Asana cut its free plan from 15 users to 2, and a great deal of published information has not caught up. Accounts created on or after 12 November 2025 get two seats on the Personal plan. Older accounts keep a legacy allowance of up to ten, but lose it permanently if they downgrade and re-upgrade. If you are choosing Asana because you heard the free tier supports a small team, that is no longer true.

  • What it is: A project management platform for tracking work across tasks, projects, portfolios, and goals.
  • Best for: Mid-size and larger teams coordinating structured work across departments, where portfolios and goals matter.
  • Pricing: Personal free for 2 users. Starter €10.99, Advanced €24.99 per user per month billed annually. Enterprise is custom. Verified in July 2026.
  • The honest catch: Beyond the free-plan change, AI Studio credits are allocated per billing account rather than per user, so a large team shares one pool.

What Is Asana?

Asana is one of the two or three products that defined modern work management. Its model is a hierarchy: tasks belong to projects, projects roll into portfolios, portfolios connect to goals. That structure is why larger organizations choose it. When an executive asks how a quarterly objective is progressing, Asana can answer from work people are actually doing rather than from a status document.

That focus also explains where it is weaker. Asana is less flexible than monday.com, less spreadsheet-like than Smartsheet, and less simple than Trello. It rewards organizations that want a consistent structure imposed across teams, and frustrates ones that want each team to work its own way.

The independent evidence base is very large, with more than 11,000 reviews on G2 alone, and satisfaction scores remain strong despite the free-plan controversy.

How Asana Works

  • Tasks, projects, portfolios, goals. The hierarchy is the product, and portfolios and goals are what separate Advanced from Starter.
  • Multiple views. List, board, and calendar on every plan, with timeline and Gantt from Starter.
  • Automation. Unlimited automations from Starter, which is more generous than competitors that meter them.
  • Workload and capacity. Resource management on Advanced, plus universal workload and capacity planning on Enterprise.
  • AI Studio. Credit-based AI, at 50,000 on Starter, 75,000 on Advanced, and 200,000 on Enterprise, allocated per billing account per month.
  • Integrations. Salesforce, Tableau, and Power BI connectivity from Advanced.

Asana Pricing

Four tiers, with the free plan now materially smaller than its reputation. Figures verified on Asana’s pricing page in July 2026, billed yearly. Asana localizes currency, and the euro figures correspond numerically to its dollar pricing.

The details that matter most:

  • The free plan is two users. Reduced from fifteen for any account created on or after 12 November 2025. This is the single most important change in Asana’s pricing in years, and much published comparison content, including some review aggregator pricing pages, still describes the old limits.
  • Legacy accounts have a trap. Accounts predating the change keep up to ten users on a Legacy Personal Plan, but cannot recover that allowance if they downgrade and re-upgrade. If you are on a legacy free plan, do not experiment with plan changes.
  • AI credits are per account, not per user. 50,000 credits on Starter is shared across your whole billing account, so a fifty-person team gets the same pool as a five-person one. This is unusual and worth modelling if AI features matter.
  • Portfolios and goals require Advanced. At €24.99 per user, more than double Starter. Since portfolio-level visibility is the main reason larger organizations choose Asana, Advanced is the realistic tier for that use case.
  • Yearly billing saves up to 18%.
  • No seat minimums on paid plans, which is a genuine advantage over monday.com’s three-seat floor.

Who Should Use Asana

  • Mid-size organizations coordinating across teams. The clearest case, and where the portfolio and goal hierarchy earns its price.
  • Teams that outgrew a simpler tool. Asana is the common destination for teams hitting Trello’s dependency limits, and it handles dependencies properly.
  • Companies that run on OKRs or similar. Goals connected to actual work is genuinely useful rather than decorative.
  • Teams wanting structure. If consistency across departments matters more than per-team flexibility, Asana suits better than monday.com.

It fits poorly for individuals and pairs on the free plan, which is now extremely limited, for very small teams on a budget, since €10.99 per user adds up quickly, and for teams wanting to shape the tool around an unusual process, where monday.com’s flexibility is better.

Honest Pros and Cons

Strengths

  • Excellent structural model. Tasks to projects to portfolios to goals is coherent and genuinely useful at scale.
  • Proper dependency handling. Unlike Trello, Asana models work that waits on other work.
  • Unlimited automations from Starter. More generous than competitors that meter automation runs.
  • No seat minimums. You can buy exactly the seats you need.
  • A very large evidence base. More than 11,000 G2 reviews with consistently strong satisfaction.
  • Mature integrations. Salesforce, Tableau, and Power BI on Advanced for organizations that need reporting elsewhere.

