anyone to join the conversation, you can quickly add them as a card subscriber. This will automatically notify them about any messages.

Monday.com Board Page

Getting started and customizing Monday boards – is it easy?

When you sign-up for Monday, you’ll fill in some details about your company, like its size, industry, and what you’ll use Monday for. These choices will affect the features and templates recommended to you, but they won’t limit your tool stack..

Monday.com Dashboard Page

For example, I said I’ll use Monday for operations management. This made my automation recommendations the most commonly used for ops.

After this initial sign-up, you’ll also get a step-by-step guide on how to create boards and cards on Monday.

Monday.com Project Management Page

This guide is pretty good to understand how Monday’s core functionality works. If you have minimal experience with project management tools, it’s more than enough. However, it’s not the best if you’re a complete beginner.

You might need more guidance on how each view works, as well as the difference between views, boards, and workspaces. Not to mention, beginners might need a similar startup guide for other features, like automation. All of this support is available in the knowledge center. But it would be better fleshed out in a lengthier onboarding guide.

And we’re not saying this just to pick on Monday. A lot of the complaints you’ll see online about Monday.com mention a steep learning curve. Sometimes, these reviews even complain about the lack of features that are actually there, like more views beyond the default table. A more in-depth start-up guide could solve these issues.

Monday.com Security and Privacy

Monday is pretty serious about its security features. They have a trust center that outlines their stance on security and privacy, as well as a detailed security white paper, which showcases how they protect customer data.

Monday.com uses advanced encryption protocols (especially for Enterprise users) and high-end security methods. They analyze their vulnerabilities weekly and run a bug bounty program to avoid hacks. If you need a secure project management app, this is as safe as it gets.

Lastly, Monday.com collaborates with some sub-processors to collect and process your data. This might worry you, but the third parties are mandated to protect your data under the same terms Monday.com is, so your company is not at a higher risk because of it.

Customer Support

Monday.com has a very well-organized knowledge base, which provides most of the guidance you’ll need to get started with the platform.

Monday.com Customer Support Page

They also have a community where you can post or browse specific questions, a University center to learn more about Monday’s advanced features, and detailed API documentation.

If you need any extra guidance, Monday.com also offers 24/7 live chat support.

Monday.com Support and Learn Page

Their agents are prompt and helpful, especially if you’re on a paid plan. That will get you priority support. If your problem’s not urgent, you can also email Monday.com. If you have a billing issue, you can even hop on a call with a Monday agent.

Overall, Monday’s support system is robust. If you run into any problem, you’ll get the guidance you need to keep your project on track.

Monday.com Pricing

Monday.com Pricing Page

monday.com offers Individual (free), Basic, Standard, Pro, and Enterprise plans — see monday.com pricing for current rates.

The tool can get pricey if you have a big team. So if you’re not sure which plan works for your business, let’s break it down.

Individual

Monday.com’s free plan is a great choice for individuals that want some structure in their day-to-day life. But it’s not limited to personal use. The Individual plan works great for freelancers that want to manage their work and even small businesses. You can add up to 2 seats to your projects in the free plan.

Granted, you are limited by an Individual subscription. You can only create up to three boards, 1,000 items, and you only get 500 MB of storage. But it’s more than enough to test Monday.com and see if it’s right for you.

Basic

Monday’s Basic plan offers much more flexibility than the free tier. You can create unlimited items, you get 5GB of storage, unlimited boards, unlimited free viewers, and priority support.

However, you don’t get access to most of Monday’s automations with this plan.

Standard

The Standard plan probably has the best price-to-value ratio. It comes with guest access, more views, integrations, and automations, making it a better choice than a Basic subscription for most teams.

But if you want the full Monday.com experience, you’ll need the Pro plan.

Pro

Monday’s Pro plan offers 100 GB of storage, a full year of activity logs, unlimited guest access, time tracking, dependencies, a formula column, more views, and advanced security.