Limitations

  • The free plan is now two users. Cut from fifteen, and the change is poorly reflected in third-party documentation.
  • The legacy grandfathering is fragile. Downgrade and re-upgrade and you lose the higher allowance permanently.
  • AI credits are pooled per account. A large team shares the same allocation as a small one.
  • Portfolios and goals need Advanced. More than double the Starter price for the capability larger buyers actually want.
  • Less flexible than monday.com. Asana imposes structure, which some teams experience as rigidity.
  • Cost at scale. €24.99 per user across a large organization is a serious line item.

Asana Alternatives and How It Compares

  • monday.com is more flexible and more visual, with a three-seat minimum and less rigorous portfolio structure.
  • ClickUp offers more features per dollar and a genuinely usable free tier, at the cost of a busier interface.
  • Trello is simpler and cheaper, and lacks dependencies entirely, which is the usual reason teams move to Asana.
  • Smartsheet suits organizations whose work already lives in spreadsheets.
  • Teamwork is better for agencies that need billable time and project profitability.

The Verdict

Asana remains one of the strongest work management platforms for organizations that want structure rather than flexibility. The hierarchy from tasks through portfolios to goals is coherent, dependencies work properly, and unlimited automations from the entry paid tier is more generous than most competitors. For a mid-size company coordinating work across departments, it is a sound default.

The free plan is no longer part of the argument. Cutting it from fifteen users to two for accounts created after 12 November 2025 changes what Asana is for small teams, and the change is badly reflected in third-party sources, including some review-site pricing pages that still quote the old figures. If you are evaluating Asana for a small team on the strength of its free tier, check the current limit rather than the guide you are reading.

Two specifics worth acting on. If you hold a legacy free account with up to ten users, do not downgrade and re-upgrade, because the allowance does not come back. And if AI features factor into your decision, note that AI Studio credits are pooled per billing account rather than per user, which makes them meaningfully less generous for large teams than the headline numbers suggest. Price Asana at Advanced if portfolios and goals are why you want it, because that is where they live.

FAQ

How many users does Asana’s free plan support?

Two, for any account created on or after 12 November 2025. It was previously fifteen. Accounts created before that date are grandfathered onto a Legacy Personal Plan supporting up to ten users. Much published comparison content, including some review aggregator pricing pages, still describes the older, larger limits.

I have an older Asana free account. Should I change plans?

Be careful. Legacy accounts keep up to ten users, but Asana does not restore that allowance if you downgrade and subsequently re-upgrade. If you are on a legacy free plan and value the extra seats, avoid experimenting with plan changes, since the higher limit cannot be recovered once lost.

How much does Asana cost in 2026?

Billed yearly, Starter is €10.99 per user per month and Advanced €24.99, with Enterprise custom priced and Personal free for two users. Yearly billing saves up to 18%. There are no seat minimums on paid plans, and Asana localizes currency so its dollar pricing corresponds numerically.

Are Asana’s AI credits per user or per team?

Per billing account, which is the less generous interpretation. Starter includes 50,000 AI Studio credits per month for the whole account, Advanced 75,000, and Enterprise 200,000, regardless of how many users you have. A fifty-person team receives the same allocation as a five-person team, so model your expected usage before assuming the allowance is sufficient.

Is Asana better than monday.com?

They optimize differently. Asana imposes a consistent structure across teams and handles portfolios and goals more rigorously, which suits larger organizations. monday.com is more flexible and visual, letting each team shape the tool around its own process, and has a three-seat minimum. Choose Asana for structure and monday.com for adaptability.

I like the collaboration ability of Asana, as well as the ability to break communication down in to teams and projects.

What do you dislike about Asana?

This platform seems like a great idea, but needs to integrate itself with Google or Apple to be truly useful. If Google could have the capability to assign tasks based on Team, Project, etc the way Asana can, that would be ideal. Currently, Asana feels like I am having to re-do something I have already spent a lot of time doing - organizing tasks, projects, contacts, groups, calendars, etc.

What problems is Asana solving and how is that benefiting you?

We are a large school district that needs to be able to communicate as fast as possible, and keep connections secure. We need to be able to collaborate on a project that many eyes are looking at, and give suggestions remotely. The idea behind Asana is wonderful for collaboration, it just needs streamlined in to a larger platform to be fully usable.

"Confusing, at Best"
What do you like best about Asana?

I like receiving updates from my calendar when something is due. That keeps me on track with completing my tasks.

What do you dislike about Asana?

There are too many threads for each project and too many opportunities to lose track of the tasks. Also, it is difficult to share my calendar with others in the group so they can see/get notifications when something is due. Often, the administrator has trouble finding what I have posted in the threads.

What problems is Asana solving and how is that benefiting you?

We are able to have all of us see the project tasks and to communicate with each other in one place. We also have all of our completed tasks in one place, so that makes keeping track of them easier.

I suppose it has some value as our "creatives" seem happy with it for managing their projects.

What do you dislike about Asana?

It does not seem very intuitive to me and is pretty much a duplication of other tools already available to me. So it really just becomes "one more software" to have to log into and I don't use it much unless I have to.

I think it helps our creative team with project management, but I receive no value from it.

What do you like best about Asana?

I like that Asana has a mobile app, and the list view is useful. The filters work adequately. I don't use the calendar view.

What do you dislike about Asana?

I find the user interface to be confusing. Adding multiple tags to a task, for instance, seems to require you to begin by editing the first tag. I don't like the psychedelic color scheme. Trello offers similar features, but is easier to use.

"exorbitant, confusing monthly prices, terrible customer service"

Asana is fine as a basic project management platform with somewhat functable google calendar integration.

What do you dislike about Asana?

exorbitant, confusing monthly prices, terrible customer service Asana's pricing system is not clear from the onset, and I landed with a $152 monthly fee as a small business. Asana also recently ended their customer service email, so to get service you have to use their AI chat bot. After being charged my first $152 fee, I assumed I had mistakenly signed up for an annual fee - because it was so much more than the program advertised as a monthly fee. By the second monthly the fee landed, I reached out to customer service to request my account be cancelled and the amount refunded. Despite reaching out immediately, Asana notified me they would not refund the amount charged. Then the "gave me a 2 month free trial" instead of cancelling my account. Today I find another $152 fee on my account, and again am refused a refund.

What problems is Asana solving and how is that benefiting you?

Asana is a waste of money and intnetionally easy to upcharge, and complicated to cancel

What do you like best about Asana?

The best thing is that it allows you to add collaborators outside your organization. The free plan is a good way to start managing your projects but it could be optimazed for better UX

I have contracted the asana busiess plan in order to be able to count the time applied by my employees to day-to-day tasks as a marketing agency. They offered us 4 hours of consulting and a fast and 24/7 support service. All this has not been fulfilled and they only blame that their business partner 4sana should assist us. Well, we haven't used the tool for a month now, the support answers an email every 7 days and the experience has been worse than with my previous provider. I have lost my money

What problems is Asana solving and how is that benefiting you?

The fact that it allows you to add collaborators outside your organization with no extra cost and have a better workflow management as an Agency. Business performance has not increase the way we want but it has been ok

I like how you can organize in an old fashion way but digitally.

What do you dislike about Asana?

It has a huge learning curve as it is more for people who already have project management experience rather than a student like me who doesn't have a considerable workload.

What problems is Asana solving and how is that benefiting you?

As said before, it is neither beginner-friendly nor a good resource for students. I wish there were more customizable ways to see everything. While there is Asana with students, it doesn't seem to work too well with modern student workflows.

What do you like best about Asana?

Asana is an excellent utility for keeping tasks all in a single place. It is helpful to help workflow when small tasks start to pile up, and people can reference it and mark things when completed to ensure nothing falls through the cracks.

What do you dislike about Asana?

Where to begin? If there are too many items in a project, there is an overflow error that gives no feedback to the user on how to fix it. All functionality breaks when this occurs. The restful API endpoints are the only way to delete tasks automatically, which you would need to code yourself after setting a trigger on a webhook (good luck to regular business owners). Such a simple functionality is not even available for their business plan. Such a simple fix to so many issues, but instead of adding these simple features, they take the "we will look at this issue if it gets enough attention" approach. At a certain point, it is not worth fixing someone else's poor software design and philosophy but instead finding a better product or making one yourself (seriously). The service is continually experiencing server-side latency and authentication issues. It is not for large-scale businesses with hundreds or thousands of tasks for their employees as it is unreliable to perform simple tasks at a large scale.