If you run a medium to big company, the Pro plan is probably the best for you.

Enterprise

Enterprise plans are custom-made for big organizations, so we can’t tell you how much it will cost, or exactly what features it will have. But we do know you’ll get premium integrations, a dedicated customer success manager, advanced security options, and better analytics.

User Reviews

People really like Monday.com. The platform has top scores across all big review aggregators.

Monday.com User Review Page

Monday gets praise for its advanced customization and great interface. But there are unhappy customers too. Most people that complained about the tool had problems with the slightly steep learning curve and higher pricing for big teams.

Pros

  • Excellent and intuitive dashboards
  • Fantastic for beginners
  • Range of features like time tracking and budgeting
  • Suitable for larger teams
  • Supports extensive integrations for CRM, marketing, project management and more
  • Visual boards allow for easy and accurate tracking

Cons

  • Can be a steep learning curve for some users
  • Can get pricey for larger teams
  • Limited task dependencies, especially on the cheaper plans

Our biggest gripe with Monday.com was that you’re limited when creating task dependencies. You can only set them up via automations. Meanwhile, competitors like Asana let you take care of the same thing in 1-2 clicks. But it’s a minor issue and something that will probably be fixed in the future.

Quick Conclusion: Monday.com Review

monday.com has expanded beyond project management into a full work platform, offering monday CRM, monday Dev, and monday Service as dedicated products. The platform also includes AI-powered features for task automation, content generation, and project insights.

Monday.com does almost everything right. It has a strong project management suite, advanced customization, and some of the best integrations we’ve seen in project management software.

It is a bit hard to learn for non-techies. And it can be expensive for large teams. But in our opinion, these are minor inconveniences. Monday’s so good, they’re small hurdles to overcome.

You can see for yourself, Monday’s free to try:

"Monday"
What do you like best about monday.com?

Easy to use for simple projects and startup time is minimal. Adding users is a breeze. Basic projects are great on this platform and add new projects is also a breeze. Love the simple email integration for project management - this feature alone is why I continue to use this product.

What do you dislike about monday.com?

Now the bad stuff. If you use this as a project management tool - like MS Project- you will find this one feature extremely annoying as it really limits what can be managed as one project. Monday allows you to have multiple workspaces. Each workspace allows you to have multiple projects below it. I use the project level under the workspace to manage a single project. Unforutnately, under the single project, you can only create one subset under each topic. This is massively limiting. I have been meaning to send Monday a request to change this. I can't imagine this would be difficult, but it makes me think that the developers are not using their product. Maybe I'm using it for the wrong application, but this is what I'm stuck with. Second issue, its hard to find things in Monday.

What problems is monday.com solving and how is that benefiting you?

We use it to manage projects and give visbility to everyone who needs access within the company. It does help with dissemination of information and keeping everyone updated, but some users find it hard to find the information.

"Too Convoluted for Our Marketing Needs"
What do you like best about monday.com?

Monday is versatile, scalable, and adaptable. There are diverse views, many features, and integrations. I imagine this project management tool would be great for a large organization or corporation with many departments.

What do you dislike about monday.com?

As a marketing agency, we use project dependencies often to track progress and automatically assign tasks to new people. With Monday, a dependent task doesn't start until the first is complete, which isn't functional for our workflow.

What problems is monday.com solving and how is that benefiting you?

We use Monday to communicate and organize projects for our clients in a different state. It helps keep us organized and updated with what everyone is doing on the account.

"I use Monday when Im' working with a larger team, but not as an individual."
What do you like best about monday.com?

I like the clean interface. Its simple, easy to learn and easy to use. Does keep big teams organized.

What do you dislike about monday.com?

If I were just using it for my own project workflows I'd want more of an open-ended sketch feature. I'm not always sure how I'll set up my workflow, and would want more flexibility to 'draft'.

"Easy to use-- but not as customizable as others"
What do you like best about monday.com?

Great interface, with a spotlight on getting stuff done... Their connectors to things such as Slack are superb.

What do you dislike about monday.com?

I wish that subtasks were more fully integrated into their platform. Further, making bulk actions is hard to do-- and if you want to import data? Forget about it. It just doesn't make it easy. Their UI sometimes lags, and I feel like I'm spending more time finding the right button than inputting my data. HATE the date selector.

What problems is monday.com solving and how is that benefiting you?

I'm able to gain a better insight into the team's day to day; through a platform that's easy for anyone to use. Before, any complications from other platforms turned users away.

"Good Product for Project Tracking"
What do you like best about monday.com?

What do you dislike about monday.com?

I dislike how much versatility there is with this tool. While it can be great, it takes a lot of effort and research to design your dashboard. I would like it and use it more if it were easier to use out of the box.

"Good overall exprience - Great platform"
What do you like best about monday.com?

The easy navigation it offers. Also that It becomes a super helpful tool to track all your projects. I believe it is usable and it is nice that you can share and give your client visibility of all the projects you are working with them.

What do you dislike about monday.com?

I cannot hold more than one type of board or personalize boards on the same page. There are sometimes where I need to cutomize colums that are aplicable to one table but not to other, yet they need to exist on the same page. That is a functionality I would really like to see. Sometimes notifications can be lost because there are too many daily and you have not enough visibility.

What problems is monday.com solving and how is that benefiting you?

We are keeping track of install, pre-sales, post-sales, and every step of our business process. When you have that many tasks to track, it is super helpful to see them in an organized manner. Another of Monday's benefits is that it has various views, with a dashboard, Gantt's that are super helpful to keep track with more straightforward ideas.

"I tried this and ultimately moved on because the structure did not suit my needs"
What do you like best about monday.com?

I appreciated the colorfulness of the platform. It makes it not only visually appealing but also easy to read at a glance and obtain project status information quickly. It's also nice to be able to tag colleagues as owners and other roles for individual tasks/items in the board. The free automations for due date reminders and update notifications are helpful. For those who appreciate Gantt charts and Smartsheet, this is like a baby Smartsheet Gantt chart. You can also set some columns to auto-sum total. Dashboards are also a great feature.

What do you dislike about monday.com?

The monday.com task manager platform is highly structured and, from what I have seen, it does not leave a lot of room for customization of the design/look/feel of boards. It is basically a spreadsheet/database at its core, no matter which template you start from, so you'll always have rows and columns. You can link files, but I don't think you can upload them with previews - because this is, again, at heart, a spreadsheet, not a cards board. Also, while you can customize column labels and status labels and colors, one board/table does not look a whole lot different from another at a glance. You also need to be familiar with spreadsheet/database logic to some degree enough to organize your information in a way that will mesh with the columns/rows structure.

What problems is monday.com solving and how is that benefiting you?

I thought monday.com would help me with project management for events and possibly also assist with other information organizational needs, like managing staff information, event outlines/agendas/slide decks, my work to-do lists, and support requests. And maybe I didn't give it enough of a chance the first go-around, but I felt frustrated trying to set up my boards/tables the first time. I may give it another chance if our org hasn't cut this platform from our list of approved platforms.

"Monday.com Review"
What do you like best about monday.com?

I like the ease of what appears to be a user friendly interface. Also that you can upload excel spreadsheets and use them in Monday's interface.

What do you dislike about monday.com?

Their customer support is what most would say "On Point", but I'm not most. They do respond back to inquiry's fast, but to get a solid answer where you know they are telling you the correct answer is not on point at all. When a company like mine has questions and needs their tools working to operate, having to send an email for support is hardly the way to go. It's for this reason, I am considering going elsewhere.

What problems is monday.com solving and how is that benefiting you?

We use monday to manage our clients / new and old, onboarding to project timelines.

"Monday started pretty basic but has improved significantly!"
What do you like best about monday.com?