It helps with our underwriting pipeline and other work which needs human attention, and it keeps all of our to-do items in a consolidated place.

What do you like best about Asana?

The UX is a cut above any other PM software I've used, even better than the one I have chosen in place of Asana (ClickUp). I love the frilly stuff that you can enable/disable depending on the tone of the project (I love my flying narwhals).

What do you dislike about Asana?

Paywalling existing features is the quickest/easiest way to get put on my denylist for SaaS software that I will eventually pay big bucks on. It is a betrayal of trust that represents a flawed moral and/or ethical compass of the company's decision-makers. Perhaps some transparency about why it was done may have swayed my opinion in one direction or another, but there wasn't any, which indicated dark patterning to me. An ironic position to be in, given that I think their UX is otherwise stellar.

What problems is Asana solving and how is that benefiting you?

Does all the things I need in project management software. The UX not only makes it efficient and easy, but also fun. Knowing all the little hacks like making cats appear is rare in SaaS and I absolutely love it.

Easy to get started. Can easily build useful workflows especially around marketing / creative use cases.

What do you dislike about Asana?

The company is absolutely miserable to do business with. Super obnoxious and aggressive sales team constantly trying to upsell at every turn. You have to pay a premium above the "business" level for basic security functionality so effectively you will be forced into the highest pricing tier.

What problems is Asana solving and how is that benefiting you?

It's a basic project management platform. There are several that do the same thing... there is not really a differentiation here.

"More frustrating than dealing with your cable company -- Deceptive pricing & poor onboarding"
What do you like best about Asana?

So far it's been a good project management tool for our organization

What do you dislike about Asana?

The pricing is extremely deceptive. We worked with an account rep before signing a 2 year contract for Asana Business. We told the account rep that we needed 60 users, but we might need to add more in the future. A month later, when we went to add 5 more users, she said, "No sorry, you can only add in blocks of 10 users." This is mentioned nowhere in our contract. It's mentioned nowhere on Asana's pricing page. The Asana T&Cs make vague references to "pricing tiers" but they also say the tiers will be shown on the order form -- which they weren't. When it takes a few clicks and less than 30 seconds to add a new user to a software program, there's no logical reason why Asana would force you to add users in blocks of 10 (or they told us the blocks increase to 25 users once you get beyond 100 total users!). It's downright deceptive that they don't disclose this during the sales process or anywhere on the contract or pricing page. Additionally, when we were onboarding, Asana refused to allow us to schedule an onboarding call with their team until after our contract went into effect. That's right -- we had already signed the contract. But they wanted us to wait for an extra week to even be able to *schedule* a call with their team. Quite simply, they are a pain to do business with. It's really a shame that they operate their organization in this way, because they have a good product. But with all of Asana's fine-print "gotchas", working with them is more frustrating than dealing with a cable company.

What do you like best about Asana?

I like nothing about Asana. Working with this tool is an absolute nightmare.

What do you dislike about Asana?

Email notifications don't make intuitive links to their origins Use of sub-tasks make things more complex and difficult rather than helping to group things together The inbox is as confusing as the email notifications, if not more Finding where you've just been mentioned/tagged is like finding a needle in a haystack Automations are weak at best

What problems is Asana solving and how is that benefiting you?

I'm forced to use Asana for some of our projects b/c that's the tool that certain departments are using.

What do you like best about Asana?

The aesthetic of the UI is nice and it is fairly responsive.

What do you dislike about Asana?

Features requested by the community are ignored for the most part. There are dozens upon dozens of basic requests to make the software more functional that the team at Asana has ignored for years (4+ years in many cases). Here are some examples: • Lack of Markdown support. • Inability to add subtasks to the timeline view (making scheduling impossible). • Inability to add subtasks to the workload view (making resource planning impossible). • Inability to assign multiple people to a single task (Asana says we don't need this). • Inability to set different status levels for list vs board view. • Inability to make task templates (only project templates) • No built-in time tracking. • No transparent roadmap — the engineering/product team keeps silent. Unlike other competitors that are quite open with their dev cycle. • Cannot control who can/cannot delete tasks from projects. • Inability to reverse the order of comments (newest comments require a lot of scrolling to get to) • Inability to add custom fields to the "My tasks" view. • No desktop application. • Limited sorting/filtering options (no nested sorting for example). • Limited to one form per project. • Inability to mark sections complete (only tasks and subtasks). • Subtasks are not automatically added to the project (in your reports view it will show them as belonging to "No project"). • Inability to hide weekends from the timeline view. • Inability to drill down to the day level in the timeline view (inability to see hours in a day). • No support for calculated fields.