The features updates seem to come through pretty much all the time. I like that they continue to roll out new features that make working for our teams easy and fun.

What do you dislike about monday.com?

Even though the system allows integrations to JIRA and others, it seems like the more robust features you'd have to pay for or use a 3rd party.

What problems is monday.com solving and how is that benefiting you?

team collaboration is the main problem we are solving for. With the COVID WFH initiatives, it helped us easily transition teams that were centralized into a distributed work environment.

It's helpful to have a place where all projects are shared. I like the visual experience as well.

What do you dislike about monday.com?

I think getting used to the program is a bit challenging. I'm still onboarding, but it hasn't been the smoothest process.

What problems is monday.com solving and how is that benefiting you?

It's allowing our team to all know what projects are open and who's handling the project.

"Good for a while, but moved on to a better solution"
What do you like best about monday.com?

The user interface was great. Fairly easy to start using in the beginning. The ability to add gifs/reactions in comment strands was a fun addition to the platform. Overall the platform was very visually appealing.

What do you dislike about monday.com?

The way the boards/pulses are set up seem a little too jumbled. If you use it for managing teams with many tasks at hand the boards become overpopulated. You get lost fairly quickly between different clients or teams' pulses, projects, tasks, etc.

What problems is monday.com solving and how is that benefiting you?

We are a consultancy, so we attempted to use this for internal communication while managing client's businesses. We were able to set up multiple team members and client pulses very quickly. However, using this single-handedly become too much.

What problems is monday.com solving and how is that benefiting you?

We are trying to better organize our team and projects.

"dapulse / monday.com"
What do you like best about monday.com?

I personally enjoyed the ability to customize each project board that you worked with. This customization included changing the column names, color coding, and changing what each column function entailed.

What do you dislike about monday.com?

The aesthetic was lacking because it essentially looked like an Excel/Numbers worksheet, just slightly more customizable and easier to look at. The mobile version of this product was lacking and only best used on a desktop.

What problems is monday.com solving and how is that benefiting you?

Our team was able to improve communication by relying less on email and more collaborative on tasks via the comments/notes sections under each pulse.

"Monday is a paradox - in some ways I want to give it a 10 and in other ways a 1"
What do you like best about monday.com?

Monday can be incredibly useful, in some ways it lets you do a lot and it definitely saves our team time and streamlines some processes.

What do you dislike about monday.com?

The support is absolutely awful. Every single time I try to speak to their live chat, I get passed between 3 separate teams before they tell me they cannot help and need to transfer the question to an email ticket. No one in their live chat support seems to be able to help with the most simple technical queries. It's an incredibly frustrating process. Their automations are also incredibly limiting, you end up needing to create massive workarounds to do something that seems fairly standard. It feels like everything we ever try to do, we hit blockers and things break, and we have to wait days and days to resolve the issue.

What problems is monday.com solving and how is that benefiting you?

We use Monday as a CRM. It works in some ways but there are so many blockers that make it incredibly frustrating to use almost every day.

"Challenging User Experience Trying to Get Started"
What do you like best about monday.com?

Initially it looked like it might be a good solution. There was a demo on the website that made it look like a user friendly project management tool. It seems like it could be not bad for larger teams that can get used to it.

What do you dislike about monday.com?

Honestly I struggled getting into it. During set up there seemed to be errors and I couldn't seem to get a basic project set up. It was fustrating as I was trying to find a useful tool for a client. When shopping and demoing software, one only has so much time and I would prefer a smoother entry to something. I was actually fairly annoyed after the demo seemed to show a completely different experience I couldnt access.

What problems is monday.com solving and how is that benefiting you?

We were hoping to organize files and collaboration for projects like designing a website and some video projects. My client was looking for a file storage, and project collaboration too they were willing to subscribe to. We couldn't even get off the ground with Monday.com. It felt like they faked a good user experience with their little onsite demo. I was kind of annoyed honestly.