What problems is Asana solving and how is that benefiting you?

None currently — we keep trying to use it but we spend more time working on making it work than we do getting work done. We really want it to work but it's just not flexible enough to be satisfying yet. We're still using it though — we're sort of stuck with it.

What do you like best about Asana?

I liked that it was a collaborated use among the team.

What do you dislike about Asana?

I didn't find Asana to be very comfortable to use, since I had been a user of Todoist for quite some time and I didn't like how I couldn't see something that I had created when it was sent to another group, or person. Whenever something new is used it becomes a little bit of a challenge to adapt to, but I could not find comfort in using it.

What problems is Asana solving and how is that benefiting you?

I didn't. It was mainly used for submitting orders and then transferred to a production team.

"Dubious, aggressive and unfair sales practices"
What do you like best about Asana?

Nothing. I have just been robbed for 2000 euro, and Asana basically tells me to f... off, only pointing at their terms and service conditions. Very disappointed in this kind of aggressive sales techniques.

What do you dislike about Asana?

Asana makes it very easy to pay for more users. But deleting users is very difficult, almost impossible. Their user license policy is so extremely unfair, that you without a doubt will end up paying way too much. Eg: it isn't possible to pay for 6 user licenses when you downgrade. You have to pay for 10 users.

What problems is Asana solving and how is that benefiting you?

Nothing. It is impossible to pay for 6 users, Asana obliges you to pay for 10 users. They are taking money from your credit card monthly without consent. The helpdesk is unwilling to help.

What do you like best about Asana?

Asana works for project management: assigning and updating tickets, seeing what tasks are assigned to yourself, etc

What do you dislike about Asana?

When you click on the text box to comment on a ticket. the box gets taller, shifting up the comments above it. When you click off this text box, it reverts to being less tall, shifting down the comments above it. As a result, when you are commenting and try to copy/quote prior comments, you click on the wrong target. I could not find a setting to disable this behavior. Asana would be improved by leaving the text box a constant size. It would also be acceptable to let the user manually resize it.

What problems is Asana solving and how is that benefiting you?

We use Asana for project management. The benefits are team coordination of tasks.

Increasing costs, lack of flexibility. There are other alternatives with almost identical functionality and much better value for money. I am canceling my team's subscription to ASANA.

What do you like best about Asana?

It does a good amount of what you'd want it to do.

What do you dislike about Asana?

The fact that we pay over 300/month for a service that keeps kicking users out for no reason even though we have bought all the seats we use. And the damning fact that Asana's support team does not get back to you for weeks on end. It's been over a month and I have gotten no response. I contact the sales team and they respond in less than 24 hours. Funny how that works. Of course, they are useless though in helping us, telling us just to wait!

What problems is Asana solving and how is that benefiting you?

Nothing. Asana only creates more problems in our company's experience.

its an online to-do list for a team. you can all use it and view it.

not a great project management software. no features outside of task management. dependencies are hard to view as well as timelines, project budgets, and more. dont use this software if you are actually looking to manage projects.

What do you like best about Asana?

I like that everyone on the team can update their tasks so that everyone knows what each person is doing that week and how much bandwidth they may have(if any) to help on something else

What do you dislike about Asana?

Asana is kind of a pain in the butt...I always have to click around so many times before my cursor is where I want it to be because its so glitchy. I always start typing a task and instead of the letters appearing where my cursor clicked they appear on some random line. I have to play with it a lot to get it to do what I want.

What problems is Asana solving and how is that benefiting you?

It allows for project management where everyone is on the same page and doesnt have to individually tell the other members what they are up to each week. It allows for focus on risks and issues which is important to any successful project

What do you like best about Asana?

I enjoyed that Asana was accessible through my browser and fairly responsive; I don't have to wait for a page to open as long as I do with other CRMs.

What do you dislike about Asana?

Almost everything. The layout is confusing and feels like a puzzle. The management of tasks leaves my users feeling lost and confused as to what they should be doing next. It's ended up creating many more problems than it's solved as far as management goes.

What problems is Asana solving and how is that benefiting you?

I was hoping to solve simple task management problems with Asana, but I am struggling to come up with a benefit for this review. What I feel needs to change is the most basic layout; tasks and subtasks are easily lost.
